Halfpricesoft says the program can bring in current-year employee records, year-to-date earnings, and tax deductions, but that is a vendor claim rather than an independently verified import test. The software supports Forms 940, 941, 943, W-2, and W-3; it does not print Form 1099-NEC, so employers paying contractors need a separate process.
The cost case is also unproven. Halfpricesoft publishes conflicting prices of $189 and $169 per calendar year per installation, and no independent savings study was identified. Treat the advertised price as a starting point, calculate your complete in-house workload, and confirm the checkout price and tax-table coverage before switching.

What ezPaycheck is—and what “cut cost” really means
ezPaycheck is desktop payroll software from Halfpricesoft for calculating payroll and printing checks in-house. The Oct. 5, 2026 announcement describes mid-year handling of employee records, year-to-date earnings, and deductions, plus federal, state, and local tax tables and free updates within the same tax year. Those are vendor statements; they do not establish that every state or locality you use is covered or that every data field imports automatically.
Running payroll yourself can replace a recurring service charge, but it transfers work and risk to the employer. You must enter or verify setup data, reconcile opening balances, make deposits, file returns on time, protect backups, and handle corrections. A fair comparison therefore includes labor, check stock, any separate form software, e-filing charges, and the cost of an error—not just the license.

License price, renewal, and total cost
Halfpricesoft’s published terms describe a tax-year license charged per installation. A later tax year requires a new license, although the FAQ says payroll data carries forward between years. The quoted license is intended to cover unlimited companies, employees, paychecks, and tax forms at that installation; additional locations require additional licenses.
| Published source | Price stated | Qualification |
|---|---|---|
| Halfpricesoft FAQ | $189 | Per calendar year, per installation |
| Oct. 5, 2026 announcement | $169 | Per calendar year; the announcement does not resolve the FAQ discrepancy |
Because the two vendor publications conflict, do not present either figure as a guaranteed current price. Check the purchase page immediately before ordering and confirm whether your required tax year, updates, support, and any filing service are included. If you operate from two offices or need two separately installed computers, multiply the license by the number of installations rather than by the number of employees.
Your complete annual budget should include:
- the tax-year license for each installation;
- blank or preprinted payroll check stock and a compatible printer;
- any separate product needed for 1099-NEC or related contractor forms;
- optional electronic-filing charges, if applicable;
- time for payroll setup, reconciliation, deposits, filings, corrections, backups, and support; and
- additional licenses if payroll is installed at multiple locations.
How do I start ezPaycheck payroll mid-year?
A mid-year change is safest when you treat the first payroll in ezPaycheck as a controlled conversion. Halfpricesoft says its program can accept current-year employee records, year-to-date earnings, and tax deductions. The following process adds the accounting checks needed to determine whether the opening balances are correct; it does not assume that every checklist item imports automatically.

Choose a cutover date and preserve the old records
Pick a pay period after the outgoing provider has completed its last run. Export or print payroll registers, employee detail, quarterly summaries, tax-liability reports, deposit confirmations, and copies of filed returns. Make a backup that can be opened without the old provider if you later need to prove what was paid or filed.

Install the edition for the correct tax year
Confirm the tax year, operating system, and location coverage before installation. The vendor’s update history lists version 3.16.23 on Sept. 24, 2026, with 2026 federal and state tables and certain 2025 forms. Do not install a 2026 update while 2025 paychecks remain unfinished: Halfpricesoft warns that installation updates tax tables. Follow the vendor’s current upgrade instructions and back up data before updating.
-
Enter or import employee setup
Bring in employee names, addresses, Social Security numbers, filing status, allowances or additional withholding, pay rates, pay frequency, deductions, and work locations. Compare each record with the outgoing provider’s report. Pay particular attention to terminated employees, multiple-state workers, local taxes, and benefit deductions.
-
Load and reconcile year-to-date amounts
Enter the opening year-to-date wages, taxable wages, federal and state withholding, Social Security and Medicare wages and taxes, employer taxes, deductions, and any adjustments. Compare totals by employee and by quarter with the outgoing payroll registers. The year-to-date totals should tie to deposits already made and to the amounts reported on any filed Form 941.
-
Verify quarter and deposit status
Make a written schedule of deposits due, deposits already transmitted, returns filed, and liabilities still open. A software balance is not proof that a deposit reached the Treasury. Keep confirmation numbers and bank records with the payroll backup.

Run a parallel or review payroll
Before issuing the first live checks, calculate the period in ezPaycheck and compare gross pay, taxable wages, deductions, net pay, and employer liabilities with an independent worksheet or the outgoing provider’s expected results. Resolve differences before printing checks.
-
Complete the first filing cycle under the new process
Mark the next Form 941 deadline and every deposit deadline on a shared calendar. Decide who reviews the return, who submits it, and where proof of acceptance is stored. Continue reconciling each payroll so the year-end forms agree with quarterly filings.
Which year-end forms does ezPaycheck support?
The vendor FAQ identifies a specific boundary that matters to small employers: ezPaycheck supports Forms 940, 941, 943, W-2, and W-3, but does not print Form 1099-NEC. Halfpricesoft points users to its separate ezW2 product for 1099-NEC, Form 1096, W-2, and W-3 processing. If you pay contractors, budget for that separate workflow or retain another provider; employee payroll support does not cover every information return.
| Form | What the vendor says | Planning implication |
|---|---|---|
| 940 | Supported by ezPaycheck | Confirm the applicable annual filing requirement and deadline. |
| 941 | Supported by ezPaycheck | Quarterly totals must agree with deposits and payroll records. |
| 943 | Supported by ezPaycheck | Relevant only to employers meeting the agricultural-employer rules. |
| W-2 and W-3 | Supported by ezPaycheck | Reconcile employee and employer totals before distribution and filing. |
| 1099-NEC | Not printed by ezPaycheck | Use a separate product or service; the vendor identifies ezW2 as its option. |
Do not assume that “supported” means the software files the form electronically, pays a filing fee, or guarantees acceptance. Confirm the current edition’s output, printing, and e-file options for each form you actually need.

Deadlines remain your responsibility
The IRS sets the deadlines; payroll software does not relieve the employer of them. Generally, Form 941 is due on the last day of the month following each quarter:
| Quarter | General Form 941 due date |
|---|---|
| January–March | April 30 |
| April–June | July 31 |
| July–September | October 31 |
| October–December | January 31 |
If all employment taxes were deposited when due, the IRS says an employer generally receives 10 additional calendar days to file Form 941. Deposit schedules are separate from return due dates and depend on the employer’s deposit history and other facts. A calendar that tracks only the return is incomplete.
Forms W-2 with Form W-3 and Form 1099-NEC are generally due January 31. When a due date falls on a weekend or legal holiday, filing may be made on the next business day. Verify the instructions for the applicable year before filing.

Electronic-filing threshold
The IRS requires electronic filing when a filer submits 10 or more information returns. Almost all information-return types are combined to determine the threshold, including W-2s. For example, nine W-2s plus one 1099-NEC reaches 10 information returns. Forms 940 and 941 may be filed on paper or electronically, although an e-file fee may apply. This threshold does not change your deposit obligations.

Tax tables, updates, and compatibility checks
Halfpricesoft says ezPaycheck includes federal, state, and local tax tables and free updates within the same tax year. Coverage must be checked against your actual work locations, local taxes, reciprocity rules, and pay types. A state table claim is not proof that a particular city tax or special withholding rule is included.
The update history’s Sept. 24, 2026 entry identifies version 3.16.23. The accompanying warning not to install the 2026 version before completing 2025 paychecks is operationally important because tax tables change during installation. Back up the payroll database before every update and retain the installer or documented rollback path if the vendor provides one.
A Nov. 20, 2025 announcement described Windows compatibility, a separately sold Mac version, daily-through-monthly pay frequencies, and a requirement for preprinted Copy A for W-2/W-3. Those details are historical. Recheck them against the 2026 edition, your operating system, printer, network arrangement, and the check stock you intend to use before purchase. The Oct. 5, 2026 announcement says ezPaycheck prints payroll checks on blank computer check stock or preprinted checks, but no particular printer or stock was independently verified.

Use the same assumptions for ezPaycheck and any alternative provider. Compare the following items rather than relying on a headline license price:

|---|---|
| Total annual cost | How many installations are needed? What are the license, check stock, separate form product, e-file charges, and staff hours? |
| Mid-year conversion | Can you obtain complete employee and year-to-date data, and who will reconcile it to deposits and filed returns? |
| Form coverage | Do you need only 940, 941, 943, W-2, and W-3, or also 1099-NEC and other information returns? |
| Tax-table coverage | Are your federal, state, and local jurisdictions included for the tax year and pay types you use? |
| Technology | Does the current edition run on your operating system and work with your printer, check stock, backups, and user access needs? |
| Responsibility | Who makes deposits, submits returns, monitors acceptance, handles corrections, and responds to notices? |
ezPaycheck is more plausible for a small employer with straightforward payroll, one well-controlled installation, an employee-only workforce, and someone available to reconcile every run. It is less suitable when payroll spans complex local taxes, multiple locations, frequent corrections, or a large contractor population unless you have additional systems and expertise.

Common failure points and practical fixes
Confusing the license with a filing service
A tax-year desktop license does not by itself prove that taxes are deposited or returns are transmitted and accepted. Assign those tasks explicitly and save evidence of every submission and payment.
Switching before the prior provider closes the period
Changing systems in the middle of an unfinished pay period can create duplicate wages or missing liabilities. Choose a clean cutover and preserve the old register.
Trusting an import without reconciliation
Compare employee-level wages and taxes, quarter totals, deductions, and deposits. Investigate even small differences before the first live check.
Installing a new tax-year version too early
Complete outstanding prior-year checks, back up the database, and then follow the vendor’s update sequence. The 2026 warning exists because installation changes tax tables.
Discovering the 1099-NEC gap in January
List every worker paid outside payroll before year-end. If contractors require 1099-NEC, arrange the separate ezW2 or another process well before the January 31 deadline.
Buying incompatible check stock
Confirm whether your printer supports the selected blank or preprinted stock, whether alignment is acceptable, and whether Copy A requirements apply to the forms you will print. Test with voided stock before a live run.
A year-end readiness checklist
- Reconcile every payroll through December to bank deposits and liability accounts.
- Confirm employee addresses, identification numbers, names, and withholding settings.
- Review taxable wages, benefits, deductions, and employer contributions for each employee.
- Match quarterly Form 941 totals to annual W-2/W-3 totals and investigate discrepancies.
- Identify contractors and prepare a separate 1099-NEC workflow if required.
- Check the January 31 deadlines and any electronic-filing threshold that applies to your combined information returns.
- Back up the final payroll database and retain registers, deposits, filed returns, acceptance records, and correction documentation.
The strongest cost argument for ezPaycheck is not a guaranteed price reduction; it is control over a simple payroll process when the employer can perform the accounting and compliance work reliably. Confirm the current license, edition, jurisdiction coverage, form boundaries, and filing method before committing.
