A free Excel sales template can help a freelancer, side-hustle owner, or small business track opportunities without paying for a CRM. The important choice is matching the workbook to the job: a lead tracker is for follow-ups, a pipeline is for forecasting deals, a sales report is for completed transactions, and a dashboard is for summarizing performance.
There is no single permanent Microsoft “Sales Template” file. Microsoft’s template gallery changes over time, while providers such as HubSpot and Smartsheet publish their own Excel workbooks. Use the option below that fits the numbers you actually need to manage.
Choose the right Excel sales template

For most one-person businesses, start with a lead tracker or pipeline. A dashboard is useful after you have consistent data to summarize; it is not a substitute for entering and maintaining the underlying sales records.

Microsoft Excel for the web
Microsoft provides a changing library of templates rather than one fixed, official sales workbook. To search it:

- Go to Excel for the web templates.
- Open the drop-down list at the top left and select Excel.
- Choose a category under Create with templates.
- Select a suitable template and click Edit.
Microsoft’s listed categories can change, so search the gallery for terms such as sales, sales tracker, sales pipeline, or sales forecast. Do not assume that a template appearing in a search result will remain available indefinitely.
Excel desktop
In Excel for Microsoft 365, Excel 2024, Excel 2021, Excel 2019, or Excel 2016:
- Select File > New.
- Search the online templates for
sales,sales pipeline,sales tracker, orsales forecast. - Select the workbook that matches your needs.
- Click Create.
Excel downloads the template and opens a new workbook for customization. On a Mac, use File > New from Template, enter a term in Search All Templates, select a result, and click Create.
Third-party Excel workbooks
These are separate from Microsoft’s template gallery but provide useful free options:
- HubSpot Sales Lead Tracker: available in Excel, Google Sheets, and PDF. The Excel workbook includes Instructions, Configurations, Data, and Leads Dashboard tabs.
- HubSpot Sales Dashboard: designed for pipeline, win rate, deal velocity, salesperson activity, funnel conversion, and related KPIs.
- Smartsheet Sales Pipeline Template: includes deal size, probability of closing, weighted forecast, status, and closing date fields.
- Smartsheet Sales Pipeline Report: includes product, unit cost, units sold, shipping charges, costs, revenue, and income, with sample and blank Excel versions.
Check the download format before you begin. A provider may offer an Excel file alongside a Google Sheets version, PDF, or online editable copy. A third-party workbook should not be described as Microsoft’s official template.

What to put in a sales tracker
A useful tracker should make the next action obvious. At minimum, include:
- Account information: company or account name, contact name, email address, and phone number.
- Lead source: referral, website, social media, event, advertisement, or another source.
- Ownership: assigned salesperson, if more than one person handles sales.
- Opportunity details: deal or opportunity name and estimated deal value.
- Pipeline position: sales stage, current status, and win probability.
- Timing: last-contact date, expected close date, and next follow-up date.
- Action notes: what the prospect needs and what you will do next.
Keep stages specific enough to be useful. For example: New lead → Qualified → Proposal sent → Negotiation → Won/Lost. Avoid using “active” as the only status; it does not tell you whether a prospect needs a call, a proposal, or no further work.
How weighted pipeline forecasting works
A pipeline template may calculate a weighted forecast by multiplying the estimated deal value by the probability of closing:

$10,000 × 40% = $4,000
This is an estimate, not booked revenue, guaranteed income, or an accounting report. The result is only as sensible as the probability assigned to the deal. If every opportunity is given an optimistic 90% probability, the spreadsheet will produce an optimistic forecast regardless of the formula.
For personal cash-flow planning, keep expected sales separate from money already received. Record deposits and completed payments in your bookkeeping system or income tracker rather than treating weighted pipeline value as spendable cash.

How to set up the workbook
- Save a clean original. Download or create the template, then save an untouched copy before adding customer data.
- Read the Instructions or Configuration tab. Some workbooks use drop-down lists and formulas that depend on settings in these tabs.
- Replace sample rows carefully. Sample data may demonstrate formulas or charts. Delete it only after confirming that the dashboard still works.
- Standardize stages and statuses. Use the same spelling and capitalization throughout. “Proposal,” “proposal sent,” and “Proposal Sent” can be treated as different categories by formulas or charts.
- Enter dates as real Excel dates. A date stored as text may sort incorrectly and may not work in follow-up formulas.
- Enter one opportunity per row. Do not put several deals in one cell. One row per deal makes filtering, sorting, and reporting possible.
- Review formulas before relying on totals. Test a known deal value and probability, then confirm that the weighted forecast changes as expected.
- Protect the source data. Keep a backup and restrict editing of formula cells if multiple people use the workbook.
Which file format should you use?
For a normal sales tracker or dashboard, .xlsx is the practical choice. Excel for the web supports formats including .xlsx, .xls, .csv, .xlsb, .ods, and .xlsm, but older .xls and .csv files are converted to newer .xlsx workbooks when opened online.
Be cautious with .xlsm macro-enabled templates. Excel for the web can open them, but macros do not run in the browser. Use desktop Excel if the workbook depends on buttons, VBA automation, or other macro features.
Problems you may encounter
The workbook opens but will not let you type
Excel for the web may be showing the file in read-only view. Select Editing. If the workbook needs features unavailable in the browser, select Open in Desktop.

Macros or buttons do nothing
The file may be an .xlsm workbook whose automation requires desktop Excel. Browser-based Excel does not run macros.

A chart is missing or looks wrong
Excel for the web can have problems with grouped charts, external references, or unsupported data sources. Open the file in desktop Excel if a dashboard chart fails to display or behaves differently.
A protected sheet cannot be changed
A protected worksheet can be viewed online but must be opened in desktop Excel before its protection can be removed.
Today’s date is different online
TODAY() and NOW() use the computer’s date and time in desktop Excel but the server’s date and time in Excel for the web. A follow-up reminder based on these functions can therefore show a different day or timestamp in the browser.
The dashboard does not update from your CRM
“Auto-calculated” usually means the workbook recalculates when you enter or change spreadsheet data. It does not mean the file is automatically connected to Salesforce, HubSpot, or another CRM. A live connection requires a documented import, Power Query setup, integration, or another data-sync process.

When Excel is no longer enough
A spreadsheet is a sensible low-cost starting point when one person or a small team manages a manageable number of opportunities. Consider a CRM when several people edit the file at once, you need a reliable history of every customer interaction, follow-ups are routinely missed, permissions matter, or data must sync automatically with email, invoicing, and customer records.
Until then, schedule a short weekly review: filter for overdue follow-ups, remove duplicate opportunities, update stages and probabilities, and compare won sales with actual payments. That routine is more valuable than a visually impressive dashboard filled with stale data.

No. It is an estimate calculated from deal value and an assigned probability. A $10,000 deal at 40% contributes about $4,000 to the weighted pipeline, but it is not guaranteed revenue or cash available to spend.
Can Excel for the web run a sales template’s macros?
