Recommended Free Tools
For a UK sole trader who is not VAT registered, Sage Sole Trader Free is the clearest £0 starting point. FreeAgent is the strongest fit when Self Assessment workflows matter, while Xero is better suited to VAT-registered or growing teams that need integrations and cash-flow visibility. QuickBooks Online offers a familiar, HMRC-recognised workflow with combined bank and card transaction views. Your tax status, turnover, accounting basis and need for payroll or stock should decide the final choice—not a generic “best” list.
Start with your HMRC obligations
The right app is first a compliance decision and then a convenience decision. HMRC states: “From 6 April 2026, some sole traders and landlords must use compatible software to report their income using Making Tax Digital for Income Tax.” HMRC’s sign-up campaign says people who need MTD for the 2026–27 tax year can start signing up in September 2026. From 6 April 2027, sole traders and landlords with turnover above £30,000 must use MTD software, according to HMRC campaign guidance.

That threshold is about qualifying income, not simply whether you have a company bank account. Check the latest HMRC eligibility guidance for your circumstances, especially if you have more than one business, property income or a change in turnover. HMRC also says free products exist, although simpler products may restrict transaction volumes.
VAT is a separate requirement. If you are VAT registered, choose software that explicitly supports UK VAT returns and Making Tax Digital for VAT. An app can be suitable for MTD for Income Tax while lacking the VAT workflow you need, so confirm both before subscribing.

Prices, included features, promotions and MTD eligibility can change. Treat the Sage range as the range shown on Sage’s UK pricing page in 2026, not a permanent tariff. Check each provider’s current UK page and the cost of every add-on before committing; introductory prices are not a reliable measure of the recurring monthly bill.
Sage Sole Trader Free: the £0 route for a non-VAT-registered trader
Sage’s UK pricing page lists plans from £0 to £59 per month (page available in 2026). It describes Sage Sole Trader Free as “a free, HMRC-recognised app built for non-VAT registered sole traders who want to keep digital records and submit their Self Assessment for Making Tax Digital.” That combination makes it the logical first check for a sole trader who is not VAT registered and wants to meet digital-record obligations without a subscription.

When it fits
- You operate as a sole trader rather than a limited company.
- You are not VAT registered.
- You need digital income and expense records and a route into Self Assessment.
- Your transaction volume and reporting needs are modest enough for the free product.
Where to be cautious
The free product is not presented as a general-purpose system for every small business. If you register for VAT, employ staff, carry stock or need more advanced management reporting, verify whether you must move to another Sage plan or another provider. The cited pricing description does not establish user limits, payroll, stock, bank-feed limits or cash-flow forecasting depth, so obtain those details before building your process around it.
Practical setup
- Confirm that you are a sole trader and currently outside VAT registration.
- Check your likely MTD for Income Tax start date and sign-up requirement with HMRC.
- Open the app and enter opening balances only after reconciling your bank records.
- Connect or import transactions if the product supports the method you intend to use, then categorise income and allowable expenses consistently.
- Keep digital evidence for each expense and review the Self Assessment figures before submission.
FreeAgent: a freelancer-led Self Assessment workflow
FreeAgent documents Self Assessment filing, MTD for Income Tax and UK-based support. That makes it particularly attractive to freelancers and contractors who want tax work embedded in day-to-day bookkeeping rather than assembled from spreadsheets at year end.

Why freelancers choose it
- Self Assessment is treated as a central workflow rather than an afterthought.
- MTD for Income Tax support is documented for eligible users.
- UK-based support can matter when a filing deadline or tax treatment needs clarification.
The cash-basis limitation
FreeAgent says that when an account uses cash basis, stock and payroll are excluded. Cash basis is often simpler for a small business because income is recorded when received and expenses when paid, but that simplicity can remove features needed by a product-based business or an employer. If you hold inventory, pay staff or need accrual-style management accounts, ask FreeAgent whether an accrual setup or another plan is required before selecting cash basis.
Good operating routine
- Choose cash or accrual basis deliberately, using the basis your tax adviser recommends for your circumstances.
- Connect the business bank account and create rules only for transactions that are genuinely consistent.
- Upload receipts as soon as you incur costs so the evidence remains attached to the transaction.
- Set aside money for tax using the app’s figures, but treat the result as an estimate until returns are reviewed.
- Run the Self Assessment and MTD checks ahead of the deadline rather than on the filing day.
Xero: integrations, VAT and cash-flow visibility for a growing business
Xero documents UK VAT, CIS and MTD for Income Tax support. Those capabilities make it a strong candidate for a VAT-registered business, a contractor handling CIS or a team that expects to connect sales, payments, payroll or other operational systems.
What its integration claim means
Xero reports a 26% average productivity boost from app integrations, based on a 2025 survey of 266 small businesses. It also says four in five customers save six hours monthly by eliminating manual data entry (page accessed 2026). Both are Xero’s own vendor-reported claims, not independent benchmarks; your result will depend on the number and quality of integrations, transaction volume and how consistently data is reviewed.
Why it helps with cash flow
Bank feeds reduce re-keying, while reconciliation keeps the ledger aligned with actual cash movements. Xero’s cash-flow tools can help you see expected receipts and payments, but a forecast is only as reliable as your outstanding invoices, payment dates, recurring costs and bank-feed matches. Use it as a decision aid, not as a promise that money will arrive on time.
Questions for a VAT-registered buyer
- Does the exact plan submit the VAT return through MTD rather than merely store VAT codes?
- Are CIS workflows included or priced separately?
- How many users and bank connections are included?
- Which forecasting views are available without an add-on?
- What is the recurring price after any introductory period?
QuickBooks Online: a familiar mainstream workflow
QuickBooks says its UK software is HMRC recognised and MTD ready. It also says bank and credit-card transactions can be viewed together, which is useful when the owner needs one cash position rather than separate lists for each account.
Rank #3
Where it is useful
A familiar interface can reduce the training burden when a business owner, bookkeeper and accountant all need access. Combined bank and card views make it easier to spot duplicated spending, pending card liabilities and the difference between cash in the current account and total short-term obligations.
What must be verified
The cited information does not establish the user allowance, stock features, payroll inclusion, detailed forecast tools, UK VAT workflow by tier or recurring price. Compare those items on the exact UK plan you would buy. “MTD ready” should also be matched to your obligation: confirm whether it covers MTD for Income Tax, MTD for VAT or both for your business.
Cash basis versus accrual accounting
Business.gov.uk says accounting and finance records make tax and official reporting easier, and that many small and medium businesses use cash-basis accounting because it is simpler. Under cash basis, the timing of money received and paid drives many entries. Under accrual accounting, income and costs are recognised when earned or incurred, which can give a clearer view of profitability when customers pay later or stock is held.
| Choose cash basis when… | Choose accrual accounting when… |
|---|---|
| Your business is simple, customers pay promptly and you want straightforward tax records. | You invoice on credit, carry meaningful stock or need profit measured independently of payment dates. |
| You do not need payroll or stock features that your provider excludes under cash basis. | You need stock, payroll, creditor/debtor balances or management accounts. |
| Your accountant confirms it is suitable for your tax position. | Your accountant recommends matching income and costs to the period they relate to. |
Do not switch basis casually mid-year. Ask your accountant how opening balances, invoices, expenses and tax adjustments should be handled, then configure the app before importing historical data.

Reconcile regularly
Match the app’s transactions to the bank statement at least weekly. Investigate unmatched items, duplicates and transfers between your own accounts. A feed that is connected but never reconciled creates a precise-looking ledger that can still be wrong.
Separate committed and uncertain cash
Mark invoices as due, overdue or disputed, and list recurring bills separately from one-off spending. A forecast should distinguish money you expect from money you have contractually secured. This prevents a large unpaid invoice from disguising a near-term payroll or tax shortfall.
Reserve tax money
Move an agreed proportion of receipts into a separate tax pot. The percentage depends on profit, tax band, National Insurance and VAT status; the app can inform the estimate but cannot replace a tax calculation.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteReview a rolling period
Look at the next 13 weeks, not only the current bank balance. Compare expected receipts with rent, software, suppliers, wages, VAT and Self Assessment obligations. If the lowest point is negative, delay discretionary spending, accelerate legitimate collections or arrange funding before the shortfall arrives.

A step-by-step selection process
- Classify the business. Record whether you are a sole trader, partnership or limited company; whether you are VAT registered; whether you employ anyone; and whether you hold stock.
- Map your MTD dates. Check HMRC’s current eligibility rules, the September 2026 sign-up campaign for 2026–27 and the 6 April 2027 turnover-above-£30,000 milestone.
- Choose the accounting basis. Decide whether cash basis is appropriate, especially if you need stock, payroll or accrual reporting.
- Shortlist two apps. Start with Sage Sole Trader Free, FreeAgent, Xero or QuickBooks Online according to the fit above, then keep one alternative for a feature or cost check.
- Test real transactions. Import a representative month of bank activity, several invoices, a receipt, a transfer and a refund. Check the reconciliation and reporting output.
- Verify filings. Confirm the exact app and plan can submit the MTD return or VAT return you are required to make—not merely advertise general MTD readiness.
- Calculate the annual bill. Include users, add-ons, payroll, stock, support and post-promotion pricing.
- Plan migration. Export records from the old system, agree the opening date and retain source documents. Keep the old account available for the statutory retention period advised by your accountant.
Common failure points and fixes
| Symptom | Likely cause | Fix |
|---|---|---|
| MTD sign-up is unavailable | You are outside the current eligibility window, have not linked the right tax details or the plan does not support the required obligation. | Check HMRC eligibility and the provider’s exact MTD product documentation; do not assume a generic “MTD ready” badge is sufficient. |
| Bank balance differs from the app | Unreconciled items, duplicated imports, pending card payments or transfers coded as income. | Reconcile from the last agreed statement date and inspect transfers and duplicates first. |
| Profit looks high despite a cash shortage | Customers have not paid invoices, or tax and supplier bills are due later. | Review aged receivables and a 13-week cash forecast separately from the profit-and-loss report. |
| Stock or payroll cannot be enabled | The chosen cash-basis configuration or plan excludes those features. | Ask whether an accrual setup, higher tier or separate system is required before changing historical records. |
| The subscription becomes unexpectedly expensive | An introductory price ended or users, feeds and add-ons were billed separately. | Recalculate the full recurring bill before renewal and remove unused connections. |
FAQ
Do I need accounting software if I am below the MTD threshold?
Not necessarily. HMRC’s mandatory dates depend on eligibility and qualifying income, while ordinary record-keeping duties still apply. Using software early can make digital records and future transition easier, but choose it for a real workflow benefit rather than assuming every sole trader must subscribe immediately.
Can I run two apps at the same time?
You can, but duplicate ledgers create reconciliation and filing risks. If you trial an alternative, set a clear cutover date, designate one system as the filing source and prevent both systems from submitting the same return.
Should my accountant choose the app?
Your accountant should confirm tax basis, filing compatibility and migration treatment, but you should also test daily usability. The best system is one that you and the accountant can reconcile consistently, with the required records available when a return is due.
