You can create a polished Gmail signature without paying for a design or signature service. On a computer, open Gmail’s Settings → See all settings → Signature, enter and format your details, choose when it should appear, and select Save Changes. The Gmail app has separate mobile-signature settings for Android and iPhone or iPad, so configure those if you send messages from your phone. Google documents a 10,000-character maximum, but a useful signature is normally much shorter.
What a professional Gmail signature should do
A signature is the small block Gmail can append to the end of your outgoing messages. Its practical job is to identify you and give the recipient a reliable way to respond or recognize your organization. Gmail provides the editing, formatting, link, and image controls as part of the account; the basic feature does not require a paid subscription or a separate signature service. The official desktop instructions are in Google’s Gmail signature help.

- Your role, team, or organization when that context matters.
- One or two useful contact methods, such as a phone number or website.
- A relevant link, such as a professional profile or booking page, only when recipients genuinely need it.
There is no universal design rule that requires a logo, color, quotation, legal disclaimer, or social-media row. A clear text signature can be entirely professional. Add visual elements only when they improve recognition or navigation and still display well in the recipient’s email app.

Choose the Gmail signature setup that matches where you send mail
| Where you configure it | Setup path | Messages affected | What to know |
|---|---|---|---|
| Computer browser | Gear icon → See all settings → Signature | Messages sent from Gmail on the web, according to your defaults or manual selection | Supports multiple signatures, defaults, formatting, links, and images |
| Android Gmail app | Menu → Settings → select the account → Mobile signature | Messages sent from that account in the Android app | A mobile signature is separate from the computer setting |
| iPhone or iPad Gmail app | Menu → Settings → Compose and Reply → Signature settings | Messages sent from that account in the iOS app | Enable Mobile Signature; configure each account separately when needed |
Google says that if you do not create a mobile signature, new messages sent from the Gmail app use the computer signature. Replies and forwards can be governed by the defaults you choose in the computer settings. The Android instructions are documented at Gmail Help for Android, and the iPhone and iPad path is in Gmail Help for iOS.
How to create your signature in Gmail on a computer
1. Open the full Gmail settings
- Sign in to Gmail in your browser.
- Select the gear-shaped Settings control in the upper-right corner.
- Choose See all settings.
- Stay on the General tab and scroll to the Signature section.
The quick-settings panel that opens from the gear icon does not contain the complete signature editor. Selecting See all settings takes you to the page where signatures, defaults, and formatting are managed.
2. Create a named signature
- In the Signature section, select Create new.
- Enter a name for the signature, such as “Client mail” or “Personal.” This name is for your Gmail account; recipients do not see it.
- Select Create, then click in the editing box that appears.
Naming signatures is useful when your role, address, language, or audience changes. You can keep a concise everyday version and a second version with a different phone number or business identity, then choose the appropriate one while composing.
3. Enter the text recipients need
Start with plain text so the signature remains readable in more email clients. For example:
Jordan Lee
Operations Manager | Northstar Studio
[email protected] | +1 555 010 2468
northstar.example
Replace the example information with your own. Do not include a phone number, address, credential, or claim that you do not want distributed in every message. If your organization requires a disclaimer, obtain its approved wording rather than inventing one.

4. Apply restrained formatting
Use Gmail’s toolbar in the signature editor to apply bold, italic, text color, alignment, lists, or links. A practical hierarchy is your name in bold, your role in regular text, and contact details in a smaller visual emphasis only if they remain easy to read. Keep contrast high and avoid using several fonts or colors to create a design effect that distracts from the message.
To add a link, highlight the text, choose the link control, enter the complete web address, and confirm. Descriptive link text such as “Portfolio” is more useful than displaying a long tracking URL. Test each link after saving by opening a composed message and clicking it.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problems5. Add an image only when it has a job
Gmail lets you insert an image from a public web address, Google Drive, or an upload from your device. A small logo can help recipients recognize an organization, but it is optional. Text is safer when recipients block images, read on a slow connection, or use an accessibility tool that cannot interpret decorative artwork.
Google’s signature guidance recommends an image approximately 70–100 pixels high by 300–400 pixels wide. The documented maximum is 100 pixels high by 1000 pixels wide. These are image dimensions, not a recommendation to fill the entire width of an email. Use a clean, tightly cropped file and check how it looks at phone width before adopting it. The image troubleshooting page is available at Google’s Gmail signature troubleshooting guide.
Images count toward Gmail’s documented 10,000-character signature limit. The limit is a technical ceiling, not a target. A large image, long disclaimer, or repeated links can make a signature cumbersome even when it is below the limit.

6. Set defaults for new messages and replies
Below the editing box, use the signature-default menus to select which signature Gmail should use for:
- For new emails use: the signature inserted when you start a new message.
- On reply/forward use: the signature inserted in a reply or forwarded message.
You can leave either menu without a signature when a full footer would be unnecessary. Gmail also offers an option to place the signature before quoted text in replies and remove the preceding dash line, depending on the controls shown in your account. If you prefer a short reply, select no default and insert a signature manually only when the context calls for it.
7. Save the change
Scroll to the bottom of the settings page and select Save Changes. Gmail does not treat an unsaved edit as complete. Compose a test message to yourself, verify the line breaks and links, and inspect it on both a wide screen and a phone before using the signature for important correspondence.
How to create a Gmail signature on Android
- Open the Gmail app.
- Tap Menu (the three-line control), then Settings.
- Select the Google Account that should receive the mobile signature.
- Tap Mobile signature.
- Enter your signature text and tap OK.
This setting applies to mail sent from that account in the Gmail Android app. It is not the same editor as the computer signature. If you use more than one account, repeat the process for each account that needs a different footer. Send a test message from the app after saving; an existing draft may not update until you start a new message.
How to create a Gmail signature on iPhone or iPad
- Open the Gmail app and tap Menu.
- Tap Settings.
- Choose Compose and Reply.
- Open Signature settings.
- Enable Mobile Signature.
- Edit the signature, then go back to leave the setting and save it.
Configure each account separately if the app contains multiple accounts. The mobile signature applies to messages sent from the iPhone or iPad Gmail app. If Mobile Signature is disabled, new app messages use the computer signature instead, according to Google’s iOS guidance.

Use multiple signatures and send-as addresses
Multiple signatures are useful when one Gmail account handles different roles or addresses. In the computer Signature section, create and name each version. Choose the default for new messages and replies, then change the selection while composing when a different identity is appropriate. Gmail’s email-writing instructions cover creating, naming, formatting, and inserting signatures at Write and send email in Gmail Help.
If your account uses Gmail’s Send mail as feature for more than one address, Gmail can associate a different signature with each sending address. Check the selected From address before sending; the signature should match the identity shown to the recipient. If it does not, return to the Signature settings and review the address-specific defaults rather than editing every message manually.
You can also insert a different signature during composition. In a new message or reply, use the signature control in the compose toolbar and choose the named version. This manual choice changes that message without requiring you to replace your account-wide default.
Text-only signature versus a logo
| Approach | Advantages | Risks or limits | Best fit |
|---|---|---|---|
| Text only | Loads reliably, remains searchable and selectable, works well with accessibility tools, and is quick to edit | Provides less visual branding | Most personal, client-service, and mobile correspondence |
| Text plus a small logo | Can reinforce an organization’s identity and make a shared address recognizable | Images may be blocked, appear blurry, add weight, or display differently across clients; the image counts toward the character limit | Organizations with an approved logo and a reason recipients need visual recognition |
For either approach, write meaningful text rather than placing essential contact information inside an image. Keep the logo within Google’s recommended range of 70–100 pixels high by 300–400 pixels wide, and never exceed the documented 100-pixel height and 1000-pixel width maximum. If the logo is not available to all recipients, the text should still identify you and provide a way to respond.

Build a signature that stays useful in real conversations
Keep the default short
A signature is repeated in every message, so every extra line multiplies the amount of content recipients must scan. Put the essentials first: name, role or organization, and the contact path most relevant to your work. Move optional information to a linked page rather than adding a long paragraph to every email.
Best Value
- It can be a gift option
- Comes with secure packaging
- Helpful in various ways
Match the signature to the message type
- For a first contact, include your full name and role so the recipient has context.
- For an active thread, a compact name and one contact method may be enough.
- For a personal account, omit business details that could confuse recipients.
- For a shared or send-as address, make the From address and signature tell the same story.
Check readability before adding decoration
Use short lines and ordinary punctuation. Avoid all-caps blocks, several competing colors, animated material, or a quotation that pushes the actual contact details below the fold. A recipient should be able to select, copy, and read your information even if images are disabled.
Troubleshoot a Gmail signature that is missing or looks wrong
The signature does not appear in a new message
- On a computer, return to Settings → See all settings → Signature and confirm that a default is selected for new emails.
- Scroll to the bottom of the settings page and confirm that you selected Save Changes.
- In the mobile app, check the account-specific Mobile Signature setting. Android and iOS settings apply to mail sent from the app, not necessarily to another Gmail interface.
- If you use multiple sending addresses, verify the From address and its associated signature default.
Formatting controls are unavailable
Google identifies Plain text mode as a common reason formatting is unavailable. In the compose window, open the more-options menu and turn off Plain text mode before trying to format the signature again. Plain text is useful for messages that must contain no rich formatting, but it prevents the visual editor from applying styles.
The image is broken, oversized, or missing
Check that the image source is accessible and that the file was inserted through a supported method: public web address, Google Drive, or upload from your device. Confirm the dimensions against Google’s 70–100-pixel height and 300–400-pixel width guidance. If the image is broken or incorrectly sized, Google recommends deleting it and uploading it again or trying a different insertion method. Keep a text version of the important details so the signature remains useful when the image cannot load.
The signature appears below collapsed content
In a sent message, Gmail may place the signature below quoted or collapsed message content, especially in a reply or forward. Expand the trimmed content to inspect the complete message. If you want the footer closer to your reply, review the reply-signature options in the computer Signature section and test with a new reply.
Formatting displays differently after sending
Email clients do not render every font, spacing choice, or image in the same way. Remove unnecessary formatting, simplify the layout, and send another test message to an address you can view on a phone. If the plain text is correct and the visual treatment is optional, prefer the simpler version.
Final pre-send checklist
- Your name and role are accurate.
- The selected signature matches the From address.
- Every phone number and link is current and clickable.
- The signature is short enough to avoid burying the message.
- Essential information is present as text, not only inside an image.
- The logo, if used, is within Google’s documented dimensions.
- Computer and mobile defaults are configured for the places you actually send mail.
- You saved the settings and checked a new message, a reply, and a phone-sized view.
Once those checks pass, Gmail will insert the appropriate footer automatically, while still allowing you to switch signatures manually for an individual message.
