The public listing identifies an 84.3 KB .xlsx file dated April 1, 2022. It says the tool is designed to streamline pension-plan audits and customize audit information requests, but it does not publish the workbook’s tabs, columns, formulas, instructions, update history, or evidence of time savings. How an audit team can use a tracker without overstating its role
A tracker works best as a visible control list around an existing audit process. The following workflow is a practical way to deploy the spreadsheet while keeping the underlying records and responsibilities separate.
Rank #2
- Ergonomically Designed: Work in tight areas with a compact design that gets into tough spots
- Both tools are designed to fit into difficult to reach spaces
- Complete a wide range of applications with a high-performance motor that delivers up to 300 UWO, and an impact driver delivering up to 1,400 in-lbs of torque
- Both the DEWALT impact driver and drill driver feature integrated LED work lights with a convenient 20-second delay, ensuring enhanced visibility in dimly lit or challenging work areas
- One-Handed Loading - Keep one hand free with a 1/4 in. hex chuck that accepts 1 in. bit tips
- Open a controlled copy. Download the file from the AICPA & CIMA resource page, save the original unchanged, and create a working copy in an access-controlled location. Record who owns the working copy and the date it was adopted for the engagement.
- Read the workbook before promising a workflow. Identify every worksheet, instruction block, required field, formula, data-validation rule, hidden sheet, and protection setting. Confirm whether it is a blank request list, a status log, or something else. The public page does not establish these details.
- Define the request population. Add only information relevant to the particular plan, reporting period, audit scope, and service providers. A defined benefit plan may involve plan documents, trust records, participant data, actuarial materials, investment information, and transaction support. The auditor should determine what is needed; the workbook should not be treated as a complete legal checklist.
- Assign an accountable owner for each request. Give each item to the sponsor, trustee, recordkeeper, actuary, investment custodian, or other responsible party. Use a separate secure transfer method for the record itself unless the workbook expressly and safely supports attachments.
- Track status and evidence. Record when a request was issued, when a response arrived, whether it is complete, and where the authoritative file is stored. Avoid putting sensitive participant information directly into a broadly shared spreadsheet.
- Resolve exceptions. Mark missing, superseded, inconsistent, or unreadable records for follow-up. A status of “received” is not the same as evidence that a document is complete, signed, effective for the relevant year, or legally operative.
- Close and preserve the engagement trail. Reconcile open requests with the audit team, save the final tracker with the engagement records, and document any decisions about unresolved items. Apply the sponsor’s retention and access rules to both the tracker and the underlying records.
What sponsors still have to retain
The tracker does not narrow the sponsor’s recordkeeping duties. IRS guidance on maintaining retirement-plan records says a defined benefit plan should retain its plan document, any adoption agreement, amendments, and relevant trust and participant records. The exact set of records depends on the plan’s design, transactions, funding, benefits, and reporting history.
These records are the evidence from which the plan’s operation and benefit obligations can be established. A spreadsheet row saying that an amendment was requested or received is not the amendment itself. Keep the authoritative document, its effective date, execution evidence where applicable, and the relationship to the plan year or restatement it governs.
Retention is not a universal number of years
The IRS does not provide a single fixed-year rule that applies to every retirement-plan record. Its guidance says to keep records until the trust or IRA has paid all benefits and enough time has passed that the plan will not be audited. That standard requires a plan-specific retention schedule and professional review; it should not be converted into a simple “keep for seven years” or similar slogan.

Other obligations may apply to particular records, participants, litigation, correction projects, tax filings, or government requests. Coordinate the schedule with ERISA counsel, the plan’s tax adviser, and the organization’s records-management policy when those issues arise.
Paper and electronic records are both acceptable formats for an audit request
IRS guidance states: “You are required to provide complete, accurate records in either paper or electronic format if the IRS requests them during an audit.” Electronic delivery therefore can satisfy a request, but only when the files are complete, accurate, readable, and retrievable. The tracker can point people to those files; it does not make an incomplete or corrupted file adequate.
Electronic-record risks the spreadsheet cannot solve
A 2023 report from the U.S. Department of Labor ERISA Advisory Council, Recordkeeping in the Electronic Age, discusses long-term availability and retention problems when records are distributed across systems and plan years. Those problems include changing software, fragmented ownership, inconsistent naming, obsolete formats, and uncertainty about which copy is authoritative.

That report is general recordkeeping context, not a product review of the AICPA workbook. A spreadsheet may help an audit team list locations and owners, but it does not by itself provide immutable preservation, automated migration, legal holds, access logging, encryption, backup verification, or a tested disaster-recovery process.
Controls to add around the tracker
- Use a repository with role-based access and multifactor authentication where required by your organization.
- Keep a naming convention that includes plan identity, document type, effective period, and version.
- Preserve the original file format when practical, and maintain a readable rendering for review.
- Record the authoritative location rather than copying sensitive records into email threads or unmanaged local folders.
- Test that a new team member can retrieve a requested document without relying on one person’s memory.
- Document backup, restoration, retention, and legal-hold procedures separately from the audit request list.
Spreadsheet tracker versus plan-administration software
A spreadsheet download and a specialized administration platform solve different problems. The following distinctions are based on the public descriptions of the products, not on a head-to-head test.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors| Decision area | Excel tracker | Specialized administration software |
|---|---|---|
| Primary purpose | Audit information-request tracking, as described by AICPA & CIMA | Broader plan-administration workflows, depending on the product |
| Delivery model | Downloadable .xlsx file |
Vendor-provided software or hosted service, depending on the offering |
| Document handling | The public listing does not establish that source documents are stored in the workbook | PensionPro advertises plan-document handling and specifications; those are vendor-described capabilities, not features of the AICPA file |
| Deadlines and events | The public listing does not establish automated reminders or event tracking | PensionPro advertises event and deadline tracking |
| Compliance and valuation | The public listing does not establish compliance testing or actuarial calculations | ftwilliam advertises defined benefit compliance and actuarial valuation software |
| Typical coordinator | An employee benefit plan auditor or administrator organizing an information request | A plan sponsor, third-party administrator, actuary, or service team needing a broader workflow |
These differences do not make one category universally better. A small engagement with a well-controlled file repository may need only a simple request log. A multi-plan administrator with recurring deadlines, document specifications, and valuation work may need a system designed for those functions. Evaluate current support, security, user access, export capability, audit trail, and retention practices before moving sensitive plan data into any platform.

When this tool is a reasonable fit
- Use it as a starting point when the immediate need is to organize an audit request and assign follow-ups.
- Use it with a repository when the team needs a list of authoritative document locations rather than a second uncontrolled copy of every record.
- Use a broader platform when recurring plan administration, event calendars, document specifications, compliance work, or actuarial valuation exceed a simple request-tracking workflow.
- Escalate to professional advice when the question concerns legal retention, participant-data privacy, plan corrections, benefit calculations, or disputed records.
Pre-use checklist for auditors and administrators
- Verify that the download is the intended AICPA & CIMA file and preserve its April 1, 2022 date in your documentation.
- Inspect all worksheets, formulas, hidden content, and protection settings.
- Define the audit period, plan number, responsible parties, and secure document repository before distributing requests.
- Separate request metadata from confidential participant or health information.
- Agree on what counts as complete, including signatures, effective dates, schedules, and amendments.
- Set a follow-up cadence outside the spreadsheet if the workbook has no reminder function.
- Reconcile the tracker to the final audit request list and preserve the closed version under the engagement’s retention policy.
- Review the sponsor’s broader retention schedule; do not delete source records merely because a tracker row is closed.
Limitations to keep in view
The public resource page does not reveal workbook tabs, columns, instructions, or update history. It also does not substantiate storage of source documents, legal advice, regulatory-compliance guarantees, deadline prevention, or reduced audit time. Any of those capabilities must be verified in the actual file or in a separately contracted system.
Because the listed file dates from April 1, 2022, confirm that it remains suitable for your current engagement and Excel environment. Check for accessibility, compatibility, malware-scanning requirements, version control, and whether your organization permits locally downloaded workbooks for sensitive plan information.
Bottom line for an audit request
The Defined Benefit Plan Document Tracker Tool is best understood as a lightweight Excel aid for organizing defined benefit plan audit information requests. It can provide a shared list of what was requested and who is responsible, but it does not replace the plan documents, trust and participant records, retention schedule, secure repository, or professional judgment required to administer and audit a plan. Treat the workbook as one coordination layer in a controlled recordkeeping process.
