Re:

Best Accounting Software for Mac

The best accounting software for Mac depends on whether you need cloud collaboration, freelancer invoicing, free bookkeeping, or a genuine local desktop program. Compare features, U.S. prices, payroll, compatibility, offline access, and migration risks.

For most U.S. small businesses, QuickBooks Online is the best overall accounting software for Mac because it combines broad accounting features, accountant access, integrations, payroll options, and a Mac access app. It is not a local Mac accounting database: your books remain online and you use Safari, Chrome, or the QuickBooks Online macOS app to access them.

The best choice depends on what you mean by for Mac. Choose Xero for multi-user collaboration, Zoho Books for value and customization, FreshBooks for freelancers and service businesses, Wave for free basic cloud bookkeeping, AccountEdge for installed local accounting, and GnuCash for free open-source desktop software. MoneyWorks is worth investigating for advanced local inventory and job costing.

This guide covers U.S. pricing, payroll, compatibility, offline use, bank feeds, migration, and the difference between a genuine Mac application and a browser service. Prices and plan features change, so verify the linked vendor page before subscribing.

What does accounting software for Mac actually mean?

Today, most accounting software that works on a Mac is cloud software. You open it in Safari or another supported browser, and the accounting database is hosted by the provider. The service may also offer an iPhone or iPad app, but that does not make it a native Mac desktop program.

There are four different arrangements:

  • Cloud accounting in a browser: QuickBooks Online, Xero, Zoho Books, FreshBooks, and Wave. These work across Mac and Windows and generally make collaboration, updates, and accountant access easier.
  • A Mac access app for cloud accounting: QuickBooks Online has a macOS access app. It is a way to open QuickBooks Online from a Mac, not the old local QuickBooks Desktop for Mac product.
  • Native or local desktop accounting: AccountEdge, GnuCash, and MoneyWorks can keep company files on a computer or local network. These are the relevant choices if offline work and local file control matter.
  • Hosted Windows accounting: A Mac can run Windows-only software through Parallels, Remote Desktop, or a hosted provider. This is a workaround for a specific legacy or Windows-only requirement, not the simplest meaning of Mac-compatible.

That distinction matters. Works on Mac does not necessarily mean local files, offline access, Apple Silicon-native code, or feature parity with a Windows desktop edition. Similarly, a cloud backup is not the same as an independent backup that you control.

Quick comparison

Product Best for Mac deployment Local file/offline use Regular starting price Payroll Main caveat
QuickBooks Online Typical small business Browser plus Mac access app No; internet required $38/month Intuit add-on Higher tiers and add-ons become expensive
Xero Teams and collaboration Browser No; cloud service $25/month Gusto integration Early plan allows only 20 invoices and five bills
Zoho Books Value and customization Browser plus mobile apps No; cloud service Free if eligible; paid plans from $20/month Verify state-specific options Free plan has revenue and usage limits
FreshBooks Freelancers and service firms Browser No; internet required $23/month Paid add-on Client limits and less depth for inventory
Wave Free basic bookkeeping Browser plus mobile invoicing No; cloud service Free; Pro is $19/month or $190/year Paid add-on Bank automation is not in the free plan
AccountEdge Pro Installed local accounting Native desktop software Yes for the core local workflow $20/month for one user $20/month add-on Backups, file storage, and compatibility are your responsibility
GnuCash Free local accounting Native desktop software Yes Free No turnkey payroll More technical and less collaborative
MoneyWorks Advanced local inventory and job costing Mac/Windows desktop and cloud options Depends on edition Verify U.S. pricing Verify separately More complex; public U.S. pricing is not directly comparable

All prices above are U.S. vendor pricing described in the cited sources, before taxes, payment-processing charges, payroll, additional users, and other add-ons. Promotional offers are not used as the long-term comparison.

The best accounting software for Mac by use case

QuickBooks Online: best overall for many U.S. small businesses

QuickBooks Online is the safest general recommendation when a business wants mainstream cloud accounting, a large integration ecosystem, accountant collaboration, inventory or project tracking, and an optional payroll service.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The U.S. pricing page currently displays these regular monthly prices:

  • Simple Start: $38 per month for one user plus two accountant users.
  • Essentials: $75 per month for three users plus two accountant users.
  • Plus: $115 per month for five users plus two accountant users.
  • Advanced: $275 per month for 25 users plus three accountant users.

That is approximately $456, $900, $1,380, and $3,300 per year respectively before tax and add-ons. The page may also show temporary discounts or a trial; treat those as introductory offers, not as the cost of keeping the books.

Plus is the point at which features such as inventory tracking and project profitability appear on the cited plan comparison. Advanced adds capabilities including custom reporting, workflow automation, custom permissions, batch transactions, cash-flow forecasting, and profit forecasting. User limits are plan-specific, and an accountant invitation does not mean unlimited ordinary users.

Mac compatibility

QuickBooks Online works through a supported browser. Intuit says the service generally supports the current browser version and the two previous versions, and Safari is supported on Mac. For troubleshooting and performance, Intuit recommends current browsers and specifically recommends Chrome in its performance guidance.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Intuit also documents a QuickBooks Online Mac app. To install it:

  1. Sign in to QuickBooks Online.
  2. Select Settings.
  3. Select Get the desktop app.
  4. Select Download for Mac.
  5. Open the downloaded app.
  6. Later, find it at Finder → Applications → QuickBooks.

Use the official installation instructions for the current process. This app provides access to an online account; it does not store a local QuickBooks Desktop company file and does not create offline accounting.

Who should choose it?

Choose QuickBooks Online when your accountant already works in QuickBooks, you need many integrations, you want Intuit payroll, or you expect to use inventory, classes, locations, projects, or advanced reporting. Do not choose it merely because it is the most familiar name. A freelancer who only sends invoices may pay for more system than necessary, while a business that needs multiple users should compare the total cost with Xero.

Xero: best for collaboration and multiple users

Xero is a strong QuickBooks alternative for businesses that want browser-based accounting and access for several users without per-user license fees on its U.S. plans.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Its regular U.S. monthly prices are:

  • Early: $25 per month, or $300 per year.
  • Growing: $55 per month, or $660 per year.
  • Established: $90 per month, or $1,080 per year.

Xero says there are no per-user license fees. That can make it attractive when an owner, bookkeeper, manager, and accountant all need access. But the low Early price comes with an important restriction: it permits only 20 invoices and five bills. Higher tiers add broader bill management, automated features, projects, expenses, cash-flow forecasting, inventory, multi-currency, and other capabilities.

Xero provides bank reconciliation, online invoicing, bills, expenses, projects, reporting, and integrations. It advertises connections to more than 21,000 financial institutions globally, although support still depends on the particular bank and account.

Mac and mobile compatibility

Xero is primarily a cloud service accessed in a browser, not a local Mac application. Its Mac accounting guide describes browser-based access, automatic updates, backups, cross-device use, and simultaneous collaboration.

The Xero Accounting mobile app supports iPhone and iPad, with full compatibility requiring iOS 16 or later according to Xero’s mobile-app information. A mobile app is a companion to the accounting system; do not assume every desktop report, setup screen, or reconciliation function is available on an iPhone or iPad.

Free tools Windows power users keep installed

One-click scans. No signup required.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Payroll caveat

Xero’s U.S. payroll workflow uses Gusto integration rather than simply including a native payroll engine in the accounting subscription. Compare the combined Xero-plus-Gusto cost and confirm state, local, multi-state, direct-deposit, and year-end filing requirements.

Verdict: Xero is particularly compelling for collaborative businesses that can move beyond the restrictive Early plan and are comfortable using Gusto for payroll.

Zoho Books: best value and customization

Zoho Books offers one of the most useful low-cost options for a qualifying microbusiness. Its free U.S. plan is available indefinitely while annual revenue remains below the stated $50,000 threshold, subject to the plan’s other limits.

The U.S. plans currently shown are:

  • Free: $0 per month for one user plus one accountant.
  • Standard: $20 monthly or $15 per month when billed annually, with three users.
  • Professional: $50 monthly or $40 annually, with five users.
  • Premium: $70 monthly or $60 annually, with 10 users.
  • Elite: $150 monthly or $120 annually.
  • Ultimate: $275 monthly or $240 annually.

Annualized paid prices range from $180 per year for Standard billed annually to $2,880 per year for Ultimate billed annually. The free plan’s revenue threshold, user limit, transaction limits, and feature restrictions are essential parts of that price comparison.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

As tiers increase, Zoho adds bank feeds, sales-tax features, 1099 functionality, custom reports, multi-currency, projects, inventory, fixed assets, revenue recognition, advanced inventory, and analytics. Custom fields, workflows, user roles, and reports are attractive for an owner who wants to tailor the system rather than accept a fixed workflow.

Mac compatibility and fit

Zoho Books is cloud-based, requires no desktop installation, and works through a computer browser on Mac or Windows. Zoho also offers iOS and Android apps. Browser software is generally less sensitive to whether a Mac has an Apple Silicon or Intel processor, but you should still confirm the supported macOS and browser versions before enrolling.

Zoho Books is especially sensible if you already use Zoho CRM, Zoho Expense, Zoho Inventory, or another Zoho product. If you only need straightforward bookkeeping, the wider ecosystem may add complexity without adding value. Payroll and tax features should be checked for your business structure and state rather than inferred from the accounting plan.

Verdict: Zoho Books is the value pick for a qualifying small business that wants low pricing, automation, and customization. It is not automatically the best choice for a company whose accountant or payroll provider is built around another platform.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

FreshBooks: best for freelancers and client-service businesses

FreshBooks is designed around the workflow of a service provider: prepare an estimate or proposal, track time and expenses, send an attractive invoice, collect payment, and communicate with the client.

Its current U.S. list prices are:

  • Lite: $23 per month, with invoices for up to five clients.
  • Plus: $43 per month, with invoices for up to 50 clients.
  • Premium: $70 per month, with unlimited clients.
  • Select: quote-based.

Those prices equal $276, $516, and $840 per year before add-ons. FreshBooks may display a temporary introductory discount, but the ordinary list price is the better basis for budgeting. Team-member access, advanced payments, and payroll are separate paid options.

FreshBooks emphasizes estimates, proposals, retainers, recurring invoices, time tracking, expenses, receipt capture, online payments, client portals, tax-time reports, and project profitability. Double-entry accounting reports and bank reconciliation appear on higher plans rather than the entry-level tier, so confirm the tier before assuming Lite provides every accounting function you need.

Mac compatibility and limitations

FreshBooks is a browser service and requires an internet connection. Its browser guidance recommends current Chrome, Firefox, Edge, Opera, and Safari, with Safari support covering the two most recent major versions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

FreshBooks is a good match for consultants, designers, agencies, coaches, writers, and other firms that bill for time or recurring services. It is less suitable for product businesses with deep inventory, complex accounts payable, manufacturing, or advanced multi-entity accounting. A business with many clients should calculate the cost of moving from Lite to Plus or Premium.

Verdict: FreshBooks is the best Mac-friendly choice for a freelancer or service business when client billing matters more than inventory depth.

Wave: best free cloud option for basic books

Wave is useful for a very small service business that wants to create invoices and maintain basic bookkeeping records without a monthly software subscription.

Wave’s U.S. Starter plan costs $0 and includes unlimited estimates, invoices, bills, bookkeeping records, a dashboard, and mobile invoicing. Pro costs $19 per month or $190 per year and adds automatic bank transaction imports, automatic merging and categorization, unlimited digital receipt capture, and late-payment reminders.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The free price has meaningful omissions. Starter does not include automatic bank imports or receipt capture. Online payments cost extra; Wave’s displayed U.S. card rate for Visa, Mastercard, and Discover on Starter is 2.9% plus $0.60 per transaction. Payroll is also an add-on. A business that processes substantial card volume may pay more in transaction fees than it would have paid for a subscription.

Wave’s bank connections use Plaid, but Wave notes that Plaid does not support every financial institution. If your bank is unsupported, you may need manual statement imports or another product.

Verdict: Wave is the best free cloud choice for basic invoicing and records. It is not a strong fit for inventory, advanced permissions, sophisticated reporting, or complex payroll.

AccountEdge Pro: best installed local accounting program

AccountEdge is the clearest answer for someone who specifically wants accounting software installed on a Mac with local company files. It is desktop software for Mac and Windows and includes a traditional general ledger, chart of accounts, sales, invoices, expenses, bank reconciliation, reporting, budgeting, inventory, time billing, contact management, password protection, backups, and accountant copies.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Current U.S. pricing shows:

  • AccountEdge Pro: $20 per month for one user.
  • AccountEdge Network Edition: $30 per month for two users with simultaneous access.
  • AccountEdge Hosted: $50 per user per month through a web browser.

Potential extras include payroll at $20 per month, bank feeds at $5 per month, telephone support at $10 per month, workstation licenses at $10 per month, and AccountEdge Connect from $15 per month. Consequently, the $20 desktop price is not necessarily the complete cost of running a business on the platform.

Local-file rules matter

AccountEdge says Pro company files should stay on a local machine and should not be placed in iCloud, Dropbox, or another cloud-synchronization folder. Network Edition is intended for simultaneous local-network use and uses Apple Bonjour. Do not attempt to create multi-user access by putting one live company file in a synced folder.

AccountEdge support documentation says the latest version requires macOS 13 or later. The public documentation reviewed for this guide does not clearly establish every Apple Silicon or native-architecture detail, so confirm compatibility directly before buying, particularly if you have an M-series Mac. An Intel application may run through Rosetta, but that is not the same as native Apple Silicon support.

Verdict: Choose AccountEdge when local files and offline work are non-negotiable and you can manage backups, network setup, and compatibility. Choose cloud accounting instead if remote collaboration is your normal workflow.

GnuCash: best free local Mac software

GnuCash is free, open-source personal and small-business financial-accounting software. Its current stable release shown on the official download page is 5.16. GnuCash provides separate installers for Apple Silicon Macs running macOS 11 Big Sur or later and Intel Macs running macOS 10.13 High Sierra or later.

To install it on macOS, download the disk image, open it, and drag GnuCash into the Applications folder. The official installation guide covers the process.

GnuCash is a sensible option for a technically comfortable sole proprietor or small organization with straightforward books that wants local files and no subscription. It is not a drop-in replacement for every QuickBooks workflow. You should not expect the same turnkey payroll, integrated payment collection, accountant collaboration, mobile experience, or commercial support ecosystem.

With free local software, the owner takes responsibility for setup, bank imports, backups, file organization, updates, and troubleshooting. That trade-off may be worthwhile, but it should be intentional.

Free tools Windows power users keep installed

One-click scans. No signup required.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Verdict: GnuCash is the best free native/local option for a hands-on user, not the best option for a business that needs a polished shared system.

MoneyWorks: an advanced alternative to investigate

MoneyWorks is a Mac and Windows desktop/cloud accounting platform that is worth considering for more demanding businesses. Public product information describes general ledger, inventory, job costing, time billing, departmental accounting, fixed assets, multi-currency, scripting, and custom reporting.

MoneyWorks may suit a business with serious inventory, manufacturing, job costing, or departmental-accounting requirements better than a lightweight freelancer product. However, the researched U.S. store did not expose a directly comparable price table. An authorized distributor describes MoneyWorks Gold as available through perpetual or subscription licensing, but that is distributor-provided information rather than a clean U.S. pricing source. Verify the edition, hosting model, support, Apple Silicon compatibility, and total U.S. price directly before treating it as a finalist.

Choose by business type, not by ranking

Your situation Good starting points What to verify
Freelancer or sole proprietor sending a few invoices FreshBooks, Wave, Zoho Books Free, or GnuCash Whether you need bank feeds, double-entry reports, receipt capture, or a tax-ready export

Cloud versus local desktop accounting

Consideration Cloud accounting Local Mac software
Access Mac, Windows, and supported browsers from anywhere with internet Usually tied to a computer or local network unless separately hosted
Updates Provider usually updates the service automatically You manage application updates and macOS compatibility
Backups Provider generally maintains service backups, but you should still export important reports and data You are responsible for independent backups and recovery testing
Collaboration Usually easier for accountants, remote staff, and multiple users May require Network Edition, a local network, or separate hosting
Offline work Usually unavailable or limited Core bookkeeping can generally continue offline; bank feeds, payments, and payroll may still need internet
Data control Data is held in the vendor’s cloud and subject to its pricing and product policies Local files provide more direct control, but also more responsibility
Long-term cost Recurring subscription, often with add-ons May have a lower core price, but add-ons, support, hosting, and backup costs matter
Mac compatibility risk Usually driven by browser and supported macOS versions More sensitive to application architecture, Rosetta, permissions, file paths, and future macOS changes

Accounting features to check before subscribing

Do not compare products using a single checkbox labeled accounting. Check whether the specific plan includes the functions your business actually uses:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Core accounting: double-entry bookkeeping, cash and accrual reporting, general ledger, chart of accounts, audit trail, and accountant access.
  • Banking: automatic bank feeds, manual statement import, transaction matching, and bank reconciliation. A connection to one bank does not guarantee support for every financial institution or account type.
  • Sales: estimates or quotes, invoices, recurring invoices, payment reminders, online payments, sales-tax tracking, customer records, and 1099-related reporting.
  • Purchasing: bills, accounts payable, purchase orders, vendor records, receipt capture, expense categorization, and bill payment.
  • Operations: inventory quantities and valuation, projects, time tracking, job costing, multi-currency, fixed assets, budgets, and forecasting.
  • Administration: user roles, custom reports, data exports, API access, integrations, mobile apps, and the ability to preserve records if you cancel.

A product can be excellent for invoicing and still be a poor choice for inventory, accounts payable, payroll, or multiple entities. FreshBooks illustrates this distinction: it is particularly strong for client billing, while higher-level double-entry and reconciliation features need plan checking. Wave is inexpensive, but its free tier leaves more banking work manual. Xero has no per-user license fees, but its cheapest tier may be too restrictive for an active business.

Calculate the real annual cost

Use this formula rather than comparing only the headline monthly price:

Annual software subscription + additional users + payroll + payment processing + bank-feed fees + receipt scanning + inventory or project add-ons + accountant access + migration/setup + support + hosting/workstation fees

Examples from the current product pages show why this matters:

Payroll is a separate buying decision

A comparison table that says simply Payroll: yes is not useful. Ask who supplies payroll, what the add-on costs, and which taxes and filings are included.

  • QuickBooks Online: Intuit payroll can pay and file federal, state, and local payroll taxes depending on the service tier and setup. Intuit says local-tax automation is limited on lower tiers; review the pay-and-file guidance for the current details.
  • Xero: U.S. payroll is based on Gusto integration, so compare the combined subscriptions and confirm that payroll data syncs as needed.
  • FreshBooks: Payroll is an add-on. The pricing page currently shows $40 per month plus $6 per month per user.
  • Wave: Payroll is an add-on, and availability and state coverage should be checked for your location.
  • AccountEdge: Payroll is listed as a $20-per-month add-on.
  • Zoho Books and GnuCash: Do not assume the accounting product alone provides a complete U.S. payroll service. Verify the specific state, business structure, and integration.

Before moving payroll, confirm federal, state, and local tax filing; multi-state support; contractor 1099 payments; workers’ compensation; benefits deductions; direct-deposit timing; year-end W-2 and 1099 support; and whether the provider handles filings automatically or merely records payroll entries.

Test the software before migrating live books

A free trial is useful only if you test the workflows that can make a product unsuitable. Use a sample company or a copy of your data and complete this checklist:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Log in using Safari on the Mac you actually use for work.
  2. Test the current version of Chrome and, if important to your workflow, Firefox.
  3. Confirm the supported macOS versions and whether the product has a Mac app, a browser site, or a local accounting engine.
  4. Create a customer and send a test invoice with tax, a payment link, a recurring schedule, and a reminder.
  5. Create a vendor, enter a bill, attach a receipt, and schedule or record payment.
  6. Connect a bank and credit card, then confirm how transactions are matched and reconciled.
  7. Download a supported statement file and test manual import in case the bank feed fails.
  8. Run a profit-and-loss statement, balance sheet, accounts-receivable report, accounts-payable report, and bank-reconciliation report.
  9. Invite an accountant or second user and test permissions, simultaneous access, and audit history.
  10. Check inventory quantities and valuation if you sell products.
  11. Test project profitability, time billing, or job costing if you bill by project.
  12. Open the iPhone or iPad app and verify whether the mobile features are sufficient; never assume mobile feature parity.
  13. Export your customer list, chart of accounts, transactions, and key reports. Confirm that you can retrieve your records if you leave.
  14. Calculate the regular annual cost with every required user and add-on, excluding temporary introductory discounts.
  15. Ask the accountant to review the conversion plan before you cancel the old system.

How to migrate from another accounting system

Migration is not always a complete historical conversion. An import tool may bring over lists and opening balances while leaving historical transactions behind, or it may support only certain editions and file formats. Confirm exactly what will transfer.

  1. Preserve the old data first. Export the old accounting file and key reports before canceling the subscription or uninstalling software. Keep a read-only copy.
  2. Export the lists. Save the chart of accounts, customers, vendors, products and services, open invoices, unpaid bills, and bank transactions.
  3. Reconcile through the conversion date. Reconcile every bank and credit-card account in the old system before establishing opening balances in the new one.
  4. Document receivables and payables. Record each open customer invoice and vendor bill separately rather than relying only on one summary number.
  5. Verify inventory. Confirm quantities, unit costs, valuation method, locations, and outstanding purchase orders.
  6. Handle payroll carefully. If changing payroll systems during the year, transfer year-to-date wages, taxes, deductions, employee data, and prior filings as required by the new provider.
  7. Compare reports. Match the new opening balance sheet, profit and loss, accounts receivable, accounts payable, bank balances, credit-card balances, and inventory totals to the old system.
  8. Run parallel checks. Review the first month in both systems and have the accountant review the first tax filing after the migration.

Do not let a low introductory price push you into a hurried conversion. A correct opening balance and preserved historical records are more valuable than a discount.

Switching from QuickBooks Desktop for Mac

QuickBooks Desktop for Mac should not be presented as a normal new-purchase recommendation in the United States. Intuit stopped selling new QuickBooks Desktop Pro Plus, Premier Plus, Mac Plus, and Enhanced Payroll subscriptions after September 30, 2024, although existing subscribers may continue renewing under Intuit’s current policy. See Intuit’s new-subscriber policy and its service-discontinuation policy.

If you are an existing Desktop for Mac user, first establish whether your subscription remains supported. Then preserve the original company file and reports, identify the conversion date, and test the destination product with a copy of the data. Pay special attention to inventory, open receivables, open bills, payroll year-to-date figures, custom reports, sales tax, and accountant workflows.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Be cautious with third-party sellers offering discontinued Desktop products. A product key is not the same as a supported subscription, current payroll filing, security updates, or a reliable migration path.

Compatibility questions Mac users should ask

Does it run in Safari?

Cloud products are accessed through a browser, but the supported browser list and version policy differ. QuickBooks Online says it generally supports the current browser and two previous versions and supports Safari on Mac. FreshBooks recommends current Chrome, Firefox, Edge, Opera, and Safari, with Safari support for the two latest major versions. For Xero, Zoho Books, and Wave, check the current vendor browser requirements before relying on an older macOS installation.

Does it support Chrome and Firefox?

FreshBooks explicitly lists current Chrome and Firefox among its recommended browsers. QuickBooks Online recommends current browsers and specifically points users toward Chrome for performance. A browser-based product normally depends more on the supported browser and macOS version than on whether the Mac uses Intel or Apple Silicon, but test your actual browser and extensions.

Is there a Mac application?

QuickBooks Online has a Mac access app, while AccountEdge and GnuCash are installed desktop applications. Xero, Zoho Books, FreshBooks, and Wave are primarily browser services, even if they provide mobile apps or can be saved as browser shortcuts.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Is the accounting engine local?

QuickBooks Online’s Mac app is not a local accounting engine. AccountEdge Pro and GnuCash use local files. MoneyWorks has desktop and cloud options, so the edition determines where data is stored and how collaboration works.

Does it support Apple Silicon and Intel?

Cloud applications usually care about browser and macOS support rather than processor architecture. GnuCash clearly publishes separate Apple Silicon and Intel installers. AccountEdge’s public support documentation establishes a macOS 13 minimum for the latest version but does not clearly establish all Apple Silicon/native-architecture details in the material reviewed here. Confirm this directly before purchasing. For any native desktop application, ask whether it is Apple Silicon native, Intel-only through Rosetta, or supported only on certain macOS releases.

Is an internet connection required?

Yes for the cloud products in this guide: QuickBooks Online, Xero, Zoho Books, FreshBooks, and Wave. Local products such as AccountEdge and GnuCash can support offline core bookkeeping, although bank feeds, online payments, payroll, updates, and support may require internet. Hosted AccountEdge and cloud editions of MoneyWorks also depend on connectivity.

Are iPhone and iPad apps available?

Xero supports iPhone and iPad and says full compatibility requires iOS 16 or later. Zoho Books offers iOS and Android apps, and Wave includes mobile invoicing. The Mac access app or mobile app is not proof that all desktop reports, imports, payroll settings, or reconciliation features are available on a smaller device. Test the exact mobile tasks you need.

Common failure modes and how to recover

When a bank feed stops working

  1. Check whether the financial institution and account type are supported.
  2. Refresh or reconnect the bank feed.
  3. Download a supported statement format such as CSV, QBO, QFX, OFX, or another format accepted by that product.
  4. Import the missing period manually.
  5. Use the bank statement as the reconciliation source.
  6. Check for duplicate transactions before accepting the imported entries.

Do not import a period that was already downloaded through the feed unless you have identified exactly which transactions are missing. Duplicate entries can distort income, expenses, and account balances.

When the browser behaves incorrectly

Update macOS and the browser, temporarily disable extensions, clear the site’s cookies or data, and test current Chrome before assuming the accounting data is damaged. Avoid private browsing when the service depends on cached site elements. QuickBooks specifically warns that private browsing can cause repeated loading of site elements and recommends Chrome for performance troubleshooting.

When a local company file is damaged or unavailable

For AccountEdge Pro, keep the live company file on a local drive, not inside iCloud, Dropbox, or another synchronization folder. Use Network Edition for simultaneous local-network access, keep workstations on compatible software and macOS versions, and maintain independent backups. A synced folder is not a substitute for a tested backup and can create conflicting or corrupted copies.

When an Apple Silicon Mac exposes an older application problem

Separate browser compatibility from native desktop compatibility. A cloud service may work normally because the browser handles the architecture, while an older local application may depend on Rosetta or stop working after a macOS update. Before upgrading macOS, check the desktop publisher’s supported-version list, confirm backup recovery, and test the application on a non-production copy.

What not to mistake for business accounting software

Banktivity, Moneydance, and similar tools may be useful for household spending, budgeting, investments, or personal bank accounts. They are not automatically substitutes for business accounting. A business may need a chart of accounts, double-entry reports, accounts receivable, accounts payable, sales-tax records, inventory, 1099 workflows, payroll, audit history, and accountant access.

If the actual goal is tracking household cash flow rather than operating a business, a personal-finance comparison is more appropriate. Do not select a business accounting system simply because it has a Mac app, and do not select a household budgeting tool because it is inexpensive.

Frequently Asked Questions

Is QuickBooks Online a native Mac accounting program?

No. QuickBooks Online is cloud accounting. Intuit provides a Mac access app, but the accounting database remains online and the app does not provide the local-file or offline behavior of the old QuickBooks Desktop for Mac product.

Can I still buy QuickBooks Desktop for Mac?

Intuit stopped selling new U.S. subscriptions for QuickBooks Desktop Pro Plus, Premier Plus, Mac Plus, and Enhanced Payroll after September 30, 2024. Existing subscribers may continue renewing under Intuit’s current policy. Verify support status before relying on an old installation, and be cautious with third-party sellers.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

What is the best free accounting software for Mac?

Wave is the best free cloud option for basic invoices and bookkeeping records, but bank automation and receipt capture require Pro and payments cost extra. GnuCash is the best free local option for a technically comfortable user who can manage files, imports, and backups.

Which Mac accounting software works offline?

AccountEdge, GnuCash, and some MoneyWorks desktop editions are the relevant local options. Cloud products such as QuickBooks Online, Xero, Zoho Books, FreshBooks, and Wave require internet. Local products may still need internet for bank feeds, payroll, online payments, updates, and support.

What is the best accounting software for an Apple Silicon Mac?

Browser-based products are usually the least sensitive to Intel versus Apple Silicon because compatibility is primarily handled through the supported browser and macOS. GnuCash explicitly provides separate Apple Silicon and Intel installers. Confirm Apple Silicon support directly for AccountEdge and any other native desktop application before buying.

Is Xero better than QuickBooks Online on a Mac?

Neither is universally better. Xero is often preferable when several users need access and the business values no per-user license fees. QuickBooks Online is often preferable when the accountant, payroll workflow, integrations, inventory, projects, or reporting requirements point to Intuit. Compare the complete plan and add-on cost.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Is FreshBooks full accounting software?

FreshBooks provides accounting features, but its strongest use case is client-service billing, estimates, retainers, time tracking, expenses, and payment collection. Double-entry accounting reports and bank reconciliation appear on higher plans, and it is less suitable for deep inventory or complex payables.

Can I run payroll from a Mac?

Yes, payroll services can generally be operated through compatible browser-based accounting software on a Mac. The important question is not the computer platform but the provider, state coverage, tax filing, direct deposit, multi-state support, benefits, workers’ compensation, and year-end forms. Payroll is an add-on or integration for several products.

Can I use accounting software without connecting my bank?

Usually yes, if the product supports manual transaction or statement entry. You can download a supported statement file from the bank and import it, or enter transactions manually. Check the exact accepted format and reconcile against the bank statement. Never import transactions that are already present through an active bank feed.

What should I do if my bank feed fails?

Check the institution and account type, reconnect or refresh the feed, then download a supported statement file and import only the missing period. Match and reconcile the transactions against the statement, checking carefully for duplicates. Not every bank is supported by every provider.

The Bottom Line

For most U.S. small businesses using a Mac, start with QuickBooks Online if you want broad features, accountant access, integrations, and optional payroll. Choose Xero when multi-user collaboration and no per-user license fees matter most; Zoho Books when price and customization lead; FreshBooks when you are a freelancer or service provider; and Wave when basic bookkeeping must cost nothing.

If you specifically want software installed on the Mac with local files, skip the browser-versus-desktop confusion and start with AccountEdge. Choose GnuCash when free and local matter more than convenience. Investigate MoneyWorks for advanced inventory or job costing, but verify the U.S. edition and price directly. In every case, test the actual browser or Mac application, calculate the cost of payroll and add-ons, and preserve the old books before migrating.
