Halfpricesoft’s 941 add-on is a separate, pay-per-submission e-file service inside its Windows ezAccounting payroll program. You buy ezAccounting first, then purchase filing credits that can be used for Form 941 or Form 940. The software guides preparation and submission, but you remain responsible for choosing the correct quarter, checking every figure and required field, entering any information the program cannot infer, and approving the final return.
The published prices show the filing fee and software license separately. They do not establish a measured dollar or time saving compared with another filing method, so treat “cost and effort” as a workflow question rather than a guaranteed savings claim.

What the ezAccounting 941 add-on actually is
ezAccounting is Windows desktop accounting and payroll software that can prepare and print Forms W-2, W-3, 940, 941 and 943. The 941 capability discussed here is not included as unlimited electronic filing with the base license. Halfpricesoft describes it as an add-on e-file service: after purchasing the software, you buy a number of electronic form submissions (credits) and use them from within ezAccounting.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →That distinction matters when you compare the offer with paper filing, an outside payroll service or another tax application. Your budget has at least two components: the ezAccounting license and the per-form e-file credits. The add-on is designed to submit a completed return electronically; it does not remove your obligation to determine payroll-tax figures, verify the return or meet the applicable filing deadline.
#1 Best Overall
Halfpricesoft’s feature and pricing description is at ezAccounting features and pricing. Its filing instructions are in the vendor’s How to File Form 941 guide.
Who can use it and what version is needed
Windows desktop requirement
The documented workflow is for the Windows edition of ezAccounting. It is not presented as a browser-only service or a macOS-native application. A business that keeps payroll records on another operating system would need a supported Windows installation to use this in-app route.
Minimum and current versions
Halfpricesoft’s setup documentation identifies ezAccounting version 3.14.15 or later as supporting the e941 feature; that version was released September 30, 2024. The vendor’s download page lists version 3.16.14, published July 27, 2026, and identifies support for 2026 Form 941. Check the exact version installed on the computer that will file before buying credits. The setup reference is Before You Start, and the current download listing is on the ezAccounting download page.
Employer and return fit
The add-on is relevant to an employer preparing quarterly Form 941. The same credit pool can also be used for Form 940 filings, according to the purchase page. It is therefore most useful when one organization needs recurring 941 submissions and may occasionally submit a 940, rather than when someone wants a one-time, stand-alone form without the accounting program.
Current e-file credit prices
Halfpricesoft’s e-file purchase page lists a progressive volume schedule. The amounts below are the vendor’s displayed per-form prices, accessed October 13, 2026; prices and terms can change, so verify the checkout total before ordering.

| Credit quantity band | Displayed price per form | What the credit can cover |
|---|---|---|
| Forms 1–5 | $5.95 each | Form 941 or Form 940 |
| Forms 6–20 | $4.95 each | Form 941 or Form 940 |
| Forms 21–50 | $4.45 each | Form 941 or Form 940 |
| Forms 51–200 | $3.95 each | Form 941 or Form 940 |
| 201 or more | Quote required | Confirm terms with Halfpricesoft |
The listed rates are per submitted form, not a quarterly subscription. The vendor says unused credits can be saved between quarters. That allows a business with uneven filing volume to purchase ahead without losing a credit at the end of one quarter, subject to the vendor’s current terms.
For an estimate, apply each rate to the forms in its band. For example, five forms at $5.95 would be $29.75 in e-file fees; 20 forms would be $29.75 for the first five plus $74.25 for the next 15, or $104. These are arithmetic illustrations of the posted bands, not a promise that a checkout page will package credits exactly that way. The authoritative purchase page is Purchase 941/940/94x E‑File.
ezAccounting license cost is separate
The vendor’s 2026 pricing display lists these software-license options:
| License option | Displayed 2026 price | Important qualification |
|---|---|---|
| Single-user, one year | $199 per year | Annual software license; e-file credits are extra |
| 2026 + 2027 bundle | $319 | Two-year bundle as displayed; e-file credits are extra |
| Multiple-user | $249 | License price as displayed; e-file credits are extra |
These are vendor-controlled prices shown on the 2026 page, not a locked rate or a tax filing fee. A realistic budget therefore adds the selected license to the number of 941 and 940 submissions you expect. If you file four quarters for one employer, four credits at the first-band rate would be $23.80 in e-file charges, before any other employers’ returns. If you file for several entities, count every submitted form and check whether your total reaches a lower volume band. Confirm renewal, bundle and multi-user terms directly on the official pricing page.
What to check before purchasing credits
- Confirm the operating system. Plan to run the filing workflow on a supported Windows computer.
- Check the installed ezAccounting version. The documented e941 support starts at version 3.14.15; update if the computer is older.
- Match the tax year. Make sure the installed release supports the year of the Form 941 you intend to file. The download listing identifies 2026 Form 941 support for version 3.16.14.
- Estimate every submission. Count quarterly 941 returns and any 940 returns that will use the same credit pool. Include additional employers if the license and your setup permit them.
- Plan for manual review. Gather payroll reports, deposit records and prior-quarter information before opening the filing screen. The program does not make you the tax preparer.
- Verify account and payment details. Keep the purchase confirmation and any credit balance record so the person filing can access the credits when the return is ready.
How to buy and enable the 941 e-file service
- Install or update ezAccounting. Download the supported Windows release from Halfpricesoft and complete the normal program setup. Record the version shown in the application’s About or version information screen.
- Purchase the software license. Select the single-user, bundle or multiple-user license that fits your installation. This step gives you the accounting program; it does not buy a 941 submission.
- Open the e-file purchase page. Choose the number of 941/940/94x submissions needed and review the displayed volume rate. For 201 or more forms, request the vendor’s quote.
- Keep the purchase credentials and confirmation. The filing computer or user may need the account information associated with the credits. Store the receipt with payroll records.
- Start the e-filing workflow in ezAccounting. Select the Form 941 filing function in the payroll area, sign in or supply the requested activation information, and confirm that the available credit balance is shown before preparing a submission.
- Use one credit only when the return is ready. Do not submit a test or incomplete return merely to see whether the service works; a form submission consumes a credit under the vendor’s per-form model.
Menu names can change between releases. If a label differs, use the current in-app help and the vendor’s setup instructions rather than assuming an older screen is identical.

How to prepare and file Form 941 inside ezAccounting
Halfpricesoft’s guide describes a review-first process. The sequence below turns that guidance into a practical checklist; it is software instruction, not tax advice.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Select the tax year and quarter. Choose the exact reporting period for the return. A correct set of payroll figures attached to the wrong quarter is still an incorrect filing.
- Open the generated Form 941 and inspect the figures. Compare wages, withholding, taxable Social Security and Medicare amounts, adjustments and deposits with your payroll and bank records.
- Complete applicable fields. Do not assume every field can be inferred from the payroll database. Enter information the form requires but the program cannot calculate from your records.
- Check the deposit schedule. The vendor specifically calls out Schedule B for employers that are biweekly schedule depositors. If that schedule applies to you, review its liability by tax date before continuing.
- Enter prior-quarter surplus taxes when necessary. Halfpricesoft warns that a surplus from a prior quarter may require manual entry. Locate the amount in your records and place it in the field the current form provides.
- Run the program’s validation or review screen. Resolve missing required fields and any arithmetic or consistency warnings. A “no error” message is not a substitute for comparing the return with source records.
- Authorize the submission. Confirm the employer identity, quarter, tax year and final figures, then use the e-file command. Keep the submission confirmation and any acceptance or rejection message.
- Monitor the result. A submission receipt is evidence that data was sent; retain the final status and respond promptly if the filing is rejected or the service asks for correction.

What remains your responsibility
Data and tax decisions
You must decide which employees and payments belong in the quarter, maintain payroll records, calculate or verify the amounts reported, and determine whether adjustments are permitted. Software can transfer numbers; it cannot know that an off-cycle payment was omitted from your import or that a correction belongs in a different period.
Required schedules and manual entries
Biweekly schedule depositors need to review Schedule B, and a prior-quarter surplus may need to be typed manually. Those are explicit examples in the vendor’s instructions, not an exhaustive list of every situation that can require an entry.
Deadlines, authorization and records
You remain responsible for the legal filing deadline, payment or deposit obligations, authorized signer information, and preserving payroll reports, confirmations and correspondence. The add-on’s in-app convenience does not transfer those obligations to Halfpricesoft.

Correction and rejection handling
If a return is rejected or you discover an error, read the status message and determine whether the correction is a software data fix, a resubmission or a separate tax procedure. Do not assume a failed transmission automatically reverses every credit or satisfies the filing requirement; check the vendor’s current terms and keep evidence of what happened.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. When this workflow is a good fit
Choose the add-on when you already want Windows ezAccounting for bookkeeping or payroll, prefer to prepare the return in the same desktop application, and have a predictable number of 941 or 940 submissions. The shared credit pool and rollover of unused credits can be useful when quarterly volume varies.
Look more closely at alternatives when you need a cloud-native or non-Windows workflow, want a provider to take over payroll-tax calculations and deadline monitoring, or file enough forms to require a custom quote. In a comparison, include the annual license, every e-file credit, update requirements, data-entry work and the time you must spend reviewing each return. The available vendor material does not provide independent accuracy, reliability or time-savings measurements for any competing method.
Common problems and practical fixes
The e-file option is missing
Check that the program is the Windows edition and that its version is at least 3.14.15. Update to a release that supports the tax year you are filing, then reopen the application and review the setup instructions.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsThe credit balance is insufficient
Count submitted 941 and 940 forms, not just 941 forms. The vendor treats both as eligible uses of the credits. Purchase additional submissions in the applicable volume band and retain the receipt.
Best Value
- It can be a gift option
- Comes with secure packaging
- Helpful in various ways
The return total does not match payroll records
Stop before submitting. Reconcile wage and withholding reports, deposits, adjustments and any prior-quarter surplus. Check the selected quarter and tax year, then correct the underlying payroll data or required manual fields.
Schedule B is blank or incomplete
Determine whether the employer is a biweekly schedule depositor. If so, review and complete Schedule B liability by date before filing; if the designation is unclear, ask a tax professional rather than guessing.
You cannot find a current-year form
Verify that the installed release lists the needed tax year, download the current supported version, and confirm that the update completed. Do not use an older form simply because the prior-year screen is familiar.
Does it really cut cost or effort?
The add-on can consolidate preparation and electronic submission in one application and charges per submitted form, which may be simpler than moving data between unrelated tools. However, the published pages provide no independently measured reduction in dollars, minutes or error rates. The defensible conclusion is narrower: you can calculate the vendor’s license-plus-credit price and judge whether an in-app workflow reduces steps for your organization, but you should not treat a quantified savings claim as established.
Before committing, write down your current annual software cost, outside filing fees, number of returns, Windows and update requirements, and the hours spent reviewing and correcting forms. Compare that baseline with the ezAccounting license plus the e-file credits you would actually consume. Include the value of your review time; the add-on does not eliminate that responsibility.
