The reliable way to avoid a restaurant cancellation fee is to read the reservation’s own cancellation and no-show terms before you confirm, note the deadline and charge, and cancel or modify through the same booking channel as soon as your plans change. Policies are set for the specific restaurant and reservation, so neither a saved card nor a general platform rule tells you the fee or the safe cancellation window.
What determines whether you will be charged
A restaurant reservation can involve several different financial commitments. A venue may place a temporary card hold, require a deposit, sell a prepaid experience, or impose a fee only when a guest cancels late or does not arrive. These arrangements are not interchangeable. The amount, timing, refund treatment and number of people covered depend on the terms shown for that particular booking.

On OpenTable, the restaurant’s policy is displayed during booking and in the reservation confirmation email. OpenTable’s support guidance, updated September 23, 2026, describes the confirmation as the place to check cancellation, no-show and deposit terms. Other services use similar disclosures, but you should treat the displayed policy—not the name of the booking platform—as the controlling information for your reservation.

Check these terms before you press Confirm
Spend a few seconds reviewing the policy while you can still choose a different restaurant or time. Record the details if the reservation is important, expensive or difficult to replace.

Look for wording such as “cancel by,” “late cancellation,” “no show,” “per person,” “nonrefundable,” “credit toward your bill” and “card authorization.” If the policy is unclear, ask the restaurant before completing the booking and keep the answer with your reservation records.
Compare reservations by risk, not just by menu or time
When two restaurants or time slots are otherwise comparable, compare their disclosed financial terms. The restaurant sets the important conditions, even when both bookings are made through the same platform.

Do not infer that a popular venue or a premium time slot has a particular fee. Check the terms attached to the exact date, time and party size.
Save proof of the policy and your reservation
OpenTable says its restaurant cancellation policy appears both during booking and in the confirmation email. Keep that email until after the meal and save a screenshot or PDF when the booking involves a deposit, a large group or a strict deadline. Include the reservation date, time, restaurant, party size, confirmation number and the displayed policy.

This record gives you the exact terms that were presented when you agreed to the reservation. It also helps the restaurant locate the booking if the confirmation link stops working or a charge appears later. Saving a record is practical protection; it does not override a policy that you accepted.
Cancel or modify as soon as your plans change
Waiting to see whether plans improve is the most common way to cross a cancellation cutoff. As soon as you know that you cannot attend—or that your party will be materially smaller—use the available cancellation or modification route.

Use the booking service’s app or website, or open the manage-reservation link in the confirmation email.
- Read the displayed result. Before submitting, verify whether the screen says the change is free, gives a fee amount, or warns that a deposit will be forfeited.
- Choose cancel or modify. If you can attend at another time, moving the reservation may preserve the booking, but check whether the new time has different terms.
- Submit before the stated cutoff. Do not rely on the time you began the process; complete the action and wait for the confirmation.
- Keep the confirmation. Save the cancellation or modification message, including its timestamp and any reference number.
- Use the restaurant directly if the online path fails. Call or message the restaurant using the contact details in the booking, explain the situation and ask the staff member to confirm the change. Retain a call log, message or email showing when you tried.
Prompt action is useful even after the deadline. It gives the restaurant a chance to refill the table and creates a record that you did not simply fail to appear, although it does not guarantee a waiver.
Do not treat a platform rule as a universal safe harbor
OpenTable’s United States terms instruct diners who cannot attend to cancel at least 30 minutes in advance. The same terms also say that diners must follow the restaurant’s cancellation policy disclosed at booking. Therefore, 30 minutes is not a universal deadline. A restaurant may require several hours, a full day or another period shown in your confirmation.
The 30-minute language is specific to OpenTable’s U.S. terms and should not be applied automatically to another country, booking service or restaurant. If the reservation’s own policy is stricter, follow that stricter policy.

Understand deposits, card holds and prepaid experiences
Different payment arrangements create different outcomes when you cancel.

OpenTable explains that restaurants set reservation charges and handle them. A deposit may be credited to the bill or refunded as described in the booking policy and confirmation; do not assume either result.
Using OpenTable to manage a reservation
OpenTable says diners can manage upcoming reservations in the app or on its website. The confirmation email also includes modify and cancel options when available. Open the booking, select the relevant action and confirm that the service reports a completed cancellation or change.
If the restaurant’s profile or the platform shows conflicting information, rely on the policy attached to your reservation and contact the restaurant for clarification. Keep both the original terms and the final cancellation record.
Reservations with card-member or access-program terms
Some access programs show special cancellation timing and per-person fees only to eligible members during the booking flow. Resy’s Global Dining Access cancellation-policy guidance, dated June 23, 2023, says applicable timing and per-person charges are displayed to covered card members. If you book through such a program, read the terms shown to your account rather than assuming that a standard reservation has the same rules.

If a fee appears after you cancel
Start with the restaurant, not the booking platform. OpenTable states that restaurants handle reservation charges and that only the restaurant can issue a refund for a cancellation fee.
- Match the charge to the booking. Check the merchant name, transaction date, amount and the reservation confirmation.
- Re-read the accepted terms. Compare the charge with the cancellation deadline, per-person calculation and deposit language shown at booking.
- Contact the restaurant promptly. Provide the confirmation number, reservation date and time, party size, cancellation timestamp and a copy of the confirmation or cancellation record.
- Ask for a specific resolution. Request an explanation of the charge and, if the fee was applied in error or the restaurant is willing to make an exception, ask for the refund method and expected timing.
- Document the response. Keep emails, messages and the names or times of telephone conversations.
A restaurant may voluntarily waive a fee for an emergency, a duplicate booking or a system problem, but a waiver is discretionary unless the stated terms promise one.
What to do when the booking system is unavailable
If the app, website or email link fails near the deadline, use every reasonable official route: call the restaurant, send an email or message through the platform, and capture an error screen with the time. State clearly that you are cancelling or requesting a change, identify the reservation and ask for written confirmation.
If you reach voicemail, leave the reservation details and call again when the restaurant opens. A message is evidence of an attempt, not proof that the reservation was cancelled, so continue until you receive confirmation or the restaurant acknowledges the request.

Quebec’s Office de la protection du consommateur says a restaurant no-show fee is capped at $10 per person and generally requires the restaurant to send a reminder or confirmation 6 to 48 hours before the reservation. The guidance includes exceptions and applies to Quebec, not to restaurants elsewhere.

Use this as an example of why geography matters. It does not establish a $10 limit in another province, state or country, and it does not answer whether a particular fee is enforceable under another jurisdiction’s law. For a local legal question, consult the consumer-protection authority where the restaurant is located.
When a card issuer may be relevant
If the restaurant will not explain a charge or you believe the transaction is unauthorized, you can ask your card issuer about its dispute process. Provide the reservation terms, cancellation record and communications. Card-network procedures, deadlines and outcomes vary, and the available sources do not establish a guaranteed reversal or a universal right to a refund. Treat a card dispute as a later review step, not as a substitute for cancelling correctly or contacting the restaurant.
A simple decision rule before every booking
- Book confidently when the deadline is visible, the amount is affordable if plans fail, and you can access at least one cancellation route.
- Ask first when the policy uses vague language, the deposit treatment is unclear, or a large party could create a substantial per-person charge.
- Choose another option when you cannot accept the stated risk, cannot reach the cancellation channel, or cannot keep a record of the terms.
Before confirming, write down four items: the free-cancellation deadline, the total possible charge, the deposit or prepayment outcome and the exact method for cancelling. That short record turns a vague promise to “cancel later” into an actionable deadline.
Printable reservation checklist
- Read the restaurant-specific cancellation and no-show policy.
- Note the deadline with the relevant time zone or local date.
- Check whether the amount is per person and calculate the maximum exposure for your party.
- Determine whether money is a card hold, deposit, prepaid charge or fee.
- Confirm whether a deposit is credited, refunded or forfeited after the cutoff.
- Save the confirmation email and the displayed policy.
- Identify the app, website, email link and restaurant phone number.
- Cancel or modify immediately when plans change.
- Save the completed cancellation or modification confirmation.
- For a charge, contact the restaurant with the reservation and cancellation records.
Bottom line
Cancellation fees are avoidable most reliably through preparation and speed: inspect the exact restaurant policy, save it with your confirmation, and complete a cancellation or modification through an accepted channel before the stated deadline. Platform defaults, card requirements and rules from another location cannot replace the terms attached to your reservation.
