To change Kansas wage withholding, complete a new Kansas Form K-4 and give the signed employee portion to your employer. Rework the personal allowance worksheet using your current circumstances, select the applicable single or joint allowance rate, enter total allowances, and use line 5 if you want a specific additional amount withheld from every paycheck. Kansas withholding is separate from federal withholding, so changing federal Form W-4 alone does not update your Kansas tax deduction.
If the income change is mostly Kansas-source interest, dividends, business income or another nonwage amount, payroll withholding may not solve the problem. The Kansas Department of Revenue (KDOR) says to consider estimated payments on Form K-40ES for substantial nonwage income. Work performed partly inside and partly outside Kansas can require Form K-4C to allocate the Kansas portion.

Start by identifying what changed
The right Kansas response depends on both the type of income and where it was earned. A raise, bonus, new job or reduced hours changes wages reported through payroll. Interest, dividends, rental income, self-employment income and other amounts that do not pass through Kansas payroll generally require a different approach. A change in the location of your work can also change the Kansas share that should be withheld.

KDOR’s K-4 instructions describe the certificate this way: “A completed withholding allowance certificate will let your employer know how much Kansas income tax should be withheld from your pay on income you earn from Kansas sources.” The certificate is therefore a payroll instruction, not a state tax return and not a replacement for estimated tax payments when no employer is withholding the relevant income.

Choose the remedy that matches your income
| Situation | Primary form or action | What it changes | Where it goes |
|---|---|---|---|
| Your Kansas wages changed, or your personal circumstances changed | New Kansas Form K-4 | Allowance information used to calculate Kansas withholding | Give the completed employee portion to your employer |
| You want a fixed extra amount removed from each paycheck | Form K-4, line 5 | An additional dollar amount per paycheck | Give the signed K-4 to your employer |
| You have substantial Kansas-source nonwage income | Form K-40ES estimated payments | Separate payments made directly toward expected Kansas tax | Follow the K-40ES payment instructions |
| You work partly inside and partly outside Kansas | Form K-4C, and a new K-4C when the allocation changes substantially | The percentage of compensation assigned to Kansas | Report the allocation to your employer; KDOR says substantial changes must be reported within 10 days |
These choices can be combined. For example, you may submit a new K-4 for your wages and make K-40ES payments for a large side-business profit. A federal Form W-4 affects federal withholding only; it does not replace the Kansas K-4.
How to complete and submit a new Kansas Form K-4
Use the current K-4 from the KDOR forms library. The form identified in the available instructions is marked Rev. 7-24; check the library for a later revision before completing it because forms and tax rules can change.
- Get the current K-4 and read the instructions. Use the Kansas Employee’s Withholding Allowance Certificate rather than a federal W-4. The K-4 contains a personal allowance worksheet and a certificate section. Read both before entering numbers.
- Recalculate the personal allowance worksheet. Base the worksheet on your current filing circumstances, not simply on the size of your raise or pay cut. Review the people and situations that the current form allows you to count, and retain your worksheet with your tax records. An income increase does not automatically dictate a particular allowance count.
- Select the applicable allowance rate. The certificate provides a choice of single or joint allowance rate. Select the rate that matches your current situation under the form’s instructions. If your marital status changed, do not leave the old selection in place just because your employer already has a K-4 on file.
- Enter total allowances. Transfer the result of the worksheet to the total-allowances field on the certificate. Fewer allowances generally produce more withholding; more allowances generally produce less, but the exact result depends on your pay and the Kansas withholding tables.
- Use line 5 for a fixed additional amount. If you want an extra dollar amount withheld from each paycheck, enter that amount on line 5. This is useful when a bonus, second job or other expected tax creates a predictable shortfall that you want to cover through payroll. The amount is per paycheck, so consider your employer’s pay frequency when choosing it.
- Sign and date the certificate. An unsigned certificate may not be usable for payroll. Confirm that the identifying information requested on the form is complete and legible.
- Give the completed lower portion to your employer. KDOR’s instructions direct employees to provide the employee certificate to the employer rather than mailing it to KDOR. Ask payroll or human resources when the change will take effect under the employer’s payroll cut-off schedule, and keep a copy for your records.
- Check the first affected pay statement. Compare the Kansas withholding line with the new K-4 request. A change may not appear until the next payroll run if the form missed a processing deadline. If the amount is not what you requested, ask payroll to confirm which K-4 is active and whether the employer entered line 5 as a per-paycheck amount.
Why the worksheet matters after a raise or pay cut
The K-4 worksheet is designed to connect your allowance information with your current circumstances. A higher salary can increase the tax associated with every allowance, while a reduction in wages can reduce the annual amount needed. Neither change, by itself, tells you how many allowances to claim. Recalculate rather than applying a rule such as “one raise equals one fewer allowance.”
Using line 5 without changing allowances
Line 5 is the direct tool for a fixed payroll adjustment. You can request an additional amount even when the allowance worksheet remains appropriate. For a planning estimate, divide the extra Kansas tax you expect to cover through payroll by the number of paychecks remaining in the year, then enter a practical per-paycheck amount. This calculation is your budgeting method, not a KDOR formula; review the result after a few pay periods and revise the K-4 if circumstances change.
When to revisit your Kansas K-4
KDOR recommends an annual withholding review. Its guidance also specifically calls for a new K-4 when your marital status or number of exemptions changes. Other events that can justify a review include a major salary change, starting or ending a job, a recurring bonus, a change from full-time to part-time work, or a spouse beginning or ending employment.

- Review the K-4 at least once each year.
- Revisit it after marriage, divorce or another marital-status change.
- Recalculate when the number of exemptions or other worksheet facts changes.
- Check withholding after a promotion, pay reduction, job change or sustained overtime.
- Review again if a tax return shows a large balance due or an unexpectedly large refund.
Do not wait for the next tax return to correct a known mismatch. A new certificate affects future paychecks; it does not retroactively change Kansas tax that was already withheld.
If the income change is nonwage income: consider Form K-40ES
Payroll withholding cannot automatically collect Kansas tax on income that has no Kansas payroll source. KDOR says to consider estimated payments with Form K-40ES when you receive a substantial amount of nonwage Kansas-source income, such as interest or dividends. The same issue can arise with sizeable self-employment, rental or other income for which no employer is withholding Kansas tax.
K-40ES payments are separate from a K-4. You may still file a new K-4 for wages while using K-40ES for the nonwage portion. Estimate the Kansas tax attributable to the additional income, follow the current K-40ES instructions for payment dates and amounts, and retain payment confirmations. Because estimated-payment rules and schedules can change, use the current KDOR form rather than an old payment schedule.
Deciding between line 5 and K-40ES
- Choose K-4 line 5 when the shortfall can reasonably be covered by taking a fixed extra amount from each Kansas paycheck.
- Choose K-40ES when the main new income is not paid through Kansas payroll or is too large or irregular for a sensible per-paycheck adjustment.
- Use both when wages and nonwage income each create a separate withholding need.
Working in more than one state: Form K-4C
Kansas withholding generally applies to Kansas residents working in or outside Kansas and to nonresidents performing services in Kansas. When services are performed partly inside and partly outside Kansas, Form K-4C can allocate the Kansas portion of compensation.
Complete the allocation information required by the current K-4C and provide it to your employer. KDOR says that a substantial change in the allocation percentage must be reported to the employer within 10 days on a new K-4C. A move, a new remote-work arrangement, a changed travel schedule or a change in the portion of duties performed in Kansas can all make the existing allocation inaccurate.

What K-4C does not do
K-4C does not replace the regular K-4. The K-4 addresses Kansas withholding calculations for the employee certificate; K-4C addresses the Kansas share when work is performed in multiple locations. If both apply to your situation, follow both forms and your employer’s payroll instructions.
Do not claim exempt solely because income fell
A lower salary, fewer hours or a period without work does not automatically qualify you to mark the Kansas K-4 exempt. The K-4 instructions require both of these conditions:
- You had no Kansas state tax liability and received a full refund of all Kansas state withholding for the prior year.
- You expect to have no Kansas state tax liability and receive a full refund of all Kansas state withholding for the current year.
The form also states that KDOR receives federal W-2 forms for years in which an employee claims exempt. Claiming exempt without meeting the two-part test can leave you with an unexpected Kansas balance and may require correcting the certificate. If your income merely decreased, recalculate the worksheet or request an additional amount only if your circumstances support it; do not use exempt as a shortcut.
Preventing an underpayment balance or penalty
KDOR’s KW-100 withholding guide says a Kansas balance of more than $500 after credits may be subject to an underpayment penalty. The guide identifies three general ways to reduce the risk of a balance or penalty: make estimated payments, claim fewer withholding allowances, or request additional Kansas withholding.
The $500 figure is a threshold for penalty consideration described in the guide, not a promise that every balance above it will produce the same penalty. Credits, filing facts and other requirements matter. If your projected balance is near or above that amount, act during the year rather than waiting for filing season.

Three practical correction routes
- Submit a new K-4 with fewer allowances. This changes the calculation used on future Kansas wages. Use the worksheet and current instructions rather than selecting a number solely to increase withholding.
- Add a line 5 amount. A fixed extra amount can address a known gap while leaving the worksheet-based allowances unchanged.
- Make K-40ES payments. Estimated payments can cover substantial Kansas-source income that is not subject to payroll withholding.
Examples of common income changes
You received a promotion and a recurring salary increase
Complete a new K-4, recalculate the worksheet with your current facts, and give it to payroll. If the revised withholding still appears short because of the size of the increase, use line 5 for an additional per-paycheck amount. Review the first pay statement after implementation.
Your hours or salary dropped for the rest of the year
Recalculate the worksheet based on the lower expected wages and the rest of your circumstances. A lower income does not by itself make you exempt. If the reduction is temporary, review the K-4 again when your regular schedule resumes.
You started receiving large dividend payments
Dividends are not Kansas wages from your employer. Keep the K-4 aligned with your wages, then consider Form K-40ES for the substantial nonwage Kansas-source income. Do not assume that increasing payroll allowances will accurately cover an irregular investment payment.
You began a side business
Estimate the Kansas tax associated with the business income and consider K-40ES. You can also use K-4 line 5 if you prefer to cover some or all of the expected amount through a regular paycheck, provided the per-paycheck amount is realistic.

Troubleshooting when the amount looks wrong
The Kansas deduction did not change
- Confirm that payroll received the signed employee portion, not only a photocopy kept for your records.
- Ask whether the form arrived after the employer’s payroll cut-off.
- Check that you used Kansas Form K-4 rather than federal Form W-4.
- Verify that line 5 was entered as an additional amount per paycheck, if that was your request.
The deduction changed by more than expected
- Review the allowance total and the single-or-joint rate selection.
- Confirm that payroll did not apply an old K-4C allocation or a duplicate certificate.
- Compare the pay period, taxable Kansas wages and withholding line with the period before the change.
- Ask payroll which certificate and effective date are on file.
You already underwithheld earlier in the year
A new K-4 changes future withholding; it does not recover missed withholding from prior paychecks. Consider a line 5 amount for the remaining pay periods or K-40ES payments for income outside payroll. Keep a running estimate of year-to-date Kansas withholding so that the correction is based on the remaining year, not the full annual salary.
Records, official guidance and help
Keep copies of every K-4 and K-4C you submit, the dates delivered, payroll confirmations, pay statements and any K-40ES payment records. These documents help explain why withholding changed and make it easier to correct an entry.
