GST Invoicing and Record-Keeping Checklist for Australian Small Businesses

For an Australian small business registered for GST, a compliant tax invoice normally shows the words “tax invoice,” your business name and ABN, the issue date, a clear description with quantity and price, and the GST payable where applicable. Keep the invoice and the evidence behind your GST calculations for at least the applicable retention period—generally five years, with the GST period counted from the later of preparation or acquisition and completion of the relevant transaction. This checklist explains what to issue, what to retain, how to organize it, and where the rules depend on your circumstances.

Start by confirming that the transaction is in scope

Check GST registration before using the tax-invoice label

The requirements below use Australia as the jurisdiction. They are not universal GST rules for every country. First confirm that the business is registered for Australian GST. A business that is not registered should not describe an ordinary invoice as a “tax invoice.” The registration status determines whether GST can be charged and whether the recipient can rely on the document as a tax invoice.

Keep evidence of the registration status and any change in status with your business records. If registration is uncertain, resolve that question before issuing an invoice that adds GST or represents itself as a tax invoice.

Identify the sale and its documentation needs

Invoice details depend on what was sold, who bought it, the amount, and whether GST applies to the transaction. Separate invoices or line items should make it possible to tell which goods or services were supplied, in what quantity, at what price, and how GST was treated. A vague description such as “services” may not give you enough evidence to support the reported amount later.

Put the required information on an Australian tax invoice

Use the correct title and identify the supplier

An Australian GST-registered supplier should use the words “tax invoice” on the document. Include the business name and Australian Business Number (ABN). The issue date is also required. These core identity and date fields tie the document to the registered supplier and to a particular reporting period.

Describe the supply and show the GST

Give a short but meaningful description of what was supplied. Include the quantity and price, rather than only a total. Show the GST payable if any. The wording and totals should make it clear how the amount on the invoice was calculated and which part, if any, represents GST.

Invoice element What to include When it matters
Document label The words “tax invoice” Use for an Australian GST-registered business issuing a tax invoice; do not use the label when not registered.
Supplier identity Business name and ABN Include on every tax invoice so the supplier can be identified.
Issue date Date the invoice is issued Include on every tax invoice and retain it with the transaction evidence.
Description What was supplied, with quantity and price Use enough detail to connect the invoice to the underlying sale.
GST GST payable, if any Show the GST treatment and amount where applicable.
Buyer details Buyer identity or ABN Required by the cited government guide for sales over AUD 1,000.
Invoice number A unique reference number Recommended practical control for finding, matching and discussing a document.
Contact and payment details How the customer can reach you and pay Recommended practical additions; they reduce payment and follow-up errors.

The Australian Government’s invoicing guidance sets out these fields and the threshold for buyer details: How to invoice.

Apply the AUD 1,000 buyer-information threshold

For a sale over AUD 1,000, include the buyer’s identity or ABN under the cited Australian Government guide. Treat the threshold as a condition attached to that invoice, not as a reason to omit buyer details on smaller sales when your normal process can capture them. If a transaction is split into multiple documents, retain enough detail to show what was supplied and how the documents relate to the sale.

Make corrections traceable

If an invoice is wrong, do not silently overwrite the only copy. Keep the original, issue a clearly identified corrected document or adjustment, and preserve the link between the two. Your records should show why the GST amount changed and which calculation uses the corrected figure.

Keep the evidence behind GST sales, purchases and claims

Retain both sides of the GST activity

Your records need to support reported income, expenses and GST claims. Keep sales records and the tax invoices or other evidence connected with purchases. Retain receipts and expense records for business costs, including fees, wages and other operating costs where they feed into your accounting or tax calculations.

Do not rely on a bank statement alone when a more detailed source document exists. A statement can prove that money moved, but the invoice, receipt or contract generally explains what the payment was for, the supplier, the date, and the GST treatment.

Preserve adjustments, decisions and calculations

Keep documents supporting GST adjustments, the decisions that led to them, and the calculations used to arrive at reported amounts. This includes working papers that explain how totals were assembled from invoices, receipts, credit notes or other source records. Someone reviewing the file should be able to move from a reported figure to the underlying documents without relying on memory.

The Australian Taxation Office describes the types of GST records to retain in its small-business guidance: Records required for GST.

Choose a storage method that keeps records usable

Paper and electronic records are both permitted

Australian Government guidance allows written records in paper or electronic form. Records must be in English or readily translatable. The legal format is less important than whether a record remains readable, complete, retrievable and connected to the transaction it supports.

Practical test Paper filing Electronic filing
Find one invoice quickly Depends on consistent labels and physical folders. Search and filters can be fast when filenames and folders are consistent.
Preserve readability Originals can fade, tear or be damaged. Files remain readable if the format and storage remain accessible.
Backups Requires duplicate copies or secure off-site storage. Routine backups can create multiple recoverable copies.
Link source to reported amount Manual cross-referencing is needed. File names, transaction IDs or accounting links can connect documents.
Handling paper receipts Keep the original in a dated, categorized folder. Scan or photograph it clearly and retain a readable digital copy.

These are operational criteria, not separate legal standards. Select the method that lets you retrieve an individual invoice or receipt, preserve a readable copy, back up consistently and connect source documents to reported amounts.

Use a predictable folder and naming system

Create separate folders for tax invoices, receipts and GST activity, as suggested in the government record-keeping guidance. You can divide them further by financial year, month, sales, purchases and adjustments. A useful filename can include the date, document type, supplier or customer and invoice number, for example 2026-10-17_purchase_supplier-1234.pdf. Apply one convention consistently; a perfect naming scheme used irregularly is less useful than a simple scheme used every time.

Digital copies of paper records are recommended as a resilience measure. Check that scans include all pages, totals and any handwritten information, and that the file opens after it has been saved. If you keep paper originals, protect them from moisture, heat and loss until your retention obligations are satisfied.

Control access and recoverability

Limit editing access so a stored invoice cannot be changed without a record of the change. Back up electronic records on a schedule appropriate to the volume and risk of the business, and test that a backup can actually be restored. Keep a simple index or accounting reference when a transaction has several documents, such as an invoice, credit note, payment confirmation and adjustment calculation.

Reconcile records on a routine schedule

Compare cash and electronic sales with source records

Regular reconciliation is specifically recommended in the Australian Government record-keeping tips. Compare cash takings and electronic sales with the invoices, point-of-sale reports, settlement reports or other source records that explain them. Investigate differences rather than forcing the ledger to agree.

Check copied information and totals

When information is copied between an invoice, spreadsheet, accounting system and GST working paper, check the transcription. Confirm invoice numbers, dates, amounts, GST components and customer or supplier identities. A second-person review is useful for high-value or unusual transactions, but a documented self-check is better than no control for a one-person business.

  1. Collect the period’s sales, purchase invoices, receipts, credit notes and adjustment documents.
  2. Match each source document to the corresponding accounting entry or transaction reference.
  3. Compare cash and electronic sales totals with the source reports and investigate unmatched items.
  4. Check that GST amounts and classifications were copied accurately into the calculation used for reporting.
  5. Record corrections with an explanation and retain the original evidence alongside the corrected entry.
  6. Save the completed reconciliation and its supporting files in the GST folder for the relevant period.

Apply the correct record-retention period

Use five years as the general Australian baseline

The Australian Government states that most business records should be kept for at least five years. That is a general baseline, not permission to destroy every document exactly five years after the invoice date.

Count the GST period from the later relevant event

ATO GST guidance describes a five-year period counted from when records were prepared or obtained, or from completion of the relevant transaction, whichever is later. Apply that rule to the complete record set: invoices, receipts, calculations, adjustments and other evidence supporting the GST treatment.

Check for review periods and exceptions

Keep records long enough to cover an applicable review period. Some circumstances can require a longer retention period, so do not use the five-year baseline without checking the nature of the transaction and any other obligations that apply to the business. If a document supports more than one obligation, retain it for the longest applicable period.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

At the end of a retention period, confirm that no review, dispute, amendment or other obligation requires the records to be kept longer. Dispose of records securely and retain an audit trail of what was destroyed and when if your internal controls call for one.

Run this end-to-end GST filing workflow

  1. Confirm status: verify that the business is GST-registered before issuing a document labelled “tax invoice.”
  2. Classify the transaction: identify the goods or services, customer, amount and GST treatment.
  3. Issue the invoice: include the required supplier, date, description, quantity, price and GST details; add buyer identity or ABN when the sale exceeds AUD 1,000.
  4. Assign a unique reference: use an invoice number that will not be reused, and preserve links to corrections or credit notes.
  5. Capture the source evidence: store the invoice, receipt, contract, payment evidence and any related adjustment or calculation.
  6. File consistently: place the document in the appropriate sales, purchase, receipt or GST folder using the same naming convention.
  7. Reconcile: match records to cash and electronic sales and verify copied amounts before using them in GST reporting.
  8. Protect and back up: maintain readable copies, restrict untracked edits and test recovery of electronic backups.
  9. Retain: apply the five-year rules and any longer period required by the transaction or a review.

Common mistakes and practical fixes

Calling a non-GST invoice a tax invoice

Problem: the document uses the tax-invoice label even though the business is not GST-registered.

Fix: confirm registration before issuing the document and correct customer-facing templates when registration status changes.

Leaving out buyer details on a sale over AUD 1,000

Problem: the invoice exceeds the cited threshold but has no buyer identity or ABN.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Fix: make the buyer-details field mandatory in the invoicing workflow whenever the sale crosses AUD 1,000.

Keeping totals without the underlying evidence

Problem: a spreadsheet or bank export shows a total, but the individual invoices, receipts or calculations cannot be found.

Fix: attach or index the source documents and retain the working papers that explain adjustments and GST amounts.

Relying on an unsearchable pile of scans

Problem: digital files exist but cannot be matched to a transaction or retrieved promptly.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Fix: use dated folders, descriptive filenames and a transaction reference; verify that scans are complete and readable.

Assuming an agent or software provider assumes responsibility

Problem: records are held by a tax agent or digital service provider, and the business has no independent access or backup.

Fix: maintain access, export or backup procedures and a retention schedule. The business remains responsible for its records even when record keeping is outsourced.

Deleting files at the five-year mark without checking context

Problem: records are destroyed based only on the invoice date.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Fix: calculate the GST retention period from the later applicable event and check for reviews, disputes or other rules that require longer retention.

When the Australian checklist is not enough

The requirements in this article are framed for Australian small businesses and the cited Australian Government and ATO guidance. If the business operates in another country, is registered in multiple jurisdictions, sells across borders, or has an unusual transaction, do not transfer these fields or time periods automatically. Confirm the invoice wording, buyer-information threshold, GST treatment and retention start date for each relevant jurisdiction and transaction type.

For an Australian business, the authoritative starting points are the government’s Record keeping guidance, How to invoice, and the ATO’s Records required for GST. Check the current pages when a registration status, reporting arrangement or transaction changes.
