7 Best Cloud Phone Systems for Remote Teams Compared (2026)

By TheFinanceBase Team 11 min read

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

RingCentral RingEX is the best overall cloud phone system for most growing remote teams because it combines calling, messaging, video, SMS, fax, routing, analytics, integrations, and multi-site administration. But it is not automatically the best value. Dialpad stands out for AI transcription and summaries, Zoom Phone is the natural choice for Zoom workplaces, Ooma Office is a strong small-business value, Aircall suits CRM-led sales and support teams, Nextiva fits managed traditional business communications, and 8×8 is the better starting point for international and contact-center requirements.

Prices and plan details were checked August 16, 2026. Pricing, taxes, calling destinations, number availability, contracts, and feature entitlements can change. Compare billing terms and add-ons—not just the advertised per-user price.

What is a cloud phone system?

A cloud phone system is a hosted VoIP or unified communications service. The provider operates the phone infrastructure, while your business manages users, numbers, routing, voicemail, messaging, recordings, and related settings through a web dashboard or app instead of maintaining a physical PBX.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The category includes several different products:

  • Virtual phone services for a main number, voicemail, forwarding, and basic business texting.
  • Business VoIP/PBX replacements with auto attendants, queues, extensions, recording, and routing rules.
  • Unified communications platforms that add chat and video meetings.
  • CRM-centric dialers built around sales and support workflows.
  • Contact-center platforms with advanced agent analytics, quality management, and workforce tools.
  • Telephony add-ons for Microsoft Teams or Zoom.

Those products solve different problems. A five-person company needing a shared number should not evaluate a contact-center platform as if it were a like-for-like alternative.

Quick comparison

Price signals below are not identical offers. Monthly and annual billing, seat bands, calling bundles, usage, taxes, hardware, and add-ons vary. “Quote” means you should obtain terms for your exact users, countries, and features.

Provider Best for Starting price signal Core capabilities Major caveat
RingCentral RingEX Overall breadth and scale $19.99/user/month annually or $29.99 monthly for Essentials, 1–10 users Voice, SMS, queues, IVR, apps, recording, voicemail transcription, video, fax, integrations, analytics, SSO; higher-tier AI and administration Annual discounts, plan tiers, usage, and add-ons make the bill harder to compare
Dialpad Connect AI transcription and summaries $15/user/month Standard; $25 Pro; Enterprise quote Desktop, browser, and mobile calling; AI transcripts and summaries; messaging; meetings; CRM integrations; higher-tier support and administration Confirm international, fax, advanced routing, recording, and contact-center entitlements
Zoom Phone Existing Zoom users Plan and bundle dependent Calling, SMS/MMS, recording, queues, shared lines, multi-device apps, and integrations with Salesforce, Slack, Microsoft, and Google Standalone Phone, metered, unlimited, international, and Workplace bundle prices are not interchangeable
Nextiva Managed SMB communications Quote or current official offer required Business calling, mobile access, routing, customer communications, support, and reporting Verify exact product, term, included SMS, video, recording, analytics, and international calling
Ooma Office Small-business simplicity $19.95 Essentials, $24.95 Pro, $29.95 Pro Plus/user/month Virtual receptionist, mobile and desktop apps, texting, video, recording, voicemail transcription, queues, hot desking, and CRM integrations by tier Additional numbers, taxes, hardware, and international use cost extra or require verification
Aircall CRM-led sales and support Plan, seats, numbers, and add-ons dependent Click-to-dial, IVR, recording, AI features, analytics, coaching workflows, WhatsApp capabilities, and 250+ integrations Seat costs and AI or number add-ons can rise quickly; less complete as an employee UCaaS suite
8×8 International and analytics-heavy teams Quote required Global communications, analytics, integrations, and a contact-center growth path More setup complexity and less transparent public pricing

Prices and plan details checked August 16, 2026. Taxes, regulatory fees, numbers, hardware, porting, international usage, and premium features may be excluded.

Our recommendations

1. RingCentral RingEX: best overall

RingEX is the broadest choice when a remote business needs more than a dial tone. It combines voice, business SMS, messaging, video meetings, fax, integrations, analytics, recording, and administration. Its multi-site controls and routing options make it a particularly defensible choice for companies adding locations or more complicated departments.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For U.S. customers with 1–10 users, RingCentral’s published page lists Essentials at $29.99 per user monthly or $19.99 with annual billing; Standard is $37.99 monthly or $27.99 annually; Premium is $44.99 monthly or $34.99 annually; Ultimate is $59.99 monthly or $49.99 annually. Essentials is limited to up to 10 users, while higher tiers add capabilities such as international numbers, video, fax, integrations, analytics, recording, SSO, hot desking, and advanced call handling. See the published plan details.

Remote users can use business numbers across mobile and desktop devices, including call forwarding and BYOD workflows. However, the feature depth can be excessive for a tiny team that only needs a shared number and voicemail. Check international rates, SMS registration, AI add-ons, toll-free usage, and annual commitment before buying.

Choose it if: you need broad routing, queues, reporting, integrations, multi-site administration, and room to grow. Avoid it if: simplicity and the lowest transparent monthly bill matter more than breadth.

2. Dialpad Connect: best for AI calling value

Dialpad makes live transcription, searchable call intelligence, and post-call summaries central to the experience. Its published U.S. pricing shows Standard at $15 per user monthly, Pro at $25, and Enterprise as contact-sales. The company also advertises a 14-day free trial. Pro adds capabilities including CRM integrations, 24/7 support, and multi-office management; verify the current plan page before purchase.

It is a strong fit for distributed sales, account-management, and support teams that want conversations converted into notes without buying a separate transcription workflow. Browser, desktop, and mobile access also suit employees moving between home offices and mobile networks.

The $15 price is an entry signal, not a guaranteed total cost. Confirm recording controls, international calling, toll-free usage, fax, advanced routing, retention, and contact-center needs. AI transcripts and summaries should be reviewed rather than treated as authoritative records, particularly on technical, regulated, or high-stakes calls.

Choose it if: AI notes and a relatively transparent starting price are priorities. Avoid it if: you need highly complex contact-center operations or unverified global number coverage.

Grandstream GRP2612W IP Phone | 4 Lines, 4 SIP Accounts | 2.4-Inch Color Display | Wi-Fi 5 | Dual-Port 10/100 Ethernet with Integrated PoE
  • Supports 4 SIP accounts and 4 multi-purpose line keys
  • Swappable faceplate to allow for easy logo customization
  • GRP2612W includes built-in dual-band Wi-Fi support. Ethernet cord must be disconnected to enable Wi-Fi capability
  • HD audio supporting all major codecs, including wideband codecs G.722 and Opus Up to 16 digital BLF Keys
  • Enterprise-level protection including secure boot, dual firmware images, and encrypted data storage

3. Zoom Phone: best for Zoom-centric organizations

Zoom Phone is most compelling when employees already use Zoom Meetings or Zoom Workplace. It keeps meetings, chat, phone, administration, and calling across devices in a familiar ecosystem. Zoom lists domestic calling, SMS/MMS, recording, phone numbers, queues, and integrations with Salesforce, Slack, Microsoft, and Google.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not assume an existing Zoom license includes all phone functionality. Separate standalone Phone, metered, unlimited, international, and Workplace bundle offers. Also check whether advanced outbound or contact-center features are separate products.

Choose it if: your team already lives in Zoom and wants to reduce application sprawl. Avoid it if: your requirements are highly customized or international destinations have not been checked.

4. Nextiva: best managed traditional business communications

Nextiva is a sensible candidate for an SMB replacing a conventional office phone system with hosted calling, mobile access, customer communications, support, and reporting. It is better positioned for a managed, traditional business-phone experience than for buyers choosing primarily on AI transcription.

Nextiva’s price can vary by product, user count, term, promotion, and sales channel, so a single universal price would be misleading. Request a quote for the exact product and confirm SMS/MMS, video, recording, analytics, toll-free use, international calling, contract length, and renewal terms.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose it if: you want a fuller managed communications package and conventional phone-system features. Avoid it if: you require instant self-service pricing or only need a basic shared number.

5. Ooma Office: best for small-business simplicity

Ooma’s pricing chart, updated April 15, 2026, lists Essentials at $19.95, Pro at $24.95, and Pro Plus at $29.95 per user monthly. Essentials includes unlimited calling in the United States, Canada, Mexico, and Puerto Rico, plus core features such as a virtual receptionist, mobile app, desktop app, and texting. Higher tiers add combinations of video, recording, transcription, hot desking, queues, and CRM integrations.

Ooma separately lists additional numbers at $9.95 per number monthly and says taxes and fees vary by location. Its straightforward price is attractive for a small distributed business, but North American calling should not be confused with broad international coverage. Physical desk phones are optional; remote users can use apps and headsets.

Choose it if: you want visible pricing and core business-phone functionality. Avoid it if: you need complex multinational administration, specialized CRM workflows, or deep contact-center tooling.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

6. Aircall: best for CRM-heavy sales and support

Aircall is built around revenue and customer-support workflows: click-to-dial, CRM synchronization, call tags, recordings, analytics, coaching, AI features, IVR, voice agents, WhatsApp capabilities, and more than 250 integrations. It is a better choice than a general-purpose UCaaS product when the CRM is the operational center of the team.

Rank #3
Poly (Plantronics + Polycom) Polycom VVX 250 VoIP Business IP Phone, Black
  • Make more natural and life-like calls with Polycom HD Voice
  • 2. 8” color display: an engaging experience offering visual information at a glance
  • Two Gigabit Ethernet ports offer cost savings and performance benefits
  • USB port enables users to move data around more quickly
  • Integrates with more than 60 industry leading call control platforms

Pricing depends on the plan, seats, included numbers, usage, and add-ons. Confirm minimum-seat rules, phone-number limits, call credits, SMS or WhatsApp availability, recording terms, and AI pricing. Per-user costs can become significant for occasional users or large teams.

Choose it if: call activity, CRM records, conversion, and agent coaching drive the purchase. Avoid it if: you need a complete meetings, chat, fax, and internal-communications suite at the lowest possible cost.

7. 8×8: best for international scale and analytics

8×8 deserves consideration when international communications, analytics, compliance requirements, or contact-center expansion justify a more involved deployment. It is a stronger candidate for global operations than a basic small-business phone service.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Public pricing and package availability can be less transparent. Obtain terms for the precise U.S. plan, seat band, annual commitment, calling destinations, local numbers, recording, data residency, compliance certifications, and contact-center entitlements. Setup may require more IT or implementation resources.

Choose it if: global reach, analytics, and a contact-center path matter. Avoid it if: you want immediate self-service signup and a simple public price.

How to choose for a remote team

For 1–5 users

Prioritize a shared number, mobile apps, voicemail, basic auto attendant, simple porting, and low or no minimum seats. Start with Ooma Office, Dialpad, Zoom Phone, or Nextiva.

For 6–25 users

Look for queues, ring groups, shared SMS, CRM integrations, recording, transcription, delegated administration, and straightforward onboarding and offboarding. Dialpad, Zoom Phone, RingCentral, Nextiva, Aircall, and Ooma Pro Plus are logical candidates.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For 25+ users or multiple locations

Prioritize SSO, role-based administration, multi-site management, number controls, quality reporting, international support, retention, compliance documentation, and a contact-center upgrade path. RingCentral, 8×8, Nextiva, Zoom Phone, and enterprise Dialpad deserve closer evaluation.

General business, sales, or support?

  • General business: RingCentral, Nextiva, Zoom Phone, or Ooma.
  • AI-first productivity: Dialpad.
  • CRM-centric sales and support: Aircall.
  • International or contact-center growth: 8×8 or RingCentral.

Already invested in another platform?

Microsoft 365 customers should also evaluate Microsoft Teams Phone, checking calling plans, Operator Connect, Direct Routing, licensing, and administration. Zoom customers should price Zoom Phone alongside their existing Workplace subscription rather than comparing a bundle with a standalone seat price.

Monthly software cost
+ required user seats
+ additional local or toll-free numbers
+ toll-free minutes
+ international calling
+ SMS registration or overage charges
+ recording and AI add-ons
+ hardware and headsets
+ taxes and regulatory fees
+ implementation or porting costs

Annual billing can make a monthly price look lower while creating a commitment. International “unlimited” calling usually covers a defined destination list, and domestic unlimited calling does not necessarily include toll-free minutes or SMS. Ooma separately lists additional numbers and location-dependent taxes; RingCentral’s annual and monthly rates differ materially; Zoom bundles may include Workplace; and Aircall’s numbers and add-ons need to be read alongside the base plan.

Remote-team requirements people overlook

Reliability is partly local

A provider’s uptime claim is not the same as a user’s call quality. Home Wi-Fi, ISP congestion, VPN routing, headset quality, browser permissions, mobile handoff, power outages, and device settings all matter. No provider should be called “most reliable” without a documented, current test.

During a trial, test home broadband, VPN on and off, laptop and mobile apps, wired and Bluetooth headsets, transfers, holds, queues, busy periods, another state or country, and a low-bandwidth mobile connection. Check whether calls can fail over to a cellular number.

Number porting

Ask whether the service can port your local, toll-free, mobile, and international numbers; what documents are required; how long it normally takes; whether temporary forwarding is available; and whether porting is free. A number may be assigned to an individual, main line, location, or queue.

Do not cancel your existing carrier before the port completes and inbound and outbound calls are confirmed. Also ask how numbers, recordings, call logs, and SMS data can be exported after cancellation.

Emergency calling

Remote employees may call emergency services from an address different from the company’s registered location. Verify dynamic or nomadic emergency-address support, how users update addresses, mobile-app behavior, geographic limits, administrative notifications, and requirements for shared or unassigned devices. Emergency calling rules differ by country; a generic “supports 911” statement is not enough.

SMS and MMS

Business texting can involve A2P brand or campaign registration, opt-in and opt-out rules, throughput limits, toll-free verification, shared inboxes, country restrictions, and per-message limits. RingCentral’s service terms warn that messages from unregistered numbers may be excluded from normal allotments and charged at then-current rates. Confirm whether marketing, financial, health, or political messages are restricted.

Recording and transcription

Check whether recording is automatic or on-demand, whether participants receive a disclosure, how long files and transcripts are retained, and whether administrators can export, search, delete, or access them. Recording and AI features may require a higher tier. Laws vary by jurisdiction, so provider functionality does not replace legal advice on consent.

Hardware and browser access

Remote teams can use laptop softphones, browser clients, mobile apps, USB headsets, Wi-Fi handsets, Ethernet desk phones, and conference devices. Confirm whether third-party hardware is compatible, automatically provisioned, locked to the provider, financed, or returnable. Most remote-first teams should not buy desk phones without a specific operational reason.

Before you sign: a practical checklist

  1. Test inbound and outbound calling on laptop and mobile.
  2. Test transfers, holds, queues, voicemail, business hours, holidays, and time zones.
  3. Confirm porting eligibility, documentation, timing, forwarding, and fees.
  4. Verify emergency-address workflows for every worker location.
  5. Check SMS registration, shared inboxes, country availability, and usage limits.
  6. Confirm recording disclosures, storage, transcript access, export, and deletion.
  7. Price numbers, toll-free minutes, international calls, AI, hardware, taxes, and fees.
  8. Export sample call logs and transcripts.
  9. Ask about SSO, audit logs, role-based permissions, and deprovisioning.
  10. Read renewal, cancellation, early-termination, hardware-return, and number-porting terms.

Also consider

Microsoft Teams Phone is worth evaluating for Microsoft 365 organizations. GoTo Connect may suit SMBs wanting traditional routing and collaboration. OpenPhone/Quo can fit very small teams prioritizing shared numbers and messaging. CloudTalk is relevant to sales teams needing dialers and international workflows. 3CX offers more technical customization, while Google Voice for business may fit Google Workspace customers. Compare their routing, queues, SMS, reporting, international coverage, administration, and total cost rather than assuming ecosystem fit is enough.
