How often should you review your mutual fund portfolio?

By TheFinanceBase Team 11 min read

Most long-term investors should schedule a formal mutual-fund portfolio review every six to twelve months. Review your goals, time horizon, risk tolerance, asset allocation and fund documents; trade only when your written plan, allocation drift or changed circumstances justify it.

Reviewing is not the same as rebalancing

A review is an inspection. You compare the portfolio with the plan that was supposed to guide it, check whether your circumstances have changed and read current information about the funds. Rebalancing is an action taken after that inspection: selling, buying or redirecting cash so the asset mix returns toward its target.

A review can end with “no trade.” That is often the appropriate result when the allocation remains within the limits you selected, your objectives are unchanged and each fund still behaves as expected. Treating every review as a trading appointment encourages unnecessary costs, taxes and attempts to react to short-term market movements.

What schedule should you choose?

The U.S. Securities and Exchange Commission (SEC) describes regular intervals such as every six or twelve months in its investor education material. Investor.gov gives the same six- to twelve-month range for older investors. Vanguard’s investor guidance says an annual rebalance is optimal for many investors and emphasizes choosing a schedule that is easy to follow. These are educational guidelines, not promises of higher returns or a universal prescription.

Method What starts the review or rebalance Strength Limitation
Calendar-based A recurring date, commonly every six or twelve months Simple to remember and execute consistently You may check when the portfolio has little drift, or miss a change that happens between dates
Threshold-based An asset class moves beyond a preset percentage-point or relative drift limit Responds to the portfolio’s actual deviation from its target Requires monitoring and a clearly written rule; a threshold is not established as best for everyone
Combined A scheduled review, with trades only when a preset drift limit or another plan condition is met Provides a predictable check while limiting unnecessary transactions Still requires you to define targets, thresholds and tax or cost constraints

For a self-directed investor who does not want to monitor balances frequently, an annual appointment is often easier to maintain than a constantly watched threshold. A twice-yearly check can make sense when contributions are large, the portfolio is near a target boundary or circumstances are changing. The SEC also cautions that rebalancing generally works best when done relatively infrequently.

When should you review sooner than the calendar date?

A scheduled interval is a default, not a reason to ignore a material change. Bring the review forward after an event that could alter the plan:

  • A goal changes, such as a home purchase, education funding or a different retirement date.
  • Your time horizon becomes shorter or longer.
  • Your ability or willingness to tolerate losses changes.
  • Your income, emergency-reserve needs, debt obligations or expected cash withdrawals change.
  • You receive a large contribution, inheritance or distribution that changes the portfolio’s proportions.
  • A fund changes its stated objective, strategy, risk profile, fees or portfolio construction.
  • You change tax residency, account type or the way contributions are made.

An earlier review does not automatically mean an immediate sale. It means you reassess the plan before allowing an old allocation to govern a new situation.

A step-by-step portfolio review

  1. Set the review date and gather records. Use a recurring calendar reminder for a date you can consistently keep. Download the latest account statements and shareholder reports for each fund, and record the review date and decisions.
  2. Write down the purpose of the money. For each account, note the goal, approximate time horizon, expected withdrawals and the level of loss you could tolerate without abandoning the plan. If any answer has changed, resolve that issue before focusing on recent returns.
  3. Calculate the current allocation. Group holdings by the categories used in your plan, such as domestic stocks, international stocks, bonds and cash. Use current market values, not the amount originally invested, and calculate each category as a percentage of the total portfolio.
  4. Compare current percentages with target percentages. Record the difference for every category. Decide in advance whether you use a calendar rule, a drift threshold or both. Vanguard illustrates a five-percentage-point threshold as an example; it is not a universal rule or a recommendation for every investor.
  5. Inspect each fund’s documents. Read the shareholder report and other current fund information for expenses, performance information, holdings, investment strategy and stated risks. Check that the fund’s objective and approach still fit the role assigned to it in your plan.
  6. Check implementation details. Look for duplicated exposure among funds, unintended concentration, a cash balance that is too high or low for the plan, and changes in automatic contributions, dividends or interest instructions.
  7. Choose the least disruptive correction. If action is warranted, consider directing new contributions, dividends or interest to an underweighted category before selling appreciated holdings. If a sale is necessary, determine the amount required to restore the target rather than liquidating more than the plan calls for.
  8. Review tax and transaction consequences. Identify whether the account is taxable or tax-advantaged, whether a sale could realize a gain or loss, and what trading or fund costs may apply. Obtain tax advice when the consequences are material or your jurisdiction’s rules are unfamiliar.
  9. Document the decision. Record the allocation, drift, fund-document findings, trades or “no trade” decision, and the next scheduled date. A written record prevents a later market headline from silently changing the strategy.

How to set an allocation-drift rule

Start with the target percentages in your investment policy or other written plan. A threshold can be expressed as a percentage-point difference from target, a relative percentage difference, or a rule that combines both. The important feature is that the trigger is selected before the next bout of market volatility, applied consistently and reviewed for suitability when your plan changes.

For example, if a plan assigns 60% to stocks and 40% to bonds, a five-percentage-point illustration would prompt attention when stocks rise above 65% or fall below 55%. The example shows how a rule works; it does not establish that five points is appropriate for your portfolio. A narrow threshold can create more trades and potentially more tax or transaction costs. A wide threshold can allow risk exposure to remain different from the target for longer.

Threshold monitoring is useful only if you actually measure the portfolio. If you do not want to check balances between formal reviews, a calendar rule or a combined calendar-and-threshold policy is more practical. No cited authority identifies one frequency or threshold as best for all investors.

What to examine inside each mutual fund

Recent performance is only one part of the review. The SEC’s shareholder-report guidance identifies several items investors can use to test whether a fund still matches its objective and expectations:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Expenses: note the fund’s disclosed operating expenses and any other charges described in its documents. A change can affect the role the fund plays in the portfolio.
  • Holdings: check the types and concentration of securities to see whether the fund still supplies the intended exposure and whether holdings overlap with another fund.
  • Investment strategy: confirm that the stated process, benchmark or mandate remains consistent with why you selected the fund.
  • Performance information: review the reporting period and compare results with the fund’s objective and relevant benchmark information, rather than reacting to one recent interval.
  • Risks: look for changes in credit, interest-rate, equity, concentration, liquidity or other risks described by the fund. The risk section matters even when returns have been strong.

A fund can lag for a period and still be operating as designed. Conversely, a strong return does not prove that the fund remains suitable. The question is whether the fund is delivering the exposure and risk characteristics your plan calls for at a reasonable, disclosed cost.

Taxes, trading costs and cash-flow rebalancing

In a taxable account, selling shares can realize a capital gain or loss. In any account, a transaction may involve a fee, spread or other cost; the exact treatment depends on the fund, intermediary and jurisdiction. Review those consequences before placing an order rather than discovering them after the trade.

You may be able to reduce sales by using portfolio cash flows. Direct new contributions, reinvested dividends or interest toward an underweighted category. If the portfolio is substantially out of alignment, a partial rebalance can correct enough of the drift without selling every position. The SEC and FINRA’s investor material describes selling overweight assets, buying underweighted assets or directing ongoing contributions toward underweighted categories as ways to restore an allocation.

Tax rules differ by country, account registration and type of transaction. U.S. tax-advantaged accounts can have different consequences from taxable brokerage accounts, while rules outside the United States may differ entirely. Confirm the applicable rules with a qualified tax professional when the decision is significant.

Do not change funds just because the market moved

Market movements are the reason allocations drift; they are not, by themselves, evidence that the plan is wrong. Rebalancing is intended to keep risk exposure aligned with a long-term strategy, not to predict the next market direction. Vanguard describes rebalancing as staying in sync with long-term goals rather than market timing.

When markets fall, compare the current allocation with the written target and reassess your ability to tolerate the planned risk. When markets rise, check whether the growth has pushed an asset class beyond your rule. In either case, use the same criteria: changed goals or circumstances, allocation drift, and a fund that no longer matches its stated role. Avoid replacing a fund solely because a different category led during the latest period.

How often should you look at your account between formal reviews?

You do not need to inspect a long-term mutual-fund portfolio every day to follow a six- to twelve-month review policy. Daily price changes rarely provide information that changes a strategic allocation decision, and frequent checking can encourage emotional trades. You may still log in when you need to verify a contribution, distribution, beneficiary or account-security issue. Those operational checks are different from deciding whether to alter the investment plan.

If you use a threshold method, establish how you will obtain current balances and how often you will measure them. A threshold policy that is never monitored is not a functioning threshold policy. Many investors can instead use the calendar date as the dependable trigger and reserve interim attention for material life or account events.

Common review mistakes and their fixes

  • Mistake: treating every review as a trade. Fix: write “no action” as an explicit possible outcome and trade only when the plan’s conditions are met.
  • Mistake: looking only at returns. Fix: read expenses, holdings, strategy and risks in the current shareholder report.
  • Mistake: changing the target after a market headline. Fix: revisit goals, horizon and risk tolerance first; make a target change only when the underlying plan has changed.
  • Mistake: ignoring cash flows. Fix: include contributions, dividends, interest and withdrawals in the allocation calculation and use them to reduce unnecessary sales where appropriate.
  • Mistake: applying a threshold inconsistently. Fix: record the threshold and apply it to every category, not only the asset class that recently performed well.
  • Mistake: overlooking account and tax context. Fix: identify the account type and likely tax result before submitting an order.
  • Mistake: abandoning a fund because of one weak period. Fix: compare the fund’s result with its stated objective, strategy, risks and reporting period.

  • Fund expense information, holdings, strategy, performance period and stated risks.
  • Contributions, dividends, interest and withdrawals expected before the next review.
  • Estimated tax and transaction implications of any proposed sale.
  • Decision: rebalance, redirect cash flows, investigate further or take no action.

Keeping the worksheet creates an audit trail of why a decision was made. It also makes it easier to distinguish a genuine change in circumstances from a temporary change in market prices.

Illustrative example of the decision process

Assume an investor’s written plan has three target categories. At the scheduled review, the investor calculates the current percentages, compares each with the predetermined limits and reads the latest reports. One category is above its allowed range, while the other two are below. The investor first checks whether the goal, time horizon or risk tolerance has changed. If not, the investor can direct new contributions and reinvested income to the underweighted categories, then determine whether a smaller sale is still needed.

If the account is taxable, the investor estimates gains and transaction costs before selling. If the account is tax-advantaged, the investor still checks fund and intermediary costs and any account-specific restrictions. The investor records the choice and keeps the next calendar review, rather than scheduling repeated trades in response to daily price changes.

What the official guidance does—and does not—establish

The SEC’s Beginners’ Guide to Asset Allocation, Diversification, and Rebalancing presents six- or twelve-month intervals as common guidance and explains rebalancing as a way to restore an intended allocation. Investor.gov’s Older Investors page also uses a six- to twelve-month interval. Vanguard’s Rebalancing your portfolio: How to rebalance says an annual rebalance is optimal for many investors and advises choosing a schedule that is easy to follow.

The SEC’s shareholder-report bulletin explains that fund reports contain information about expenses, performance, holdings, strategy and risks. A year-end SEC/FINRA investor bulletin describes selling overweight assets, buying underweighted assets and directing ongoing contributions toward underweighted categories. That bulletin is more than a decade old; its description is used here for the mechanics of rebalancing, not as a current performance study.

These sources do not provide a named statistic showing that one review schedule produces better returns than another, and they do not identify a universal drift threshold. The guidance is general investor education for a primarily U.S. audience. Tax treatment, account rules and fund availability vary by jurisdiction and account type.

A policy you can follow

Choose a recurring six- or twelve-month date, write down your targets and any drift rule, and review the plan before looking at performance. Read the current fund documents, account for taxes and transaction costs, use cash flows when that is suitable, and rebalance only when the allocation or your circumstances call for it. The best schedule is the one you can apply consistently without letting short-term market moves replace your long-term plan.
