AI can help a financial adviser prepare a focused meeting brief, organize discovery questions, flag missing information, and draft an agenda. With an approved tool and appropriate consent, it can also structure meeting notes and prepare follow-up drafts. It is an assistant for research and administration—not a substitute for the adviser’s judgment, verification, privacy safeguards, or responsibility for advice.
How can AI help me prepare for a client meeting?
AI is most useful when it turns scattered, relevant information into a clear working brief: what the adviser knows, what the client has said they want, what remains uncertain, and what the meeting needs to resolve. The adviser supplies the context, sets the boundaries, checks the result, and decides what to ask or recommend.

Before the meeting, an adviser can use AI to organize approved client records and relevant public information, prioritize discovery questions, identify missing documents or dates, and draft an agenda. During and after the conversation, a properly approved tool may help capture and structure notes, convert agreed actions into tasks, and draft a recap for human review. These uses can reduce administrative friction, but the available evidence does not establish a specific time saving, accuracy rate, or revenue increase for AI-assisted meeting preparation.
What a useful meeting brief contains
- Known background: only information relevant to the meeting, with its source and any uncertainty noted.
- Client context: referral context and goals the client has actually stated, distinguished from assumptions.
- Possible planning needs: topics worth exploring, framed as questions rather than conclusions.
- Open questions: unanswered details that could change the conversation or next steps.
- Preparation gaps: missing documents, dates, decisions, or confirmations for the adviser to address.
- Agenda: a short sequence that gives priority to the client’s goals and leaves room for discussion.
This structure follows the meeting-brief approach described by Vanguard Advisors: organize a prospect’s background, referral context, stated goals, possible planning needs, and unanswered questions into a one-page brief. A brief should help the adviser listen and ask better questions; it should not present guesses as client facts.

What should an AI-assisted meeting workflow look like?
Keep AI within an assist-and-augment role: it can draft, summarize, research, and organize, while the adviser remains responsible for decisions and client outcomes. Vanguard Advisors describes these as assist and augment stages; CFP Board panelists have also identified meeting preparation, note taking, and post-meeting follow-up as practical starting points.
Before the meeting
- Choose the approved tool and permitted data. Check firm policy and the tool’s configuration first. Use only relevant public information and records the firm authorizes for that purpose.
- Provide a bounded task. Tell the tool whether it is organizing known facts, listing unanswered questions, or drafting an agenda. Ask it to distinguish supplied facts from assumptions and to flag anything it cannot verify.
- Review the brief against its inputs. Check names, dates, figures, source context, and whether the tool has turned a possibility into an assertion. Remove irrelevant or sensitive material.
- Adapt the discovery checklist. Use the client’s circumstances to prioritize questions, but keep the adviser’s approved process and professional judgment in control.
- Resolve preparation gaps. Decide which missing information should be requested before the meeting and which question is better handled in conversation.
A practical instruction might ask for a one-page brief divided into “confirmed information,” “client-stated goals,” “questions to ask,” and “items to verify.” That format makes it easier to spot when an output has gone beyond the source material. The quality of the context matters: CFP Board panelist David Itzkovits has noted that the context given to a tool has a major effect on the quality of its response.

During and immediately after the meeting
- Get consent where required and use an approved capture tool. If recording or transcription is involved, follow applicable law, firm policy, and the tool’s settings before starting.
- Separate the conversation into useful categories. Ask the tool to organize goals, concerns, decisions, action items, deadlines, and follow-up questions separately rather than produce an undifferentiated summary.
- Check the record. Compare the generated transcript or summary with the recording or the adviser’s notes. Correct names, numbers, assumptions, and any statement about what someone agreed to do.
- Assign ownership only after review. Turn approved actions into CRM notes, reminders, document requests, and tasks with a clear owner and deadline. Do not let a generated summary silently become the authoritative client record.
Client follow-up
- Draft a concise recap in the adviser’s voice, limited to points that were actually discussed.
- Separate what the adviser will do from what the client needs to provide, and give the next expected follow-up timing when known.
- Route the draft through any required compliance or supervisory review before sending it.
- Track open tasks and missing information in the firm’s approved workflow.
How should advisers check an AI-generated brief or summary?
Review the output as a draft, not as evidence. A fluent summary can still contain a wrong figure, confuse a possibility with a commitment, omit context, or introduce an unsupported claim.

Use a repeatable review that follows the path from source to action:
- Source check: Can each material fact be traced to a public source or approved client record? Is the source current and relevant?
- Fact-versus-inference check: Are client statements clearly separated from the model’s interpretation or suggested questions?
- Completeness check: Does the summary omit a concern, qualification, or unresolved issue that matters to the next step?
- Commitment check: Do the action items accurately reflect who agreed to do what, and by when?
- Suitability and judgment check: Has any planning idea been treated as advice before the adviser has verified the client’s circumstances and applied professional judgment?
- Record check: Are prompts, relevant assumptions and sources, outputs, and human edits retained where firm policy or professional standards require them?
FP Canada’s Standards Council says practitioners should use generative AI to augment rather than replace prudent professional judgment, cross-check outputs against authoritative data, document prompts, assumptions, sources, and human edits, and apply human oversight. Its examples include financial-plan narratives, client communications, market research, and internal productivity such as meeting notes. That is a useful discipline for meeting preparation: retain enough of the working trail to explain how a draft was checked and changed.
What privacy and consent controls matter?
Before putting client information into an AI workflow, establish what the firm permits, what the tool does with the information, and what the client must be told or asked. Requirements depend on jurisdiction, firm policy, the use case, and tool configuration; consent and disclosure should not be assumed to be identical everywhere.

Check data handling before use
- Whether client data is retained, for how long, and whether the firm can control deletion.
- Who can access the data, including within the firm and at the provider.
- Whether submitted information is used to train or improve models.
- What access controls and encryption apply.
- Whether the tool and its integrations are approved for the type of information involved.
Use the minimum information needed for the task. Do not place confidential client details into an unapproved service simply because it can produce a useful summary. If a task can be completed with de-identified or less detailed context, consider that narrower approach, subject to firm policy and the tool’s configuration.
Handle recording and disclosure deliberately
Transcription and meeting capture bring a different set of considerations from drafting a brief using existing records. Obtain consent when required, use a tool approved by the firm, and explain AI’s role when appropriate. CFP Board panel guidance specifically emphasizes consent before using AI tools during meetings, along with approved tools and data security. An adviser should also be prepared to explain how the notes will be reviewed and who remains the client’s human contact.
Which AI tools should an advisory firm compare?
Compare tools by control and workflow fit, not by the promise of a polished answer. CFP Board’s Technology Standard guide applies to technology used to serve clients, including advanced AI tools, and provides evaluation questionnaires and a checklist.

| Evaluation area | Questions to ask | Why it matters in meeting preparation |
|---|---|---|
| Data handling | What are the consent, retention, access-control, encryption, and model-training settings? | Meeting briefs and transcripts may include confidential client information. |
| Accuracy and grounding | Can the tool show sources or citations? How well does it handle transcripts? What review steps help catch unsupported statements? | The adviser needs to check facts and context before relying on a brief, summary, or client-facing draft. |
| Workflow fit | Does it integrate appropriately with the firm’s CRM, calendar, planning software, document systems, and secure portal? | Useful drafts still need to move into approved systems without creating duplicate or unreviewed records. |
| Governance | Are prompts and outputs logged? Is model-version information visible? Are approval queues, escalation triggers, and retention policies available? | Records and review controls help the firm supervise use and investigate errors. |
| Client experience | Can clients understand the output? Is AI use communicated clearly? Is there a human contact for questions or corrections? | Technology should support a comprehensible, accountable relationship rather than obscure who is responsible. |
For a firm, the relevant choice may involve several tool categories: meeting transcription and CRM automation, adviser-focused AI capabilities, and professional ethics or technology guidance. The right evaluation depends on the task and the firm’s controls; an AI tool used for internal note organization is not automatically suitable for recording a client meeting or producing client-facing communications.

What responsibilities remain with the adviser?
AI may help prepare or organize information, but it does not take on fiduciary or professional duties. The adviser remains accountable for verifying sources, assumptions, accuracy, suitability, and any advice or communication delivered to the client.
CFP Board’s ethics guidance frames AI as a way to improve efficiency while preserving its Code and Standards of Conduct. Its panelists describe meeting preparation, notes, and follow-up as areas of immediate practical value, while emphasizing that empathy, judgment, and knowledge of the client are uniquely human. FP Canada similarly calls for professional judgment and human oversight.

The FCA’s October 2026 review says existing rules apply to firms’ AI use and firms remain responsible for systems they develop, procure, or deploy. It identifies approved source material, human review, auditable records of prompts and outputs, clear escalation routes, and proportionate governance as good practice. These are governance principles, not permission to bypass a firm’s existing requirements: an adviser should use AI only within the controls that apply to the firm and the specific task.
No cited source establishes a numeric productivity, accuracy, adoption, or revenue figure specifically for AI-assisted adviser meeting preparation. The defensible case is qualitative: AI can help organize work and free attention for client interaction, provided the adviser checks the work and remains accountable for the result.
Frequently Asked Questions
Can AI give financial advice to a client during a meeting?
A generated answer should not be treated as a client-specific recommendation simply because it sounds confident. The adviser must verify the client’s circumstances, apply professional judgment, and follow the firm’s requirements before giving advice.
What if a client does not want AI used during their meeting?
Respect the client’s preference and follow firm policy; do not record or transcribe the discussion without the required consent. A meeting brief prepared beforehand from permitted sources may be a separate use, but the adviser should still check whether disclosure or other controls apply.
Is there evidence that AI makes adviser meetings more productive?
The cited guidance describes potential efficiency and workflow benefits, but does not provide a specific measured time saving or productivity rate for meeting preparation. Firms should not present a numerical gain as established on this evidence.
Should an AI transcript replace the adviser’s official meeting notes?
Not automatically. The transcript or summary should be checked and corrected before it is used in the firm’s records, and retention should follow the firm’s documentation policies and applicable requirements.
