Zoho Mail and Namecheap target buyers who mainly need a custom-domain inbox. Google Workspace and Microsoft 365 cost more because they bundle storage, documents, meetings, and collaboration tools. Proton emphasizes privacy, Fastmail focuses on email, and managed providers such as Rackspace charge more for support-oriented service.

What email hosting includes
Email hosting stores and delivers messages for a custom domain such as [email protected]. It is different from buying the domain itself and different from hosting a website.
A mailbox is a real inbox with its own login, storage quota, and usually its own sent-mail history. An alias is another address that normally delivers into an existing mailbox. A forwarder redirects mail elsewhere and may not provide an inbox. A group or distribution list sends one message to multiple recipients. A shared mailbox is a common address such as [email protected] that multiple users can access, often with delegation or plan-specific controls.
Those distinctions determine the bill. A business may need two paid users but publish ten addresses—sales, support, billing, press, and regional aliases—without purchasing ten separate inboxes. However, an alias generally does not have an independent login, quota, or complete separate sent-mail history. Sending from an alias may require additional configuration.

Cheapest email hosting in 2026
Zoho Mail: the clearest low-cost starting point
Zoho lists Mail Lite at $1 per user per month for 5 GB, or $1.25 for 10 GB, with annual billing. Mail Premium is listed at $4 per user per month annually. Zoho also sells Workplace bundles that add collaboration tools.
Zoho is a strong shortlist choice for a freelancer or small team that primarily needs custom-domain email at a low recurring price. The trade-off is that storage, protocols, collaboration, and administrative features vary by edition. Do not assume that the free or cheapest tier supports every desktop or mobile workflow: Zoho’s plan materials indicate that its free tier does not include IMAP, POP, or ActiveSync, while paid tiers add broader access.
Rank #2
Check the exact plan for Outlook, Apple Mail, Thunderbird, SMTP, calendar synchronization, storage, migration, and support before purchasing.
Namecheap Private Email: low headline cost, but normalize the unit
Namecheap advertises Private Email from $14.88 per year and promotes unlimited aliases per mailbox. That is an attractive starting signal, but it should not be multiplied by five until checkout confirms whether the figure is per mailbox, per plan, or a promotional price and shows the included mailbox quantity.
Also check the renewal price, storage, external-client support, sending-from-alias behavior, and whether shared addresses require extra mailboxes. “Unlimited aliases” is not equivalent to unlimited independent inboxes.
Other email-first options
Fastmail is designed around email, contacts, calendars, aliases, and custom domains rather than a full office suite. Its Standard and Professional plans state that they support third-party clients such as Outlook, iPhone Mail, and Thunderbird. Confirm the current business tier and annual discount directly on the Fastmail pricing page.
Proton Mail is a privacy-oriented alternative. Business packages can include services such as calendar, password management, VPN, Drive, meetings, and other tools depending on the package. The trade-off may be less compatibility with traditional mail clients, office-suite workflows, or enterprise administration than Google or Microsoft. Evaluate encryption, metadata, account recovery, jurisdiction, and interoperability separately rather than treating “privacy” as “anonymity.”

Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →Google Workspace versus Microsoft 365
Google Workspace and Microsoft 365 should be compared as productivity subscriptions, not bare email hosts. Their prices can be worthwhile when the team uses the bundled storage, documents, spreadsheets, meetings, identity controls, and collaboration features. They are expensive email-only choices if those tools will sit unused.
| Need | Google Workspace | Microsoft 365 |
|---|---|---|
| Email experience | Gmail-based business email | Outlook and Exchange-based business email |
| Collaboration | Docs, Sheets, Drive, Meet, and shared calendars | Office, OneDrive, Teams, and related services |
| Desktop applications | Primarily browser-based workflows, depending on tools | Business Standard and higher include desktop Office apps; Business Basic is web/mobile-only |
| Entry comparison price | $7/user/month or $84/year in Namecheap’s April 2026 comparison; verify Google’s live price | Business Basic: $6 annually or $7.20 monthly |
| Best fit | Teams centered on Gmail and browser collaboration | Teams already using Outlook, Word, Excel, Teams, or OneDrive |
Microsoft 365 Business Basic includes custom business email, web and mobile Office applications, Teams, and 1 TB of OneDrive cloud storage per user. That 1 TB is primarily cloud-drive storage, not a 1 TB email inbox. Business Standard adds desktop applications, while Business Premium adds stronger identity and security capabilities. The listed business tiers support up to 300 users.
Google Workspace’s comparison figure above comes from Namecheap’s April 2026 comparison rather than a confirmed live Google checkout. Recheck Google’s official pricing page because list prices, annual commitments, and promotions can change.
How much mailbox storage do you need?
- 5 GB: Usually adequate for light individual use, but attachments and years of retained mail can consume it quickly.
- 10–30 GB: A practical range for many small-business users.
- 50 GB or more: More comfortable for high-volume users, operational accounts, or long retention periods.
- 1 TB cloud storage: Useful for files, but not the same as 1 TB of mailbox capacity.
Storage is only one part of the decision. A cheaper mailbox with strict attachment limits, no archive, or no migration assistance may have a higher practical cost than a more expensive plan.
Calculate the real annual cost
Use this formula:
Annual subscriptions + domain renewal + taxes + storage/add-ons + archive or backup + migration/support fees = approximate first-year cost
Then calculate the renewal-year cost separately. Introductory pricing, annual commitments, and add-ons can make the first invoice different from the recurring bill.
Worked examples
- One Zoho Mail Lite user: About $12 per year at the $1 monthly annual-billing tier, before the domain, tax, and add-ons.
- Five Microsoft 365 Business Basic users: $30 per month at the annual-billing rate, or $360 per year before tax. Month-to-month pricing would be $36 per month, or $432 per year.
- Five Microsoft 365 Business Standard users: $62.50 per month annually, or $750 per year before tax. Monthly billing would be $75 per month, or $900 per year.
- Five Google Workspace users: About $35 per month, or $420 per year, using the $7 monthly comparison figure. Confirm Google’s current price before relying on this estimate.
- Five Namecheap mailboxes: Do not assume $14.88 multiplied by five. First confirm whether $14.88 is charged per mailbox, per plan, or for a particular quantity and promotional period.
A domain renewal is a separate line item unless the provider explicitly includes it. You may also pay for DNS management, website hosting, archiving, backup, premium support, or a migration service.
Email-only hosting versus a productivity suite
Choose email-only hosting when
- You mainly need professional addresses and reliable webmail.
- Your team already has separate tools for documents, meetings, and file storage.
- You want the lowest mailbox cost.
- You are comfortable handling basic DNS and account administration.
Zoho Mail Lite, Namecheap Private Email, Fastmail, and selected Proton plans fit this general pattern, although their features and protocol support differ by edition.
Choose a suite when
- The team already works in Google Docs, Drive, Gmail, and Meet.
- The team already relies on Outlook, Word, Excel, Teams, SharePoint, or OneDrive.
- You need centralized identity, shared calendars, collaboration, and administrative controls.
- The bundled tools would replace other subscriptions.
The suite is not automatically better. Paying $6 to $22 per user each month for tools nobody uses is not a saving compared with a focused mailbox plan.
Security, deliverability, and administration
Before buying, confirm whether the provider supports:
- SPF, DKIM, and DMARC for authenticating messages sent from your domain.
- Spam, malware, and phishing filtering.
- Multi-factor authentication, account recovery, and—where needed—single sign-on.
- Audit logs, retention, legal hold, and administrative delegation.
- Outbound sending limits and abuse controls.
- Encryption in transit and at rest, plus the provider’s stated privacy and jurisdiction policies.
Hosting email and achieving reliable inbox placement are related but not identical. Deliverability also depends on domain authentication, sender reputation, sending behavior, list hygiene, provider controls, and recipient systems. A low price does not prove poor deliverability, and a high price does not prove superior inbox placement.

Moving providers may require MX-record changes, SPF/DKIM/DMARC updates, mailbox imports, mobile and desktop reconfiguration, alias and shared-mailbox recreation, historical-mail validation, and temporary dual delivery.

Best Value
Zoho’s higher-level comparisons describe migration tools and 24/7 support, but confirm the exact edition and meaning of “support.” Proton’s business page specifically describes administrator-led migration from Google Workspace through Easy Switch and migration support from other providers. The costlier managed approach may be sensible when downtime or staff time is more expensive than the mailbox subscription.
Provider recommendations by use case
- Lowest advertised starting price for basic custom email: Start with Zoho Mail Lite and compare it with Namecheap Private Email. Confirm storage, protocols, aliases, renewal price, and the unit being priced.
- Best value when collaboration matters: Compare Google Workspace, Microsoft 365 Business Basic, and Zoho Workplace based on the tools your team already uses.
- Best for a Microsoft-oriented organization: Microsoft 365. Choose Business Basic for web/mobile Office, Standard when desktop applications are required, and Premium when the additional security capabilities justify the price.
- Best for Google-oriented teams: Google Workspace when Gmail, Drive, Docs, Sheets, and Meet are central to daily work.
- Best for privacy-sensitive buyers: Proton, provided its client compatibility, administrative model, and suite limitations fit your organization.
- Best for a focused email experience: Fastmail or another email-first provider with the required custom-domain and client support.
- Best for support-heavy operations: A managed provider such as Rackspace, after confirming its current mailbox, archive, support, and contract terms.
Buying checklist
- Is the advertised figure per mailbox, user, domain, or entire plan?
- Is billing monthly, prepaid annually, or an annual commitment paid monthly?
- What is the renewal price after any promotion?
- Are taxes included?
- How much storage is mailbox storage, and how much is file storage?
- Are aliases, groups, forwarding, and shared mailboxes included?
- Can users connect Outlook, Apple Mail, Thunderbird, or mobile apps?
- Are IMAP, POP, SMTP, ActiveSync, and modern authentication available on this exact tier?
- Are SPF, DKIM, and DMARC supported and documented?
- Is migration self-service, assisted, or extra?
- Is phone support included, and what does 24/7 support actually mean?
- Are archiving, backup, legal hold, or extra storage separate charges?
- What happens to mail and data if an account is suspended or canceled?
Bottom line
For basic custom-domain email, begin with low-cost email-first providers such as Zoho Mail Lite or Namecheap Private Email, but verify the exact mailbox quantity, storage, client support, aliases, and renewal price. Choose Google Workspace or Microsoft 365 when the included collaboration ecosystem has real value; Microsoft 365 is particularly compelling for Outlook and Office users. Choose Proton when privacy is the priority and its compatibility trade-offs are acceptable, Fastmail for focused email with conventional client access, and a managed provider when support is worth paying for.
Frequently Asked Questions
Do I need to buy a domain separately from email hosting?
Usually, yes. Email hosting and domain registration are separate services unless a provider explicitly includes a domain promotion or registration. Budget for the domain’s renewal separately.
Recommended Free Tools
Can I move my business email to another provider later?
Usually, yes. You will need to update DNS and MX records, authenticate the domain, import historical mail, recreate aliases and shared mailboxes, and reconfigure apps and devices.
Is a shared mailbox the same as an alias?
No. An alias normally routes mail to an existing inbox. A shared mailbox is a collaborative account or delegated inbox and may have its own access, storage, and administration requirements.
