Traditional automation is usually the better fit for a financial-advice task with stable inputs and a rule the firm can define in advance. Generative AI is more useful when staff need help interpreting varied language, summarizing material, or producing a draft. They are not competing replacements: an adviser practice can use both in one workflow, while people remain responsible for professional judgment, client context, and consequential decisions.

The practical choice is not simply which technology is more capable. It is which task needs doing, how much variation is acceptable, what could go wrong, and whether the firm can protect data, check results, and supervise the process.

What is the difference between generative AI and traditional automation?

Traditional, rules-based automation follows configured triggers and steps. Generative AI creates new content by drawing on patterns learned from large datasets. In an advice practice, the first is generally designed to produce a repeatable result from a known process; the second can work with language and produce flexible but variable responses.

FP Canada describes generative AI in contrast with traditional AI models that primarily classify or predict. Rules-based workflow automation is a separate practical category: it carries out steps such as routing a task or sending a reminder according to a firm’s configuration. The useful distinction for choosing a tool is therefore not simply “AI versus non-AI.” It is whether the task calls for a defined action or for language interpretation and generation.

These capabilities can be combined. For example, a practice might use configured workflow rules to route a meeting record for review, while a generative system drafts a summary for a staff member to check. The automation handles the predictable handoff; the draft still needs human verification.

Which tasks fit each approach?

Choose based on the structure of the work and the consequences of a mistake. Stable, repeatable actions are natural candidates for rules-based automation; language-heavy work may be a candidate for generative assistance when the output can be reviewed before use.

Decision factor Rules-based automation Generative AI
Task structure Inputs, steps, and exceptions can be defined in advance. Inputs may be varied language or documents that need interpretation or synthesis.
Typical output A configured action, status, reminder, transfer, or routing decision. A summary, response, explanation, or first draft.
Consistency Can be repeatable when the inputs and configured rules remain stable. Can vary, so staff should not assume identical prompts or materials will always produce the same suitable result.
Best initial question Can the firm specify the correct action and the exceptions? Can a person check the output for accuracy, relevance, privacy, and bias before it is used?
Review emphasis Check that the configured rule, data transfer, and exception route work as intended. Check the generated content, the information it used, and the way it will be shared or acted on.

Good candidates for rules-based automation

Consider routine steps that have a clear trigger and a defined next action, such as task routing, reminders, form and field transfers, or routine status updates. These examples describe the category, not tested capabilities of a particular product or evidence of measured savings.

Before automating a step, write down the normal path and what should happen when information is missing, contradictory, late, or outside the firm’s rules. If staff currently make judgment calls at several points, encoding only the happy path can move errors faster rather than remove them.

Potential uses for generative AI assistance

Generative AI is a plausible assistant where staff have to process or draft language. FINRA describes potential uses such as summarizing complex documents and firm research; querying a member firm’s policies and procedures; drawing issuer information from SEC filings and earnings-call transcripts; and preparing summaries for compliance personnel reviewing possible misconduct.

The UK Financial Conduct Authority has also reported firms exploring AI for client engagement, compliance and risk monitoring, and operational efficiency, including meeting notes and data extraction. These are reported or exploratory use cases, not proof of successful deployment across firms or a guarantee that a tool will perform reliably in a particular practice.

Keep advice and consequential decisions human-led

Tools may assist with information processing and drafting, but they do not take over responsibility for advice, client context, the suitability of communications, or decisions with material consequences. An adviser should assess whether a draft fits the client’s circumstances and the firm’s obligations, rather than treating fluent language as evidence of a sound recommendation.

How should an advice practice compare the options?

Use a task-level assessment rather than choosing a technology for the whole practice. The following framework synthesizes regulator and professional guidance; it is not a regulator-prescribed scoring system.

  1. Define the task and its owner. Describe the result the client or staff member needs, who is accountable for it, and where a person must exercise judgment.
  2. Map inputs, steps, and exceptions. Identify whether inputs are structured and stable or vary in format and meaning. Record missing-data cases and unusual situations, not just the normal workflow.
  3. Set an output tolerance. Decide whether each case must follow a fixed rule or whether a draft may vary so long as a qualified reviewer can correct it. If unreviewed variation could materially affect a client, the task needs stronger limits or may be unsuitable for generative assistance.
  4. Assess error consequences and detectability. Ask what harm an incorrect result could cause, who could notice it, and before what action or communication. A mistake that reaches a client or drives a decision is different from an easily corrected internal formatting error.
  5. Specify the record you need. Determine whether the firm can reconstruct the relevant inputs, configured rules or model, result, reviewer, and changes made. A record should support review of what happened, not merely prove that a tool was used.
  6. Review data handling. Establish what client or firm information is sent to a provider, how it is retained, and whether it may be used to improve a service. Consider whether the task can be completed with less sensitive or de-identified information.
  7. Assign review, exceptions, and monitoring. Name who checks outputs, handles cases the system cannot complete, and watches for changes in performance or the service. Make escalation possible instead of forcing staff to accept a questionable result.
  8. Check integration and economics. Assess how the tool fits current systems and whether it reduces friction enough to justify implementation, review, training, and oversight costs. A time-saving claim is not a substitute for measuring the full process in the firm’s own setting.

This comparison should include any embedded AI feature in existing software, not only a separately purchased tool. A familiar interface does not answer what data is processed, how an output is produced, or who supervises its use.

What safeguards should advisers put in place?

Controls should be proportionate to the task, the data, and the potential harm. Across the guidance discussed below, recurring concerns include accuracy, confidentiality and privacy, bias, reliability, supervision, data integrity, and third-party risk.

Verify outputs before relying on them

Require a person with appropriate knowledge to verify facts, calculations, source material, relevance, and tone before generated content is used in advice or sent to a client. For internal summaries, reviewers should be able to consult the underlying document when a statement matters. A polished answer can still omit context or present an unsupported claim.

Set boundaries for what the system may do: drafting for review is meaningfully different from making a recommendation, changing a client record, or sending a communication without approval. The more consequential the result, the less appropriate it is to rely on an unreviewed output.

Protect confidential information and data integrity

Before staff enter client information, find out what the provider receives, retains, and may use to improve its service. Apply the firm’s confidentiality requirements, limit access to approved users, and consider whether sensitive details can be removed or replaced for the task. CFP Board’s guidance for CFP® professionals specifically points to confidentiality, verification of accuracy, data integrity, bias, and conflicts of interest.

Data quality matters for both approaches. A workflow rule can faithfully move a wrong field, while a generative system can produce an unreliable summary from incomplete or inaccurate material. Define where source information comes from and who corrects it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Supervise tools and vendors

Document the purpose of the tool, its permitted uses, the people responsible for oversight, and the path for reporting or escalating an error. For an outside provider, assess the service and its data practices as part of the firm’s third-party oversight; for an internally developed or embedded system, document who owns changes and testing. Review controls when the workflow, model, provider, or data changes.

FINRA Regulatory Notice 24-09, issued June 27, 2024, says existing technology-neutral rules and securities laws continue to apply to member firms using generative AI, whether the system is developed internally or supplied by a third party, including through embedded features. FINRA identifies issues involving accuracy, privacy, bias, intellectual property, and threat actors, and highlights governance, model risk, data privacy and integrity, reliability, and supervision. The notice does not create new requirements or interpretations.

For CFP® professionals, CFP Board’s February 25, 2025 guide frames generative AI use under its Code and Standards. It is professional guidance for that group, not a statute that applies to every adviser.

In the European Union, ESMA’s May 30, 2024 statement says firms providing investment services to retail clients remain subject to relevant MiFID II requirements when using AI, including organizational, conduct-of-business, and best-interest duties. ESMA also identifies risks related to algorithmic bias and data quality, opaque decision-making, overreliance, privacy, and security. Firms should apply the obligations relevant to their own jurisdiction and services.

What should advisers say about their use of AI?

Describe a tool’s role and capabilities accurately. Do not claim that a service uses AI, delivers AI-powered advice, or produces a particular outcome unless the claim is supportable and not misleading.

On March 18, 2024, the SEC announced settled charges against two investment advisers over false or misleading statements about their use of AI. The advisers agreed to $400,000 in total civil penalties. The case is a caution about AI-related claims and disclosure; it does not mean that using AI is prohibited.

Marketing language should distinguish a real, defined use from aspiration or experimentation. Saying that a firm is exploring a tool is different from implying the tool already performs a client-facing function. Be equally careful about claims of accuracy, efficiency, personalization, or oversight: explain what the firm can substantiate and what people still do.

What does adoption evidence say about AI in financial advice?

Adoption figures are specific to the survey, geography, firm categories, and question asked; they are not a measure of comparative performance or return on investment.

The FCA’s 2025 advice-firm survey reported that 99% of firms met clients in person. It also reported that around 14% of small firms and 38% of medium-sized firms planned to deploy AI within advice processes in the near term. In the same survey summary, 95% of large firms and 81% of medium-sized firms were using or considering AI in the advice process, compared with 48% of small firms. These UK findings show different levels of reported activity by firm size, not universal adoption or evidence that one approach outperforms another.

For U.S. context, FINRA’s notice concerns its member firms’ obligations, CFP Board’s guide addresses CFP® professionals, and the SEC settlement concerns investment advisers’ statements about AI use. In Canada, FP Canada’s guidance addresses responsible generative AI use by CFP® and QAFP® certificants in planning, communications, analytics, marketing, and internal workflows. GAO’s May 19, 2025 report considers AI use and oversight across financial services more broadly; it is useful sector context, not an adviser-specific adoption measure.

How can a firm choose a safe first use case?

Start with a bounded task where the result is easy to review and where a mistake can be contained before it affects a client. That makes it easier to evaluate the workflow and controls without confusing a successful draft or handoff with proof that the entire process is safe to automate.

  • Write a one-sentence task definition and state whether the goal is a fixed action or language assistance.
  • Identify which data the task needs and whether any of it is confidential or sensitive.
  • Define the permitted output and the actions the system must not take.
  • Set a reviewer, an exception path, and a record of inputs, outputs, and corrections.
  • Test ordinary and unusual cases with staff before relying on the workflow in live client work.
  • Track errors, rework, review time, and staff feedback; compare the whole process with the existing method rather than counting only time spent generating a result.
  • Reassess after a material change to the tool, provider, data, workflow, or intended use.

A useful rule of thumb is to automate predictable handoffs and use generative AI to assist with language-heavy work only where the firm can verify the result. Keep the adviser accountable for client-facing judgment, and confirm the applicable professional and legal duties in every jurisdiction where the firm operates.

Frequently Asked Questions

Can generative AI give financial advice to clients?

A system can generate language that resembles advice, but fluency does not establish that it has understood a client’s full circumstances or produced a suitable recommendation. A firm should define whether its tool is limited to support work and ensure qualified people retain responsibility for advice and client outcomes.

Does FINRA require firms to stop using generative AI?

FINRA’s 2024 notice does not ban generative AI and says it creates no new requirements or interpretations. It explains that existing rules and securities laws continue to apply when member firms use the technology.

What is AI washing in financial advice?

AI washing is making false or misleading claims about a firm’s AI use or capabilities. The SEC’s 2024 settled charges against two advisers illustrate why firms should ensure marketing statements match what their systems actually do.

Is generative AI adoption the same across advice firms?

No. The FCA’s 2025 survey reported different AI use or consideration levels across its small, medium-sized, and large firm categories. Those UK survey results should not be treated as a global estimate or a forecast for an individual practice.
