A change to the vehicle, transport mode, or conveyance during a journey is handled differently: update Part-B on the active bill so the portal record matches the conveyance actually carrying the goods.
Before submission, edit the entry directly. If product details have locked the field you need to change, the official E-Way Bill System FAQ says to remove the products, make the edit, and enter the products again. The decision depends on whether the bill is still a draft, has been submitted, or is already being used in transit.

Choose the correction path first
Use the bill’s current state and the type of error to choose an action. Do not try to solve a vehicle change by cancelling a bill that can be updated, and do not assume a submitted invoice or commodity field can be overwritten.

The status shown in your account is decisive. Check whether the bill is active, whether its validity has ended, whether a transporter is assigned, and whether an officer has verified it in transit before selecting an option.

Errors caught before you submit
Edit the draft directly
When the e-way bill has not been submitted, correct the wrong entry on the form and review the entire record before submission. This is the safest point to fix a spelling, number, commodity, or transport detail because the bill has not yet become a submitted record.
After changing the field, inspect the related values again. A correction to commodity information can affect tax treatment, while a transport change can affect the Part-B information. Submit only after the values displayed on the form describe the actual movement of goods.
When a product entry locks the field
The official FAQ describes a specific workaround when entered products prevent editing another field because tax rates may change. Follow this sequence:
- Remove the products already entered on the form.
- Edit the field that was locked.
- Enter the products again with the intended details.
- Review the completed form and submit it only after the values are correct.
This workaround applies to the pre-submission situation described by the FAQ. It is not a method for changing a bill that has already been submitted.
What to record before submitting
- Write down the value you intended to enter and the value displayed on the form.
- Confirm that the commodity details you re-entered are the ones that belong on the movement.
- Check the vehicle or other conveyance details against the transport arrangement that will actually be used.
- Keep the final submitted reference and the underlying business records together so a later correction can be traced.
Wrong information after submission
Why ordinary editing is not available
The official E-Way Bill System FAQ says a submitted e-way bill cannot be modified or corrected as a general matter. A submitted error in a field other than Part-B therefore requires a new bill rather than an overwrite of the old entry.
The stated remedy is to cancel the submitted bill and generate another one containing the corrected information. The FAQ describes cancellation as appropriate when the goods are not transported or are not transported as detailed in the bill. Keep the reason for the correction in your internal records, including which value was wrong and which value replaced it.

Check cancellation eligibility before acting
Cancellation is limited to 24 hours from generation. It also cannot be used once the bill has been verified in transit by the proper officer. These are separate gates: a bill can be within the time window but still unavailable because of transit verification, or it can be unverified but too old for cancellation.

Look at the bill’s generation time and current status before attempting the cancellation. If the portal rejects the action, preserve the displayed message and do not create a second bill blindly. First determine whether the rejection reflects the time limit, transit verification, an inactive status, or an account or transporter issue.
Cancellation and corrected regeneration workflow
- Open the submitted e-way bill and confirm that the wrong information is in a field other than the vehicle or other Part-B details.
- Check the generation time and bill status. Confirm that transit verification has not made cancellation unavailable.
- Use the portal’s cancellation function and select the applicable reason presented by the system.
- Record the cancellation reference or confirmation shown by the portal.
- Start a new e-way bill using the corrected information and the underlying transaction records.
- Before submission, compare every value with the invoice or other source document and with the transport arrangement.
- After generation, save the new bill number and communicate it to the people responsible for dispatch and carriage.
Do not treat the corrected bill as a silent replacement. Retain the cancelled reference and the new reference together so an auditor or operations colleague can see why two records exist.
Vehicle changes, breakdowns, and trans-shipment
When the same vehicle is repaired
If a vehicle breaks down and the same vehicle continues the journey after repair, the FAQ says the movement can continue on the existing e-way bill. A repair does not itself require a new bill when the conveyance has not changed.
Keep a simple internal note of the breakdown and repair if your dispatch records normally capture such events. The key distinction is whether the vehicle that ultimately carries the goods is the same vehicle listed in the bill.

If the goods move into a different vehicle, update the new vehicle information in Part-B. The generator or the assigned transporter may perform the update described in the FAQ. The portal record should show the vehicle actually carrying the goods, not the vehicle originally planned if that plan changed.

- Confirm that the bill is still active and that its validity has not expired.
- Open the bill’s vehicle or mode update option.
- Choose the Part-B update route for the changed conveyance.
- Enter the replacement vehicle details exactly as required by the portal.
- Submit the update and verify that the displayed Part-B details now identify the vehicle in use.
- Give the updated information to the driver, transporter, and dispatch team responsible for the movement.
The update is for the conveyance change; it is not a way to edit unrelated submitted fields such as commodity information.
Trans-shipment
The FAQ also allows vehicle details to be updated for trans-shipment. Trans-shipment means the goods move from one conveyance to another during the journey. Record the new conveyance in Part-B as soon as the change is known and before relying on the updated bill for the next leg.
Verify the resulting entry rather than assuming that a successful submission means the intended value was saved. The current conveyance number should be visible in the bill record and should correspond to the vehicle physically carrying the goods.
Updating the transport mode correctly
The latest mode or conveyance number must be reflected through the portal’s vehicle or mode update option when the transport arrangement changes. The GSTN API documentation specifies different identifying information depending on the mode:

For a road movement, enter the vehicle number for the conveyance that is actually carrying the goods. For rail, air, or ship, use the transport document number requested for that mode rather than trying to substitute a road vehicle number.
The API documentation states that the bill must be active and unexpired for these updates. If the bill has expired, an update may not be a valid recovery path; first establish the bill’s live status and the applicable validity for the movement instead of repeatedly submitting the same request.

How to diagnose a failed correction
The edit control is missing before submission
Confirm that the form is still a draft and that the product lines are the reason the field is locked. If so, use the remove-products, edit, and re-enter-products sequence described by the FAQ. If the field remains unavailable after that sequence, capture the exact message and review the account’s displayed bill state before submitting anything.
The portal will not cancel a submitted bill
Check the generation time against the permitted cancellation period and look for evidence that a proper officer has verified the bill in transit. Either condition can make cancellation unavailable. Also confirm that you are working on the intended bill and not a later corrected record.
The Part-B update is rejected
Check three items first: the bill is active, the bill has not expired, and the value supplied matches the transport mode. A road update needs a vehicle number; rail, air, and ship updates need a transport document number. Review the assigned transporter and the error text shown by the portal, because account permissions and current screen behavior can affect which update controls appear.
The vehicle on the portal does not match the vehicle on the road
Stop relying on the stale record and determine whether the movement is still within the bill’s validity. If it is, update Part-B with the current vehicle and verify the saved result. If validity has ended, do not assume that a late update will revive the bill; establish the appropriate compliance action for the specific movement and retain the error message and status details.
The goods have not moved as described
When the movement has not taken place or is no longer occurring as detailed in the bill, the FAQ identifies cancellation and corrected generation as the route for an eligible submitted bill. Do not keep an inaccurate bill active merely because dispatch was planned earlier.
Controls to prevent repeat e-way bill errors
Separate transaction data from movement data
Use a two-part review. First validate the transaction and commodity information that belongs in the submitted bill. Then validate the movement information in Part-B, including the conveyance or transport document that will be used. This separation helps the team choose a Part-B update for a vehicle change instead of cancelling a bill unnecessarily.

Use a dispatch handoff
Before goods leave, have the person preparing the bill and the person arranging the vehicle compare the final record. The handoff should confirm:
- The bill number and current status are recorded.
- The conveyance shown in Part-B is the conveyance assigned for the first leg.
- The transport mode and identifying number use the format required for that mode.
- The dispatch team knows who is responsible for updating Part-B if a vehicle is replaced or a trans-shipment occurs.
Monitor changes during the journey
Ask the transporter or driver to report a breakdown, vehicle replacement, trans-shipment, or mode change immediately. The person responsible for the e-way bill can then determine whether the same vehicle continues, whether Part-B needs an update, and whether the active, unexpired condition still holds.
Keep an exception log
For each correction, record the original bill reference, the incorrect field, the reason for the change, the action taken, and the resulting bill or Part-B update. Store the portal’s confirmation or error message with the dispatch documents. This creates a clear trail without altering the official record after submission.

The FAQ and API documentation describe the correction paths, but they do not guarantee that every account will display identical controls. Permissions, assigned-transporter status, the bill’s live state, and the exact error message can affect what you can do on the portal.
They also do not provide a single distance-based validity formula that can safely be applied to every movement. Check the validity shown for the particular bill and transport circumstances rather than relying on a remembered distance rule. If the portal’s status, validity, or verification information conflicts with your records, preserve the displayed details and obtain case-specific professional guidance before moving goods under an inaccurate record.
