Define the client or portfolio issue, review current documents, send a short agenda with unanswered questions, and use the conversation to test fit, risks, costs, implementation and support.
Afterward, record what was confirmed, request documents for material claims, assign owners and dates for open items, and evaluate the investment through your firm’s normal process. A persuasive meeting is evidence to consider—not proof of suitability or a substitute for independent diligence.

1. Define the outcome before you schedule
Write one sentence explaining what you need to know by the end of the meeting. A narrow purpose keeps the discussion useful and gives the wholesaler a chance to bring the right specialist or documents.

Useful meeting purposes
- Understand whether a strategy addresses a specific client objective or portfolio gap.
- Review an existing holding after a manager, mandate, benchmark or product-term change.
- Test how a strategy could complement current holdings rather than duplicate them.
- Clarify implementation, education, research or service support available to your team.
- Identify the evidence needed for a later investment-committee or client review.
Turn the purpose into a decision question, such as: “Can this strategy provide the intended diversification without adding an unacceptable liquidity or fee burden?” Avoid a goal as broad as “learn about the fund.” Broad goals invite a generic sales deck and leave you unsure what was actually resolved.

Define the portfolio context
Note the account type, time horizon, liquidity need, risk tolerance, tax considerations and existing exposures that are relevant to the question. You do not need to disclose identifying client information to make the meeting useful. Bring only information your firm’s policies permit you to share, and use aggregated or hypothetical details when they are sufficient.
For an existing position, record why it was originally selected, the role it was expected to play, its current weight and the event that triggered the review. This prevents the meeting from becoming a fresh sales pitch detached from the decision you must make.
2. Complete document homework first
Read the latest primary materials before asking questions. Product names, managers, holdings, fees, share classes, liquidity terms and availability can change, so check the document date and version. Keep prior notes beside the current materials and mark every difference.
For mutual funds and similar public products
The SEC’s investor guide, “Questions You Should Ask About Your Investments,” is a useful diligence checklist, although it is written for investors rather than as an advisor-specific compliance standard. Review the fund’s objective and strategy, principal risks, fees and expenses, liquidity, holdings, turnover, use of derivatives, purchase or sale charges and comparisons with an appropriate index or peer group. Read the current prospectus and shareholder reports, then use the FINRA Fund Analyzer through the Investor.gov “Researching Investments” resource to examine how fees and expenses affect outcomes.
For alternatives and less-liquid strategies
Start with the offering memorandum, subscription or governing documents, valuation policy, liquidity schedule, audited financial information and available operational-diligence materials. The Greenwich Roundtable guide Best Practices in Alternative Investments: Due Diligence on Any Alternative Investment (2010) emphasizes doing homework and tailoring questions to the actual strategy and portfolio context. Its age and alternative-investment focus matter: use it as a diligence framework, not as current regulation or a substitute for your firm’s review.

Build a pre-meeting fact sheet
| Item | What to capture | Why it matters in the meeting |
|---|---|---|
| Objective and role | Stated objective, intended use and constraints | Lets you test whether the product solves the defined problem |
| Strategy and process | Portfolio construction, securities used, benchmark and decision rules | Reveals what drives returns and where the approach may differ from peers |
| Risk and liquidity | Principal risks, redemption terms, gates, lockups, valuation timing and leverage | Shows whether the holding can behave acceptably in stressed conditions |
| Costs | Management and operating expenses, transaction or performance fees, loads, spreads and exit charges | Prevents a headline fee from hiding the total cost of ownership |
| Portfolio evidence | Current holdings, turnover, concentration and relevant performance periods | Supports a comparison with your existing exposure and the right peer or index |
| Changes and open points | Manager, mandate, terms, holdings, documents or availability changed since your last review | Creates specific questions instead of relying on a standard presentation |
Separate facts already established in documents from questions that require a conversation. A wholesaler should explain implications, context and implementation; the meeting should not be spent reading back a prospectus.
3. Send a short, advisor-owned agenda
Email the purpose, portfolio context at an appropriate level and the questions you need answered. Ask for current source materials in advance if a document is missing. A concise agenda also lets the wholesaler bring a portfolio manager, product specialist or operations contact when appropriate.
Agenda template
- Purpose: the client or portfolio issue and the decision the meeting will inform.
- Product role: objective, strategy, investment process and intended use.
- Risks and liquidity: principal risks, stress behavior, redemption terms and valuation limits.
- Fees and comparisons: total costs, share-class or transaction charges, and an appropriate peer or index comparison.
- Performance context: environments of relative strength or weakness and the periods that best illustrate them.
- Changes: management, holdings, process, product terms, documents or availability since the last review.
- Implementation and support: onboarding, reporting, education, research, events or service resources, including what is actually included.
- Close-out: unanswered questions, required documents, owners and follow-up dates.
Teresa Riccobuono’s Advisor Perspectives article “How Advisors Should Work with Wholesalers” (June 21, 2016) recommends an advisor-owned agenda and scheduling around a firm’s portfolio or “pick list” review cycle. That is practitioner guidance, not a current regulatory requirement; adapt the cadence to your firm’s workflow and the product type. The article’s mutual-fund orientation also means an alternatives, insurance or structured-product meeting needs a different question set.
4. Ask questions that make claims testable
Role, fit and portfolio interaction
- What client or portfolio problem is this strategy intended to solve?
- Which allocation or holding is it designed to complement, replace or diversify?
- What exposures would a portfolio already own indirectly through this product?
- When would you expect the strategy to be unsuitable or unnecessary?
Ask for an explanation in portfolio terms, not just a product description. “Diversification” should identify the source of the return and risk difference, the likely correlation behavior and the circumstances in which that difference may disappear.
Process, holdings and transparency
- How are securities selected, sized, sold and monitored?
- What is the normal range for concentration, turnover, duration, leverage or cash?
- Which holdings, exposures or derivatives are available in the latest report, and how delayed is that information?
- What would cause the team to change the process or close the strategy to new investors?
Request the current prospectus, fact sheet, holdings report, performance presentation or other primary document that supports each material claim. If the answer depends on data not yet published, record the limitation rather than treating an estimate as a fact.

Risks and liquidity
- Which risks are most likely to drive a loss, and which are difficult to see in a normal market?
- How could the strategy behave during a rate shock, credit event, equity sell-off, inflation surge or other environment relevant to the portfolio?
- What are the redemption frequency, notice period, settlement timing, gates, lockups, side pockets or suspension rights?
- How are hard-to-value assets priced, and who can challenge a valuation?
Ask what has happened in a comparable stress period, but distinguish observed history from a scenario analysis. A favorable backtest or a smooth return series does not remove liquidity, leverage, model or operational risk.

- What are the ongoing management and operating expenses?
- Are there purchase, redemption, performance, placement, spread, custody or other transaction charges?
- Which share class or vehicle is being discussed, and what makes it appropriate for the intended account?
- How do total costs compare with a suitable peer, index-tracking alternative or the existing holding?
Ask for dollar illustrations at the account size and holding period you are evaluating. Confirm whether a quoted figure is a recurring expense, a one-time charge, a waiver, a cap or a promotional term, and when it can change.
Performance and market environments
- Which periods show relative strength, and which show underperformance?
- What benchmark and peer group are appropriate, and why?
- How much of the result came from market beta, factor exposures, security selection, leverage, currency or other sources?
- What should an advisor reasonably expect the strategy to do differently from the benchmark?
Do not ask only for the best trailing return. Match the measurement period to the client’s horizon, review drawdowns and recovery time, and check whether the performance presentation uses consistent net or gross figures.
Changes since the last review
- Have the portfolio manager, analyst team, mandate, benchmark, risk limits or service contacts changed?
- Have holdings, turnover, capacity, fees, liquidity terms or distribution arrangements changed?
- Are any current documents, share classes or availability different from those in your prior file?
Request a dated explanation for material changes and place it with your meeting notes. “No change” is also worth recording when it answers a specific review question.
Implementation and support
- What onboarding, trading, reporting, tax, research or education support is available?
- Who handles operational questions, and what response time or service scope should you expect?
- Are events, portfolio reviews or training included, and what approvals are required under firm policy?
- Which materials may be shared with clients, and how often are they updated?
Ask the wholesaler to distinguish standard support from optional assistance and to identify the contact responsible for each promised deliverable.

5. Run the meeting in a controlled sequence
A 30-to-45-minute meeting can stay focused if you control transitions. Adjust the timing to complexity rather than allowing the presentation to consume the session.
- Open with the outcome. Restate the portfolio issue, the decision it informs and the questions you sent.
- Confirm the product role. Ask the wholesaler to describe the intended use and the situations in which it is not a fit.
- Test the evidence. Work through risks, costs, liquidity, performance context and changes, asking for the document or data behind each material answer.
- Discuss implementation. Cover account eligibility, trading or subscription mechanics, reporting and service ownership.
- Park sales material that is not decision-relevant. Note it for later instead of letting a broad market presentation displace your questions.
- Read back open items. Name each unanswered question, required document, owner and due date before ending the call.
Take contemporaneous notes, but label statements accurately. “Confirmed in current prospectus,” “manager explanation,” “estimate,” and “to be verified” are more useful than a single undifferentiated summary.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.6. Convert the conversation into an auditable follow-up
Write the meeting record promptly
Within your firm’s required timeframe, record attendees, date, purpose, materials reviewed, answers, assumptions, conflicts or disclosures raised, and every open item. Distinguish independently verified facts from sales commentary. If a material answer was verbal, request written clarification or the underlying document.
Verify and assign
- Check fees, liquidity, holdings, performance definitions and manager information against current primary materials.
- Assign one owner to each open question and a specific date for delivery.
- Save documents in the location required by your firm’s recordkeeping process.
- Escalate questions involving legal, tax, valuation, operational or compliance interpretation to the appropriate internal specialist.
The Greenwich Roundtable guide’s central point is that “Our benefit from such a meeting will likely be directly proportional to the quality of our preparatory work.” Its guidance also treats an initial meeting as one stage in continuing diligence, especially for alternatives. Do not close the review merely because the wholesaler supplied an attractive explanation.

Make the decision through your normal process
Once evidence is complete, decide whether the product merits additional research, a formal recommendation, monitoring only or no further action. Attendance, access to a wholesaler or a polished presentation does not establish suitability. Apply the same analysis to an existing holding and to a new idea.

Maintain a simple contact and commitment log. Riccobuono’s 2016 practitioner article recommends tracking follow-through and periodically reassessing wholesaler relationships; use that as a workflow improvement, not as a regulatory rule.
7. Compare products on the same dimensions
When several products could address the same need, use a common worksheet. Performance alone can obscure differences in risk, liquidity, cost and implementation.
| Comparison dimension | Questions to answer |
|---|---|
| Intended role and strategy | What objective does each product serve, and how does its process produce the intended exposure? |
| Risks and liquidity | What can cause loss, how severe could it be, and how quickly can the position be reduced? |
| Total costs | What recurring, transaction, share-class, performance or exit charges apply at the evaluated account size? |
| Holdings and turnover | What does the latest report show about concentration, overlap, derivatives and trading activity? |
| Performance context | How did each compare with an appropriate peer or index across relevant up, down and recovery periods? |
| Management and process continuity | How stable are the team, mandate, risk controls and documented process? |
| Implementation and service | What eligibility, trading, reporting, education and support requirements differ? |
| Client and portfolio fit | Which option best matches the client’s objective, horizon, liquidity need and existing exposures? |
If a value is not established, mark it as “not stated” and identify the document or person needed to resolve it. Never fill a comparison cell with an assumption.

8. Protect the process with firm-specific controls
The sources above do not establish your firm’s rules for compensation, gifts, events, recording communications, outside business activity, information sharing or approval of marketing materials. Review the current compliance manual and consult compliance when a meeting involves those issues.
Use approved communication channels, disclose only permitted client information, and preserve required records. If a wholesaler offers an event, data access, travel, entertainment or other benefit, obtain the relevant approval before accepting or discussing it with a client. Keep suitability, best-interest and documentation decisions with the advisor and the firm’s established supervisory process.
Quick Recap
9. Common preparation failures and fixes
| Failure | Why it weakens the meeting | Fix |
|---|---|---|
| Accepting a generic presentation | Time goes to product features unrelated to the portfolio decision | Send a purpose and question-led agenda in advance |
| Asking for facts already in the prospectus | Conversation time is wasted and document discrepancies may be missed | Read current materials first; ask about implications and exceptions |
| Focusing on recent returns | Short periods can hide drawdowns, costs and changing exposures | Request relevant market environments, benchmark context and net results |
| Ignoring liquidity and total cost | A strategy may be unsuitable even if its return looks attractive | Quantify charges and redemption constraints for the actual account |
| Leaving answers undocumented | Verbal claims become difficult to verify or revisit | Record the source, request written support and assign follow-up |
| Sharing excessive client detail | It may violate firm policy without improving the analysis | Use the minimum permitted, aggregated information |
| Treating support promises as automatic | Service scope and ownership remain unclear | Write down exactly what is included, who delivers it and by when |
