The correct path depends on your taxpayer category and the form you are using. Start with the applicable GSTN manual and the live instructions displayed in the portal; do not treat a GSTR-1 instruction, a challan, or a helpdesk response as universal tax advice.
This guide explains the practical workflows documented by GSTN for India, including the checks that commonly cause delays, the difference between a technical complaint and a tax question, and the records to keep after every submission. Procedures, support hours and deadlines can change through notifications or portal updates, so verify the current notice for your tax period before acting.

What GSTN can—and cannot—answer
GSTN provides the portal, electronic ledgers, filing forms, tutorials, FAQs and technical support used by taxpayers across India. Its manuals explain how to operate a screen or complete a transaction. They do not replace the CGST Act, IGST Act, rules, notifications, circulars or advice on a taxpayer’s individual tax position.
Recommended Free Tools
- Portal-process question: How to open a registration application, upload a document, create a challan, file a form or track an error.
- Tax or legal question: Whether a supply is taxable, which rate applies, whether input tax credit is available, or how a notification affects your facts.
Use GSTN’s helpmodules and the instructions for the exact form for process questions. For interpretation, consult the relevant government law or notification and, where necessary, a qualified tax professional. A helpdesk can explain a system failure; it cannot decide your legal liability.

GST registration: the online application route
1. Open the new-registration application
- Go to the GST Portal and choose Services > Registration > New Registration.
- Select the applicant details requested on the opening screen, then start the application.
- Enter the business and authorised-signatory information shown in the form.
- Verify the contact details with the one-time passwords sent to the registered mobile number and email address.
- Complete each applicable section, upload readable supporting documents, and submit using the verification method offered for your applicant type.
The exact fields and documents vary with the entity, constitution of business, reason for registration and other facts. A company, partnership, proprietor, casual taxpayer and other categories do not necessarily follow identical checks. Use the registration manual that matches your category and follow the portal’s on-screen status messages.
2. Prepare documents before you begin
Have clear, legible copies of the documents the form requests, along with the authorised signatory’s contact details and the business information needed to complete the application. An unreadable upload, a mismatch between the application and identity details, or an OTP sent to an inaccessible contact can stop progress even when the business itself is eligible.
3. Understand Aadhaar and e-sign choices
GSTN’s registration walkthrough describes Aadhaar authentication and related verification routes. In some cases an Aadhaar e-Sign filing option is available, while the manual identifies exceptions for companies and limited liability partnerships. Aadhaar is not a universal requirement for every applicant, and one verification route does not apply to every registration. Select the method the current portal presents for your category rather than assuming that a previous application’s path will be repeated.
4. Casual-taxpayer applications are different
The casual-taxpayer workflow includes estimated supplies and estimated net liability. The applicant can create a challan for the required advance deposit; GSTN’s guide says an electronic acknowledgement is issued after that deposit reaches the Electronic Cash Ledger. This is a category-specific step, not a prerequisite for every ordinary registration application.

5. Submission is not approval
After submission, retain the acknowledgement or application reference and monitor the status shown in the portal. Filing the application only starts the review process; it does not prove that registration has been granted. Do not promise yourself or a customer an approval time unless a current official communication states one for the specific case.
Which GST return do you need?
There is no single “GST return” workflow. Filing frequency, eligible forms, exemptions, nil-return rules, payment requirements and prerequisites depend on the taxpayer category and the form. Before entering figures, identify the form and period shown in your account.
| Situation | What GSTN’s material establishes | Practical check |
|---|---|---|
| Normal or casual registered taxpayer filing outward supplies | GSTR-1 is the monthly or quarterly statement of outward supplies for applicable taxpayers. | Confirm that your category is not exempt and select the correct tax period. |
| No business activity in the GSTR-1 period | GSTR-1 must still be filed as a nil return when it applies to the taxpayer. | Do not assume that no invoices means no filing obligation. |
| Non-resident OIDAR service provider | GSTR-5A is mandatory even for a nil period; a current period cannot be filed while the prior period remains unfiled, and full payment of tax and other liabilities is required before filing. | Use the GSTR-5A instructions, not GSTR-1 instructions. |
| Composition or other specialised category | GSTR-1’s FAQ lists exemptions for composition taxpayers and several specialised taxpayer types. | Check the form-specific exemption and filing schedule that applies to your registration. |
The table illustrates why a form-first approach matters. It is not a complete catalogue of every GST return.
GSTR-1: frequency, deadlines and nil filing
Monthly versus quarterly filing
GSTN’s GSTR-1 FAQ describes a usual pattern of filing by the 11th of the following month for monthly filers and by the 13th after the quarter for quarterly filers. Those are patterns, not guaranteed dates. A government notification can extend a deadline, and the applicable date can depend on the taxpayer’s filing option and jurisdiction. Check the live due-date notice for the relevant tax period before relying on a calendar.

Nil returns are still returns
If GSTR-1 applies to you, the absence of outward business does not remove the filing requirement. Submit the nil return through the available filing flow rather than leaving the period untouched. A missed nil period can affect later compliance and may block another form that requires the previous period to be filed.
e-Invoice data and edits
For users of the e-invoice system, invoice data from the Invoice Registration Portal is passed to the GST Portal and auto-populated into specified GSTR-1 tables, including B2B, export and credit-or-debit-note tables. Review every populated entry against your records. GSTN’s FAQ says users can edit the populated details; an edit can clear source or IRN fields. Therefore, correct an entry only after checking the live form instructions and preserve the underlying invoice and adjustment records.
Online, offline and authorised preparation
GSTN publishes return and offline-tool guidance, and some taxpayers may prepare data through supported offline or authorised software routes before uploading it. The preparation method does not change the obligation to file the correct form, period and values. Validate the generated file, review portal errors, and confirm that the final submitted status—not merely an uploaded draft—shows successful filing.
Payment workflow: challan, ledgers and confirmation
Start with the form and ledger position
Before creating a payment, identify the liability and check the Electronic Cash Ledger and Electronic Credit Ledger balances. A challan is part of the portal payment workflow, but the amount and payment route shown can vary by form and transaction. Do not copy a payment instruction from another return into your own form without checking the current screen.
Rank #4
Internet banking and the Electronic Cash Ledger
GSTN’s online-payment FAQ describes internet banking through authorised banks as an online payment mode. After successful bank confirmation, the amount is credited to the Electronic Cash Ledger, identified in GSTN material as GST PMT-05. Initiating a bank transaction is not proof of credit: verify the portal’s transaction result and ledger entry before treating the liability as funded.
Form-specific example: GSTR-10
The GSTR-10 manual illustrates a particular sequence: review the return, proceed to filing, create a challan when a liability shortfall exists, select a payment mode displayed in that workflow, and complete filing through DSC or EVC. For certain payment methods, the portal receives the status after bank confirmation. This example explains how one form works; it is not a universal list of modes for every return.
When a payment appears stuck
- Keep the challan number, bank reference, date and amount.
- Check whether the bank shows success, failure or pending status.
- Refresh the relevant portal transaction and ledger screens rather than creating duplicate payments immediately.
- If the bank confirms payment but the portal does not update, raise a technical ticket with the references and a screenshot.
Do not assume that a failed or pending transaction has been credited, and do not conceal a duplicate payment when asking support to reconcile it.
How to report a GST Portal problem
Choose the channel by issue type
| Issue | Best first route | What to provide | Follow-up |
|---|---|---|---|
| Portal error, failed upload, OTP or filing malfunction | GSTN helpdesk or grievance portal | Exact error text, form, period, time, transaction or application reference, and a useful screenshot | Keep the acknowledgement number and use it to track comments and resolution |
| Taxability, rate, exemption or legal interpretation | Applicable law, notification, circular or qualified tax professional | Your factual records and the legal provision requiring interpretation | A technical ticket is not a ruling on liability |
| Need help outside phone hours | GST grievance portal | Clear description and relevant attachment | The portal is described by GSTN as available 24×7; retain the ticket number |
Phone helpdesk
GSTN’s Welcome Kit lists the technical helpdesk number as 1800-103-4786 and states that it operates daily from 9 am to 9 pm. It lists support in Hindi, English, Bengali, Marathi, Telugu, Tamil, Gujarati, Kannada, Odia, Malayalam, Punjabi and Assamese. Hours, languages and contact arrangements can change, so confirm the current details in the latest GSTN notice before depending on them.

Online grievance ticket
- Open https://selfservice.gstsystem.in.
- Describe one problem clearly, naming the form, tax period, action attempted and exact message.
- Attach a screenshot that shows the error and relevant context without exposing passwords, OTPs or unnecessary personal data.
- Submit the complaint and save the acknowledgement or ticket number.
- Use that number to track progress and read resolution comments; open a new ticket only when GSTN’s known-issues guidance or the support response directs you to do so.
Make the evidence useful
A support agent can act faster when the report includes the precise time, browser or device context if relevant, application or return reference, challan or bank reference, and the last successful step. Crop or redact credentials, OTPs, full bank details and unrelated taxpayer information. A screenshot of a generic home page is less useful than one showing the exact error and the form in which it occurred.
Known issues and escalation boundaries
GSTN’s known-issues material provides symptom-level suggestions and advises raising a new ticket with a proper screenshot for issues not covered there. Follow the suggested workaround only if it matches your symptom and current portal screen. If the issue is a statutory disagreement rather than a malfunction, use the state GST department’s website or the appropriate legal source; the technical helpdesk is not an appellate or interpretive authority.
A practical record-keeping checklist
- Registration application number, acknowledgement and uploaded-document copies.
- OTP-verification completion and any portal status message.
- Return form, tax period, draft or upload file and final filing acknowledgement.
- Challan number, bank reference, payment date and resulting ledger entry.
- Helpdesk call details or grievance ticket number, submitted screenshot and later comments.
Keeping these records together lets you distinguish a missed filing from a portal failure and gives GSTN or a tax adviser the references needed to investigate.

Before you click submit
- Have you selected the correct taxpayer category, form and tax period?
- Did you check the current notification for the deadline instead of relying on a historical example?
- Are populated invoice details reconciled with your books, and did any edit remove source or IRN information?
- Does the payment show as credited in the correct ledger, rather than merely initiated at the bank?
- If the portal failed, did you save the exact error, reference number and a redacted screenshot?
- Are you asking GSTN about a system function, or do you actually need a legal or tax interpretation?
The Bottom Line
Use the GST Portal manual for your exact registration or return category, verify every payment in the relevant ledger, and document technical failures with a ticket number and redacted screenshot. Confirm current notifications before relying on any deadline, support hour or portal option.
