GST accounting software vs. spreadsheets: which is right for a small business?

There is no universal winner. A spreadsheet can be a sound choice for a very small, stable business when one capable person maintains formulas, reconciles transactions, preserves invoices and other evidence, and can meet the local GST authority’s reporting rules. Dedicated accounting software becomes the stronger option when you need repeatable GST reports, invoicing, payroll, inventory, multiple bank accounts, digital filing, regular management reports, controlled access, or a system that can grow with the business.

The right decision is therefore about compliance, transaction complexity, workflow, security, accountant compatibility and maintainability—not a blanket rule that every small business must buy software.

Quick answer: match the tool to the work

Situation Usually the better starting point Why
Few transactions, simple GST categories, one bank account and no payroll or stock Well-designed spreadsheet Lower setup complexity and no accounting-package subscription; the owner can still retain all source records and perform GST checks.
Regular invoicing, refunds, several bank accounts, inventory, jobs or multiple staff Accounting software Structured transaction entry, linked records, repeatable reports and role-based workflows reduce manual administration.
Frequent GST filings or digital reporting obligations Software that supports the local authority’s required format Reporting and export features can consolidate transactions, but tax codes and exceptions still require review.
Paper or electronic source documents with a simple summary process Mixed system You can retain source evidence digitally or on paper while using a spreadsheet or software for summaries, provided the records remain connected and meet local rules.

Australian Government guidance explicitly lists accounting software, web-based systems and spreadsheets as digital record-keeping options. It even suggests spreadsheets for someone confident with computers who does not have funds for an accounting package. That recognition does not waive GST evidence, retention or reporting duties.

First establish your jurisdiction’s GST record rules

“GST” is used in several countries, but the required records, retention periods and electronic-reporting rules are not interchangeable. Identify the country and tax registration regime before choosing a template or product.

Australia

Australian business guidance says businesses must retain records relating to tax, superannuation and registrations, including income, sales, business expenses, bank records and GST records when registered. Records should be protected from unauthorised changes or damage, and digital records should be backed up.

Australian Taxation Office GST guidance requires evidence for the income and expenses used to calculate GST and claim credits. Examples include sales records, tax invoices, other GST transactions, fees, expenses, wages and other business costs. Keep documents that show GST adjustments, decisions and calculations.

GST records generally must be kept for five years, measured from the later of when the record was prepared or obtained, or when the relevant transaction was completed. The guidance also advises retaining records long enough to cover the applicable review period and notes that some exceptions exist. A spreadsheet file or software database is only one part of that record set; invoices and supporting documents must remain available in an acceptable form.

New Zealand

Inland Revenue accepts paper records, bookkeeping software, or a combination of paper and electronic records. It says records of cash and electronic sales and purchases must be kept for seven years. Examples include taxable supply information, supply-correction information, bank statements, invoices, receipts, card records, point-of-sale records and cashbooks. Do not import Australia’s five-year period into New Zealand.

India

India’s Central Board of Indirect Taxes and Customs account-record rules illustrate why local requirements matter. For a registered person, records include tax payable, tax collected and paid, input tax and input tax credit claimed, plus registers for invoices, credit notes, debit notes and delivery challans for tax periods. Electronic records must support logged edits or deletions, backups and an audit trail connecting entries to source documents and financial accounts. Confirm the current rule and its application to your registration and business before relying on a template or system.

What both methods must do

The format does not remove the evidence requirement. Whichever method you choose, build a process that can answer these questions for each reporting period:

  • What was sold, purchased, refunded or adjusted?
  • What GST treatment was applied, and why?
  • Which invoice, receipt, bank entry or other source document supports the amount?
  • How were totals calculated and reconciled to bank, point-of-sale and payment records?
  • Who entered or changed the record, and can the business recover an earlier version when required?

Entering figures into accounting software does not automatically make the original evidence disposable. Australian guidance allows digital images of paper documents when they are true, clear reproductions and satisfy record-keeping rules; retain the underlying record in an acceptable form. New Zealand expressly permits mixed paper and electronic records, but the source documents still need to be complete and retrievable.

When a spreadsheet is a sensible fit

A spreadsheet is plausible when the business has a small and stable set of transactions, few GST categories, no complicated stock or payroll workflow, and a responsible person who can maintain formulas and source records. It is most defensible when:

  • one person owns the bookkeeping and understands the GST treatment of the transactions;
  • sales and purchases are relatively uniform;
  • there are few refunds, adjustments, foreign-currency entries or work-in-progress jobs;
  • the business uses few bank and payment accounts;
  • the owner can reconcile the spreadsheet to source documents and bank statements every period; and
  • the local tax authority does not require a filing format or audit trail the spreadsheet cannot provide.

The absence of a subscription fee is not the same as zero cost. Someone must design categories, protect formulas, update tax rates or codes when rules change, perform backups, correct errors and prepare reports. The official material reviewed provides no reliable universal statistic for spreadsheet error rates, time savings or a break-even transaction count, so do not rely on generic claims that one method is always cheaper or more accurate.

Minimum controls for a GST spreadsheet

  1. Separate input from calculations. Use a transaction sheet for date, supplier or customer, description, account, gross amount, GST amount, tax code, payment account and source-document reference. Keep summary formulas on protected sheets.
  2. Use controlled categories. Apply a data-validation list for GST codes and account categories rather than free-typing them on every row.
  3. Preserve the source link. Give each invoice, receipt or adjustment a file name or reference that can be found in the document archive.
  4. Reconcile regularly. Compare spreadsheet totals with bank statements, payment processors, point-of-sale reports and cash counts. Investigate differences instead of plugging them with a balancing number.
  5. Lock and version the file. Restrict formula cells, record the period covered, retain dated backups and keep a change log for material corrections.
  6. Review exceptions. Have an accountant or tax agent check unusual purchases, mixed taxable and private use, credit notes, asset sales, imports, bad debts and other transactions that do not follow the normal pattern.

When accounting software becomes more compelling

Software earns its additional setup and subscription complexity when it removes repeated manual work or supplies controls a spreadsheet would be difficult to maintain. It is more compelling when the business needs several of the following:

  • GST summaries and transaction-level reports for the local filing process;
  • sales invoices, credit notes, refunds and customer balances;
  • payroll, including statutory payroll reporting where applicable;
  • inventory, work-in-progress or job tracking;
  • multiple bank, payment or business accounts;
  • foreign-currency transactions;
  • cash-flow forecasts and recurring management reports;
  • separate user access, approval workflows and an audit history;
  • routine backups, export and recovery procedures; or
  • collaboration with a registered tax or BAS agent.

Australian guidance says accounting packages can record transactions, calculate GST, update ledgers, prepare financial statements and generate invoices. It also stresses that the user must be able to understand and operate the system, that it must meet legal record-keeping requirements, and that it should support digital reporting and Standard Business Reporting where required. Automation does not decide every tax question: staff still need to select the right code, retain source documents and review exceptions.

Compare the two methods on the questions that matter

Decision axis Spreadsheet considerations Software considerations
Transaction complexity and volume Works best for a small, consistent stream that one person can review. Structured entry and linked records are useful for varied sales, purchases, refunds, stock, jobs, locations or entities.
GST calculations and evidence Formulas and tax-code lists must be designed, protected and checked; supporting invoices remain essential. Can produce GST reports and retain transaction detail, but incorrect tax coding still produces incorrect output.
Invoicing and refunds Requires separate templates, numbering controls and manual updates to summaries. Usually combines invoice creation, credit notes, customer balances and ledger entries in one workflow.
Payroll and inventory Possible, but complexity and maintenance rise quickly. Relevant modules can connect payroll, stock or jobs to financial reports; verify local compliance before purchase.
Time and error control Can be fast for a simple process, but copied formulas, broken links and inconsistent categories are failure points. Repeats configured workflows and validations, but setup, training and review are still required.
Cost May avoid an accounting-package subscription; design, maintenance, training and reconciliation still consume time. Includes setup and ongoing charges; no independent evidence establishes a universal price or break-even point.
Skills and maintainability Someone must understand formulas, categories, versions and backups. Someone must understand the chart of accounts, tax codes, permissions, imports and reports.
Accountant or agent workflow Confirm the adviser can review the file and source archive efficiently. Confirm compatibility with the registered tax or BAS agent and the ability to export complete records.
Backup, access and security Define where files are stored, who can edit them and how prior versions are recovered. Review provider security, user permissions, export options and backup or recovery arrangements; cloud systems still carry security risks.
Growth and portability Rebuilds and workarounds become more likely as staff, accounts, reporting or entities increase. May support added users, accounts, reports or digital filing, but reassess features as obligations change.
Jurisdiction Must produce the records and calculations the local authority accepts. Must support the local GST rules and filing format; a product’s generic “GST” label proves little by itself.

A practical decision process

1. List today’s work and the next stage of growth

Count sales, purchases, refunds, bank and payment accounts, locations, entities, employees, stock items and jobs. Note which tasks are repeated every week or reporting period. Add obligations you reasonably expect within the next year, such as payroll, e-invoicing, extra staff or more frequent filings.

2. Map the required evidence

Write down the source documents you receive and issue, where they are stored, how they are named, and how an entry will be traced back to them. Include bank statements, card records, point-of-sale reports, invoices, receipts, credit notes and adjustment calculations.

3. Check the filing route

Ask the relevant tax authority or your registered adviser what reports, electronic formats, audit trails and retention periods apply to your registration. For Australia, check digital reporting and Standard Business Reporting compatibility. For New Zealand, plan for seven years of sales and purchase records. For India, check the current electronic-record, edit-log, backup and invoice-register requirements.

4. Test the person who will operate it

A feature list is irrelevant if the person entering transactions cannot understand the workflow. Have that person classify sample sales, purchases, refunds, a mixed-use cost and an adjustment; then produce the GST report and trace each total back to evidence.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

5. Calculate total effort, not just subscription cost

Include setup, data migration, training, reconciliation, backups, adviser review, correcting errors and exporting records if you change systems. The available official sources do not establish a reliable universal cost comparison, so use your own transaction volume and hourly value rather than a generic claim.

6. Set a review date

Reassess after a filing cycle and whenever the business adds staff, accounts, stock, payroll, locations or entities. A spreadsheet that was appropriate at launch may become fragile; software that was excessive for a sole trader may become economical once several people need the same records.

How to implement a mixed approach

A mixed system can be appropriate when source documents are kept in a secure digital archive or on paper while a spreadsheet or software package produces summaries. New Zealand accepts combinations of paper and electronic records. In Australia, scanned documents can be used when they are true, clear reproductions and otherwise meet the record rules.

Make the connection explicit: every summary transaction should carry an invoice, receipt, bank or adjustment reference; every source file should be findable from the reference. Set one owner for the archive, define backup frequency, restrict edits and test that a period can be reconstructed without relying on an employee’s personal device or email account.

Common failure modes and fixes

“The software calculated GST, so it must be right.”

Why it fails: the software applies the tax code it was given. A wrong code, private-use item, adjustment or unusual transaction can produce a polished but incorrect report.

Fix: review tax-code mappings, sample transactions each period and escalate exceptions to a qualified adviser.

“The spreadsheet total matches the bank, so the records are complete.”

Why it fails: a bank match does not prove that every sale has a tax invoice, that cash sales and card settlements are complete, or that GST was classified correctly.

Fix: reconcile bank and payment totals separately, retain source documents and check sales, purchases, refunds and adjustments against operational reports.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“We can delete the original documents after entering them.”

Why it fails: entering data does not itself satisfy the evidence rule.

Fix: retain the original or an acceptable true and clear reproduction, preserve the link to the ledger entry and follow the local retention period.

“Cloud backup means security is solved.”

Why it fails: cloud systems introduce access, account-compromise and provider-dependency risks.

Fix: use strong authentication, least-privilege access, an export process, independent backups where appropriate and a documented recovery test.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“A manual ledger is a compliance shortcut.”

Why it fails: a book or ledger records transactions but does not replace invoices, GST calculations, digital reporting where required or retention rules.

Where a paper ledger fits

Australian guidance describes manual bookkeeping as books or ledger accounts, and New Zealand accepts paper records. A ledger can suit an owner who wants a paper transaction record or a supplementary continuity record during a system outage. It is not a substitute for source documents, accurate GST treatment, backups or required electronic submissions. If paper is used, protect it from loss and damage and make sure totals can be reconciled to bank and payment records.

Questions to ask before committing

  • Can the method produce the GST information and supporting detail my tax authority requires?
  • Can I trace every material figure to an invoice, receipt, bank entry or adjustment calculation?
  • Who will maintain tax codes, formulas, user access and backups?
  • Can my accountant or registered agent open, review and export the records?
  • What happens if the operator is ill, leaves, loses access or makes a material error?
  • Will the method still work when I add employees, inventory, accounts, locations or entities?

Choose the simplest method that answers those questions reliably today and has a credible path for the next stage of the business. For a genuinely small, stable operation, that may be a controlled spreadsheet. When recurring administration, reporting or collaboration becomes burdensome, compatible accounting software is usually the more maintainable system—provided the business continues to review tax treatment and preserve its evidence.

Frequently Asked Questions

Can a small business legally use a spreadsheet for GST records?

In Australia, government guidance lists spreadsheets among digital record-keeping options. Legality depends on whether the complete records, evidence, calculations, reporting and retention meet the rules that apply to your business. New Zealand and India have their own requirements, so check the relevant tax authority.

How long should GST records be kept?

The periods differ by country. Australian GST guidance generally states five years, subject to its start-date and review-period rules. New Zealand Inland Revenue states seven years for cash and electronic sales and purchase records. Confirm the current rule for your jurisdiction.

Does accounting software guarantee accurate GST returns?

No. Software processes the tax codes and data entered by users. Incorrect classifications, missing source documents and unusual transactions still require human review.

Is a paper bookkeeping ledger enough?

A ledger can be a supporting record, but it does not replace invoices, receipts, GST calculations, required electronic reporting or the applicable retention period.
