Yes, you can sell through several e-commerce platforms, but you need one coordinated GST control system rather than separate spreadsheets for each marketplace. Before listing products, decide whether you need ordinary GST registration, GSTN enrolment available to eligible unregistered one-State/UT goods sellers, or the optional simplified 2026 e-commerce registration scheme. Then map every GSTIN to the correct state, warehouse and platform account; issue non-duplicating invoices; reconcile each settlement’s sales, returns, fees and tax collected at source (TCS); check e-invoicing; and file the applicable returns.
This India-focused checklist reflects official material available on 25 October 2026. Registration exceptions, e-invoice thresholds, tax rates, forms and due dates can change through notifications, so verify the current GST portal, CBIC, GST Council and platform instructions before filing.

Your registration route comes first. A supplier selling through an electronic commerce operator (ECO) that is required to collect section 52 TCS generally cannot rely on the ordinary threshold exemption. The Central Board of Indirect Taxes and Customs states that this requirement applies when the supply is made through an ECO required to collect TCS under section 52 of the CGST Act, 2017.
Choose the route that matches your facts
| Route | Who it is for | Conditions and cautions |
|---|---|---|
| Ordinary GST registration | Sellers whose activities require a GSTIN under the normal rules, including many marketplace sellers | Register each required state or Union territory and charge, report and pay tax under the applicable rules. The ordinary threshold exemption is generally unavailable for supplies through a section 52 TCS ECO. |
| GSTN enrolment for eligible unregistered goods sellers | An eligible seller supplying goods from only one State or Union territory through an ECO | Eligibility is limited. Confirm that your products, state coverage and platform arrangement satisfy the current GSTN conditions before relying on enrolment instead of registration. |
| Optional simplified ECO registration scheme (2026) | Eligible small sellers choosing the new simplified route | Requires exclusive ECO supplies, compliance with the specified monthly output-tax ceiling, ECO consent to use a warehouse as the principal place of business, biometric Aadhaar authentication and physical verification. Check the current notification for the ceiling and procedural details. |
Apply through the GST portal
- Open Services → Registration → New Registration on the GST portal.
- Prepare the legal-name, PAN, contact, bank, business-address and authorised-signatory information required for the chosen route.
- List every state, fulfillment centre and warehouse that will be used, and decide which GSTIN will report each movement and sale.
- For the simplified scheme, retain the ECO’s consent, evidence of exclusive ECO selling, Aadhaar authentication completion and any physical-verification documents.
Do not create marketplace listings first and try to regularise registration later. A wrong route can affect invoice validity, TCS credit, return reporting and the tax treatment of stock held in another state.

How should I map GSTINs, states and shared warehouses?
Build a written map connecting each platform account, selling state, warehouse, fulfillment centre and GSTIN. A marketplace order should be traceable from the customer-facing transaction to the location that dispatched it and the registration that reports it.
State and fulfillment mapping
- Maintain a master list of GSTINs with the legal entity, state or Union territory, platform account and effective date.
- Record the dispatch warehouse and the GSTIN responsible for each stock location before inventory is sent there.
- Configure place-of-supply logic separately from the shipping address; the tax result depends on the applicable GST rules and transaction facts.
- Keep platform settlement statements and shipping records tied to the same order and GSTIN identifiers.
Using a warehouse shared by several sellers
Multiple ECO sellers may use the same facility as an additional place of business when each seller has documents supporting its right to use the premises and maintains the required records. Obtain a written agreement, owner consent or other accepted occupancy evidence for each GSTIN, and keep an allocation of stock and dispatches by seller.

If the 2026 simplified scheme is used, the ECO must consent to the warehouse being the principal place of business, not merely an additional location. That extra condition makes the warehouse decision part of the registration application rather than an afterthought.

What information must every marketplace invoice contain?
Use one controlled invoicing system across all platforms. For each GSTIN and financial year, the invoice series must be unique: GSTN guidance says, “For a particular GSTIN, there cannot be duplicate invoice series in a particular financial year.” A series such as INV-26-000001 can be used across platforms only if the sequence remains controlled and never duplicates for that GSTIN during the year.
Required order-to-invoice data
- Platform order ID, seller account and invoice number and date.
- Customer name and address, with the customer GSTIN when applicable.
- Product description, HSN or service description and SAC where relevant.
- Quantity, taxable value, discounts and the treatment of shipping or other amounts included in the transaction.
- GST rate and the applicable tax split, such as central and state tax or integrated tax.
- Place of supply and the GSTIN and physical location from which the order was fulfilled.
- Cancellation, return, refund, replacement and credit-note references that preserve the link to the original invoice.
- E-invoice reference details, including the IRN and QR information, whenever e-invoicing applies.
Control cancellations and returns
Do not delete a cancelled order from the accounting file. Mark its status, retain the platform event and connect any refund or credit note to the original invoice. A returned item should affect inventory, the customer refund, the credit-note record and the return data in the same period or adjustment process required by the applicable rules.
When do I need e-invoicing for marketplace sales?
E-invoicing applies only when the seller falls within the current notified conditions. Because turnover thresholds and classes of taxpayers are notification-sensitive, confirm the latest applicability before assuming that a marketplace order is exempt.

What the IRP process does
For an applicable invoice, submit the prescribed invoice data to the Invoice Registration Portal (IRP). The National Informatics Centre explains that the system authenticates the invoice and transfers the information from the e-invoice portal to both the GST portal and the e-way bill portal in real time. Store the returned Invoice Reference Number (IRN), signed invoice data and QR code with the source order.
Integration checks
- Test that the tax codes, HSN or SAC, place of supply and document types sent by your marketplace or accounting system match the invoice.
- Prevent a second submission when an order is retried after a timeout; use the original IRN response as the control record.
- Reconcile IRNs issued, cancelled and rejected with the invoice register before filing.
- Check whether a separate e-way bill is required for the movement and whether the data flows correctly to that portal.
How do I reconcile TCS and settlements from several platforms?
Reconcile at every settlement cycle, not only at month-end. A settlement statement is a net cash report, while GST returns require the underlying gross supplies, adjustments and tax classifications.
Use a transaction-level bridge
| Settlement element | Control to perform |
|---|---|
| Gross orders | Match every order to a dispatch record and a GST invoice or documented cancellation. |
| Returns and cancellations | Match platform status changes to inventory movements, refunds and credit notes. |
| Platform commission and logistics | Record these as separate charges; do not net them against taxable sales in the sales register. |
| Advertising, payment-gateway and other fees | Keep each charge category and its supporting statement or invoice separate from customer turnover. |
| Refunds and replacements | Link the refund or replacement shipment to the original order and determine the required tax-document adjustment. |
| TCS withheld | Compare the ECO’s TCS statement with the GST records and investigate amount or timing differences before claiming the credit. |
| Net settlement | Prove that gross sales less returns, fees, refunds and TCS equals the bank receipt or payable balance. |
When two ECOs participate
Some transactions involve more than one ECO, such as a marketplace combined with another operator handling a distinct part of the sale. Assess which operator is responsible for TCS transaction by transaction, document that conclusion and avoid assuming that the operator remitting the cash is always the TCS collector.

Handle timing differences explicitly
Keep a reconciliation log showing the settlement date, order date, invoice date, return date and TCS-reporting date. A difference that is merely a reporting lag should be carried as an open item with an expected resolution, while an amount or GSTIN mismatch should be investigated with the platform before the relevant return is filed.

Section 35 requires records of production or manufacture, inward and outward supplies, stock, input tax credit and output tax. For a marketplace business, the statutory books should be supported by the operational evidence that explains each number.
Core evidence folder
- GST invoices, credit notes, debit notes and cancellation records.
- IRN, signed e-invoice and QR data for applicable documents.
- Platform order, dispatch, return, refund and settlement reports.
- TCS statements and the reconciliation to the GST records.
- Shipping and delivery evidence, including the fulfillment location.
- Purchase invoices, input-tax-credit support and inventory movement reports.
- Warehouse agreements, owner consents and documents supporting each additional place of business.
- System audit logs showing edits, approvals, user access and exports.
Periodic filing close
- Lock the order and invoice data for the reporting period after all known cancellations and returns are posted.
- Reconcile books, inventory, platform reports and TCS credits.
- Review the e-commerce portions of GSTR-1 and confirm that invoice numbers are unique for each GSTIN and financial year.
- Check output tax, input tax credit, credit notes and place-of-supply classifications.
- File GSTR-1 and every other applicable periodic return by the due date currently notified for your taxpayer category.
Annual close
Check whether an annual return is required under the current Rule 80 position and observe the applicable deadline. Tie annual sales, returns, credit notes, tax paid, input tax credit, inventory and TCS to the year-end books before submission. Archive records under the retention period that applies to your records and internal policy.

Should I use spreadsheets, accounting software or a marketplace connector?
The right workflow depends on order volume, number of GSTINs and warehouse complexity. Compare systems against compliance controls rather than marketing features.
| Capability | Manual spreadsheet workflow | Accounting software | Integrated marketplace connector |
|---|---|---|---|
| GSTIN and state coverage | Possible, but dependent on disciplined user-maintained mappings | Usually structured by company, branch or GSTIN | Useful when several platforms and locations must feed one control layer |
| Order and return ingestion | Imports require checking and version control | May require uploads or an integration | Designed to ingest orders, cancellations and returns from connected platforms |
| TCS reconciliation | Requires a carefully designed bridge and periodic matching | Often supports ledgers and reports; verify platform-specific TCS handling | Can automate matching, but exceptions still need human review |
| E-invoice and e-way-bill integration | Manual portal work and higher duplicate-entry risk | May support direct integration; confirm current IRP compatibility | Useful only if it preserves IRN, QR and error logs |
| HSN/SAC and place-of-supply controls | Dependent on protected master data | Typically available through tax masters and validation rules | Must be tested against each platform’s product and address fields |
| Inventory and warehouse mapping | Prone to timing and location errors | Usually supports stock ledgers and locations | Valuable when fulfillment data arrives from multiple operators |
| Audit trail, exportability and permissions | Requires locked files, backups and access controls | Usually stronger, subject to configuration | Check whether raw platform data and adjustment history can be exported |
| Support for current notifications | Entirely user-managed | Depends on the provider’s update process | Confirm update timing and escalation support before relying on automation |
A paper “GST invoice book” can help with physical record keeping, but it does not replace GST portal filing, e-invoicing or the statutory records required under section 35. Whichever system you choose, retain source reports and an export that an auditor can read without logging into a marketplace.
What is a practical implementation sequence?
- Map the business. List legal entities, GSTINs, states, platforms, warehouses, product tax codes and fulfillment paths.
- Approve the registration route. Document why ordinary registration, GSTN enrolment or the simplified 2026 scheme applies, including every condition and limitation.
- Configure controls. Set invoice numbering, HSN or SAC masters, place-of-supply rules, credit-note types, user permissions and warehouse codes.
- Run a controlled test. Process sample orders covering an interstate sale, a return, a cancellation, a discount and a shipment from each warehouse; verify the invoice and any IRN or QR result.
- Reconcile the first settlement. Match gross orders, adjustments, fees, TCS and the bank receipt before scaling listings.
- Close each period and archive. Complete the return review, preserve evidence and record unresolved differences with an owner and deadline.
What are the most common failure points?
- Listing before registration analysis: correct the route and GSTIN mapping before accepting further orders.
- Duplicate invoice numbers: stop the affected series, identify every duplicate, preserve the audit trail and correct reporting through the permitted document-adjustment process.
- Netting platform fees against sales: rebuild the bridge from gross order value and show commissions, logistics and other charges separately.
- Missing TCS credit: compare the platform statement, settlement period and GSTIN; keep the item open until the source of the difference is documented.
- Warehouse mismatch: update the additional-place documents, stock-location mapping and dispatch records before the next filing close.
- Unverified e-invoice assumption: check the latest notification and turnover position instead of relying on an old threshold or a platform default.
Frequently Asked Questions
Is GSTN enrolment the same as having a GST registration certificate?
No. Enrolment is a separate facility for eligible unregistered goods sellers operating within the specified one-State/UT and ECO conditions. It should not be treated as a general substitute for a GSTIN when your facts require ordinary registration.
What should I do if a marketplace’s TCS amount is missing from my GST data?
Keep the settlement statement, order list and TCS report together, then compare the platform’s reporting period and GSTIN with your books. Record the difference as an open reconciliation item and resolve it with the ECO or through the applicable correction process before claiming an amount that is not supported.
Can a printed invoice book satisfy marketplace GST compliance by itself?
No. A printed book may support manual numbering, but it does not perform GST return filing, e-invoice authentication, TCS matching or the broader records required for stock, input tax credit and output tax.
Who is responsible for TCS when two e-commerce operators handle one transaction?
Responsibility must be assessed for that transaction based on the roles of the operators and the section 52 rules. Keep a written allocation and supporting reports instead of assigning TCS automatically to the operator that remitted the settlement.
