Best Construction Accounting Software in 2026: 11 Options Compared

There is no universal best construction accounting system. Compare QuickBooks stacks, construction ERPs, payroll-focused platforms, project-management layers, pricing, WIP, AIA billing, retainage, and implementation risks by contractor type.

There is no single best construction accounting software for every contractor. The right choice depends on whether you need a QuickBooks add-on, a construction-specific accounting system, or a full construction ERP that combines accounting with project controls, payroll, procurement, equipment, and field operations.

For most small contractors already using QuickBooks Online, the best starting point is QuickBooks Online Plus or Advanced combined with Knowify. Growing contractors that need a complete cloud ERP should evaluate Acumatica Construction Edition. Finance-heavy, multi-entity organizations should consider Sage Intacct Construction, while contractors with complex union, prevailing-wage, or certified-payroll requirements should put FOUNDATION and Deltek ComputerEase on the shortlist. Larger general contractors may need CMiC, Trimble Viewpoint Vista, or Acumatica.

The most useful way to compare these products is to separate true accounting systems of record from construction-management and payment applications that connect to accounting software.

What construction accounting software actually needs to do

Construction accounting is more than recording income and expenses against a customer. A contractor needs to understand the financial position of each job before the final invoice arrives, including what has been committed, what has been earned, what has been billed, what remains to be spent, and how a change order affects the forecast.

Core accounting and controls

Every candidate should provide, either natively or through a tightly controlled integration:

  • General ledger, accounts payable, accounts receivable, bank reconciliation, and financial statements.
  • Audit trails, approval workflows, role-based permissions, and period controls.
  • Budgeting, forecasting, and drill-down from financial reports to source transactions.
  • Multi-company, intercompany, and consolidation features when the business operates multiple entities.
  • Fixed assets, equipment accounting, inventory, or service accounting where those activities are material.

A polished dashboard is not enough. During a demo, ask the vendor to drill from a financial-statement line to the job, cost code, purchase order, invoice, time entry, and approval that produced it.

Job costing and commitments

Construction job costing should distinguish at least:

  • Original estimate and original budget.
  • Current or revised budget.
  • Approved and pending change orders.
  • Committed costs from purchase orders and subcontracts.
  • Actual costs from invoices, payroll, equipment, inventory, and other postings.
  • Projected cost, forecast cost to complete, and estimate at completion.
  • Labor, materials, subcontractors, equipment, overhead, and burden.
  • Cost by job, phase, cost code, cost type, division, building, lot, or another hierarchy appropriate to the contractor.

Trimble’s Vista documentation is a useful benchmark because it distinguishes estimated, committed, actual, projected, and forecast costs and connects those records to accounts payable, equipment, inventory, payroll, purchase orders, subcontracts, and project management. Review Vista’s explanation of construction cost information and ask competing vendors to demonstrate the equivalent workflow.

A system that only assigns paid expenses to a project may offer basic project profitability, but it is not necessarily providing full construction job costing. The most important test is whether the cost forecast includes commitments before the vendor invoice arrives.

WIP, percentage of completion, and revenue recognition

For longer or more complex contracts, the system should support a controlled process for:

  • Measuring percentage complete.
  • Calculating earned revenue and gross profit.
  • Comparing earned revenue with billed revenue.
  • Identifying overbilling and underbilling.
  • Updating cost to complete and estimate at completion.
  • Flagging loss-making jobs and profit fade or gain.
  • Preserving WIP history by accounting period.
  • Collecting explanations and approvals from project managers.
  • Posting the resulting entries to the general ledger or clearly documenting the controlled journal-entry process.

Sage Intacct Construction says its WIP functionality creates overbilling and underbilling general-ledger transactions, preserves historical WIP data, and supports WIP by sub-job. Tax accounting is a separate question. The IRS generally requires percentage-of-completion treatment for long-term contracts unless a specific exception applies, but software does not decide the company’s accounting or tax method. The contractor and its CPA should determine the appropriate treatment. Review the IRS Section 460 guidance and the IRS construction industry audit guide.

WIP is also not the same as cash flow. A job can show earned profit while cash is constrained by retainage, slow owner payments, material purchases, payroll timing, underbilling, unapproved change orders, or subcontractor-payment timing. The selected system should let management view WIP, accounts receivable, retainage, commitments, and cash separately.

Billing, retainage, and AIA applications

Construction billing may involve fixed-price, time-and-materials, cost-plus, unit-price, progress, milestone, or customer-specific billing. Look for support for:

  • Schedules of values.
  • Progress billing and percentage-complete billing.
  • AIA G702/G703 payment applications.
  • Stored materials.
  • Retainage held and released.
  • Approved and pending change orders.
  • Backcharges.
  • Customer-specific forms and export formats.
  • Lien-waiver collection and billing approvals.

AIA billing is not simply an invoice with a familiar logo. AIA’s instructions explain that G702 is the application and certificate for payment, while G703 breaks the contract sum into work portions and records completed work, stored materials, retainage, previous payments, change orders, and the current request.

Ask a vendor to produce a real sample containing stored materials, retainage, previous applications, approved and pending change orders, backcharges, and multiple line items. Some systems produce true G702/G703 forms; others provide an AIA-style or schedule-of-values invoice that may still need review or another application.

Payroll and labor compliance

Payroll can be the deciding factor for a public-works, union, or self-performing contractor. Test for:

  • Multiple states and local tax jurisdictions.
  • Multiple rates for one employee.
  • Union agreements, fringes, and burden allocation.
  • Certified payroll and prevailing-wage reporting.
  • Davis-Bacon reporting and apprentice classifications.
  • Overtime, retroactive rate changes, and payroll corrections.
  • Job, phase, and cost-code allocation from time entries.
  • Multiple payroll schedules and workers’ compensation classifications.
  • Mobile time entry, offline behavior, approvals, and corrections.
  • 1099 and subcontractor reporting.

For covered work under the Davis-Bacon and Related Acts, contractors and subcontractors must pay applicable prevailing wages and submit weekly certified payroll records. The Department of Labor says Form WH-347 is an accepted form, although using that particular form is optional. Review the DOL Davis-Bacon guidance and the WH-347 information.

Be precise when a vendor says it supports certified payroll. That may mean native reports, a payroll-service integration, an outsourced payroll service, or a report requiring manual review. Ask the vendor to run a sample using the company’s actual wage classifications, fringe benefits, jurisdictions, and project requirements.

Field-to-office data flow

Mobile functionality matters only if field information reaches the correct job, phase, cost code, and accounting period without re-keying. Useful field inputs include:

  • Time and production quantities.
  • Material receipts and employee expenses.
  • Equipment usage and fuel.
  • Daily reports, photos, and supporting documents.
  • Purchase requests, commitments, and subcontractor information.
  • Change-order details and approval status.

Ask how the product handles late timecards, offline mobile work, incorrect cost codes, rejected receipts, duplicate records, and transactions submitted after the accounting period closes. “Real-time” information is not real-time if field data is entered only at the end of the week or purchase orders are created after invoices arrive.

Best construction accounting software by use case

1. Best QuickBooks-based stack: QuickBooks Online + Knowify

Best for: small contractors, specialty trades, subcontractors, residential and light-commercial contractors, and firms that already use QuickBooks Online and want construction workflows without an immediate ERP migration.

QuickBooks Online Plus and Advanced include project and job-costing functionality for tracking income, materials, labor, vendor costs, and project profitability. QuickBooks identifies Plus and Advanced as the plans that include project job costing. Its construction materials also highlight time and expense tracking, contractor payments, 1099 preparation, progress billing, change orders, and integrations with construction applications. Knowify fills in construction-specific workflows, including estimating, contracts, budgets, job costing, purchase orders, vendor bills, progress billing, retainage, schedules of values, AIA G702/G703 applications, change orders, time tracking, WIP reporting, and field workflows. Knowify explicitly states that it is not a replacement for QuickBooks Online: QuickBooks remains the accounting hub while Knowify handles construction project and job workflows. Pricing evidence: Knowify’s website displayed plans starting at $99 per month when crawled in 2026. QuickBooks’ job-costing page displayed promotional prices of $115 per month for Plus and $275 per month for Advanced. These are not guaranteed quotes; promotions, payroll, payments, users, and add-ons can change. Check Knowify’s current pricing and QuickBooks’ current plan page.

Main trade-off: this is a two-system architecture. Before buying, document which system owns customers, vendors, jobs, contracts, cost codes, invoices, bills, payroll, time, retainage, and WIP entries. Test duplicate vendors, duplicate invoices, failed synchronization, deleted transactions, closed-period behavior, payroll corrections, tax treatment, and historical job-cost migration.

Verdict: usually the most practical first evaluation for a small contractor that likes QuickBooks and needs better estimating, billing, job costing, or field processes. It should not be treated as equivalent to a full construction ERP for a complex commercial contractor.

2. Best modern cloud construction ERP: Acumatica Construction Edition

Best for: small and mid-sized general contractors, specialty contractors, design-build firms, and companies that want accounting and project management in one cloud ERP with many field or external users.

Acumatica’s Construction Edition materials describe project accounting, job-cost accounting, AIA applications for payment, labor, material, equipment, and subcontract-cost tracking, AP workflows, change orders, construction financial reporting, project management, mobile access, multi-company operations, and multi-currency functionality. Its resource-based licensing can be attractive when a contractor has many field workers or external participants rather than a small number of office users. The quote still needs to clarify transaction volume, modules, resources, implementation, partner services, and support.

Pricing evidence: Acumatica’s APEX for Construction page advertised a bundled starting price of under $1,500 per month, including software, implementation, and support. This is a starting-price claim, not a universal price for every Construction Edition deployment. Review the current APEX offer.

Questions to verify: which capabilities are native versus partner-provided; how AIA billing handles stored materials and retainage; whether payroll and certified payroll are native or integrated; how equipment, inventory, manufacturing, or service requirements are handled; and how data will migrate from QuickBooks, Sage, FOUNDATION, or Vista.

Verdict: a strong shortlist when a company has outgrown a QuickBooks-based stack and wants an integrated, scalable cloud ERP without immediately moving to the heaviest enterprise platforms.

3. Best finance-first cloud ERP: Sage Intacct Construction

Best for: mid-market and enterprise contractors with sophisticated finance teams, multiple entities, consolidation needs, strong auditability requirements, and a preference for a cloud-native accounting core.

Sage Intacct Construction provides construction job costing, actual and committed-cost tracking, change-order tracking, fixed-price, time-and-materials, and cost-plus billing, AIA billing, multi-entity consolidation, customizable reporting, dashboards, WIP, overbilling and underbilling journal entries, historical WIP, and open API connectivity. Sage says its construction WIP feature, introduced in the 2024 R3 release, automates monthly WIP statements, overbilling and underbilling general-ledger entries, historical WIP, and profit-fade analysis. Sage’s construction payroll offerings describe support for union rules, certified payroll, multiple job rates, and related construction payroll requirements. Review the payroll product details.

Pricing: Sage publishes custom pricing based on organization size, modules, and requirements rather than a standard public construction price. Request a current Sage Intacct quote.

Main trade-off: Sage Intacct can be an excellent finance system without being the entire field-operation system. A buyer may need additional products for advanced field collaboration, estimating, equipment, service management, specialized payroll, or subcontractor payment administration.

Verdict: one of the strongest options when the controller or CFO prioritizes multi-entity financial reporting, dimensional analysis, WIP control, auditability, and integration architecture over having every field tool in one native application.

4. Emerging Intuit option: Intuit Enterprise Suite Construction Edition

Best for: growing companies already invested in Intuit that want multi-entity management, dimensional reporting, project dashboards, forecasting, and a path beyond QuickBooks Online.

Intuit launched a construction edition in February 2026. Its release materials described construction capabilities as beta or open beta and said availability was limited to eligible or existing Intuit Enterprise Suite customers, with features and pricing subject to change. Intuit’s construction pages describe multi-entity management, dimensional reporting, project dashboards, budget-versus-actual reporting, job-cost forecasting, change-order workflows, progress and milestone billing, construction project costing, and integrations with products such as Knowify, Buildertrend, and Houzz Pro. Intuit’s support documentation distinguishes basic and detailed job costing. Detailed costing requires Intuit Enterprise Suite or the construction add-on, while basic costing is more broadly available. See Intuit’s project-budget documentation.

Main trade-off: this is a promising but still emerging option. A buyer should ask which features are generally available versus beta, whether AIA billing is complete or merely AIA-style, how WIP entries reach the general ledger, whether certified payroll is native or integrated, which integrations are production-ready, and what happens if beta functionality changes or is withdrawn.

Verdict: worth evaluating for an Intuit-centered business, but not an unquestioned replacement for a mature construction ERP until the buyer verifies availability, functionality, references, and contractual protections.

Best for: self-performing contractors, union contractors, public-works contractors, and mid-market firms for which payroll, certified payroll, job costing, and construction-native accounting are central requirements.

FOUNDATION offers modules for job costing, payroll, purchase orders and subcontracts, accounts receivable, accounts payable, general ledger, equipment, inventory, project management, mobile time tracking, service dispatch, time-and-material billing, unit-price billing, AIA billing, and progress billing. Its pricing page identifies job costing, payroll, purchase orders/subcontracts, and accounts receivable as included modules, while mobile time tracking, service dispatch, equipment, and project management are add-ons. Pricing: FOUNDATION does not publish standard pricing and says pricing is customized by module and business requirements.

Questions to verify: browser and hosting options, mobile capabilities, API and integration quality, reporting flexibility, implementation timeline, support model, upgrade process, and the cost of add-on modules. Do not assume one deployment model; confirm it in the proposal.

Verdict: a serious candidate when payroll complexity and construction accounting depth matter more than having the lightest or most modern user interface.

6. Best accounting-first job-costing system: Deltek ComputerEase

Best for: small-to-mid-sized general contractors and specialty contractors that need WIP, retainage, AIA billing, committed-cost tracking, payroll, and compliance in a construction-specific accounting system.

Deltek describes ComputerEase as supporting job costing, WIP reporting, committed-cost tracking, AIA billing, unit billing, retainage, AP and AR routing, payroll, union payroll, prevailing wage, project management, purchase orders, subcontracts, equipment management, service management, and cloud hosting. Deltek reports that ComputerEase is used by more than 4,000 contractors and has a 96% customer renewal rate. These are vendor-reported figures, not independently audited market-share evidence.

Pricing: Deltek says pricing is flexible and that customers pay for the first month rather than a large lump sum, but it does not publish a standard price list. Get a written quote covering modules, payroll, hosting, implementation, integrations, and support.

Main trade-off: ComputerEase may be particularly strong when accounting, payroll, job costing, and compliance drive the selection. Test field usability, mobile time and receipt capture, project-management depth, payroll-service versus in-house options, reporting customization, and integration with platforms such as Procore.

7. Best for construction plus service operations: Jonas Construction Software

Best for: mechanical, electrical, plumbing, HVAC, and other specialty contractors that operate construction and service divisions and need accounting, dispatch, work orders, payroll, inventory, and job costing in one connected system.

Best for: larger general contractors and enterprise construction firms that want project management and accounting in one platform with substantial project controls, procurement, subcontract management, and financial reporting.

10. Best payment and compliance add-on: GCPay

Best for: general contractors with many subcontractors whose main bottleneck is pay applications, lien waivers, compliance documents, approval routing, retainage releases, or electronic payments.

Important classification: Procore should not be listed as standalone accounting software without qualification. It is generally a construction-management and financial-visibility layer rather than the primary general ledger.

Verdict: a strong complement when the company needs project collaboration and has, or is selecting, a separate accounting ERP.

QuickBooks versus a construction ERP

QuickBooks may be sufficient for a contractor with short-duration jobs, one entity, simple billing, few active projects, no union or prevailing-wage payroll, no formal WIP requirement, disciplined manual processes, and a construction-literate CPA. QuickBooks Online’s Plus and Advanced plans provide project job costing, but a buyer must verify whether the product and any add-ons cover the company’s commercial-construction requirements. A service contractor should give more weight to dispatch, work orders, inventory, and technician time capture.

Run a scripted demo, not a generic presentation

Give each finalist the same scenario and require the vendor to use the product rather than slides:

  2. Enter a subcontract and purchase order.
  3. Enter labor from a mobile timesheet.
  4. Enter a material receipt.
  5. Record a committed cost before the invoice arrives.
  6. Approve a change order and show its effect on the budget and contract.
  7. Create an AIA pay application with retainage and stored materials.
  8. Post a vendor invoice against the commitment.
  9. Run budget-versus-actual and estimate-at-completion reports.
  10. Produce the WIP schedule.
  11. Post or preview the over- or under-billing journal entry.
  12. Run a certified-payroll report if applicable.
  13. Consolidate two entities.
  14. Drill from a financial statement to the source transaction.

Require the vendor to identify which steps are native, which require an add-on, which require an integration, and which require manual work. A feature checklist can say that two products both support WIP or AIA billing while their actual workflows differ substantially.

Calculate the real cost, not just the subscription

Request a three- to five-year total-cost model that includes:

  • Subscription or license fees.
  • User, concurrent-user, resource, or transaction charges.
  • Construction, payroll, service, equipment, inventory, and reporting modules.
  • Payroll processing, payments, hosting, and storage.
  • Implementation, consulting, data conversion, and training.
  • Integrations, API access, custom reports, and mobile access.
  • Additional entities, divisions, and future acquisitions.
  • Support, upgrades, and account-management fees.
  • Internal administrator time, process redesign, reconciliation, and ongoing data cleanup.

A low monthly subscription can be expensive if the company must maintain duplicate records, manually reconcile two systems, build custom reports, or pay for every payroll and integration module. Conversely, a higher-priced ERP may be less expensive over time if it eliminates spreadsheets, duplicate entry, and unreliable month-end estimates. Require the vendor to put every assumption in writing.

Implementation risks that can outweigh product differences

New software will not fix inconsistent cost codes, late timesheets, missing commitments, unapproved change orders, unrecorded stored materials, unclear WIP ownership, poor estimate-to-budget conversion, or the absence of a month-end close calendar.

Before signing, define:

  • The cost-code and job hierarchy.
  • Who owns the customer, vendor, job, and cost-code master records.
  • How estimates become budgets.
  • Who approves purchase orders, subcontracts, change orders, bills, pay applications, and payroll.
  • How open jobs, retainage balances, open purchase orders, WIP history, payroll history, and opening balances will migrate.
  • How integrations behave when transactions fail or are changed.
  • Who owns WIP forecasting and the month-end close.
  • What reports management, lenders, sureties, owners, and the CPA require.

For a two-system setup such as QuickBooks Online plus Knowify, create a written data-ownership matrix before implementation:

They mix unlike products

Market lists often place Procore, GCPay, Acumatica, ComputerEase, Sage Intacct, finance-automation tools, and contractor applications in one ranking. That can help discovery, but it is not an apples-to-apples accounting comparison. Procore is primarily a construction-management platform, GCPay is a payment and compliance platform, and Sage Intacct and Acumatica are broader accounting and ERP systems. Use separate categories: accounting ERP, construction ERP, QuickBooks-integrated stack, project-management layer, payment add-on, and finance-automation layer. They over-rely on ratings

G2 and Capterra reviews can reveal patterns about usability and support, but ratings do not answer whether WIP ties to the general ledger, commitments are included in forecasts, retainage is posted correctly, certified payroll works in the buyer’s jurisdiction, or AIA forms are native rather than AIA-style. Use ratings as signals, not as the selection method.

They reuse stale pricing

Third-party comparisons can be useful historical benchmarks, but prices and rankings can change. Business.org identifies its displayed construction-accounting data as from February 13, 2023. Do not reuse those prices in a 2026 buying decision without current confirmation.

They treat vendor claims as independent facts

Claims such as best overall, number one, most users, fastest implementation, real-time, fully integrated, AIA compliant, certified-payroll support, unlimited users, or lower total cost should be labeled as vendor claims or tested in a live demonstration. The same phrase can mean native functionality in one product and a partner integration or manual report in another.

Bottom line

For a small contractor already comfortable with QuickBooks Online, start with QuickBooks Online Plus or Advanced plus Knowify. For a company that needs one cloud construction ERP, evaluate Acumatica Construction Edition. For a finance-led, multi-entity organization, prioritize Sage Intacct Construction. For union, public-works, prevailing-wage, or self-performing operations, compare FOUNDATION and Deltek ComputerEase. For construction plus service, add Jonas and Vista to the evaluation. For a large enterprise general contractor, include CMiC.

Use GCPay when the problem is subcontractor payment administration and Procore when the company needs a project-management layer over its accounting system.
