A missed Microsoft 365 payment does not normally erase your files immediately. What happens next depends on whether you have a home or business subscription, who bills you, and the subscription’s current status. A home plan may become past due and prompt you to pay; business subscriptions can move through access and data-retention stages that vary by offer and billing arrangement. Check the account that manages your subscription and act promptly—especially if you administer a business tenant.
First, identify the subscription and who bills you
“Missed payment” can mean a card charge was declined, a card expired, PayPal or another method failed, recurring billing was turned off, or a subscription reached its expiration date. A business billing account may also be blocked. These situations do not all follow the same process as canceling a subscription.
- Home: Microsoft 365 Personal, Family, Basic, or Premium associated with an individual Microsoft account.
- Business: A Microsoft 365 organization subscription managed through an admin center, sometimes purchased through a Cloud Solution Provider (CSP), Enterprise Agreement, or another licensing channel.
- Third-party billing: If you bought through Apple, Google Play, a retailer, or another partner, that seller may control payment and renewal. Microsoft’s account page may show the subscription without offering the controls you need. Manage it with the original seller or contact its support. For a business subscription, find out whether its billing is direct with Microsoft or through a partner before following recovery steps. A CSP customer may need the partner or account manager to resolve billing or restore service.
If a home subscription payment fails
Microsoft directs customers with a past-due balance to sign in to the Microsoft account that owns the subscription, open Services & subscriptions, and choose Pay now. Microsoft does not establish one universal number of grace days for every home plan. The account status and notices shown for your specific subscription are more reliable than a generic countdown.

Word, Excel, or another Office app may show a subscription or renewal notice requiring action to keep using Microsoft 365. A notice or reduced access is not the same thing as proof that OneDrive files have already been deleted.
Pay a past-due balance
- Go directly to account.microsoft.com/services.
- Sign in with the Microsoft account that purchased the subscription. If it is not listed, check whether you signed in with a different account.
- Find the past-due subscription and select Pay now.
- Update an expired or invalid card, or add another valid payment method, then complete the payment.
- If Office still shows a renewal warning after payment, close all Office apps and reopen them; sign in again if prompted. Microsoft’s renewal troubleshooting guidance covers related problems.
Microsoft says gift cards, subscription cards, and Microsoft account balance cannot be used to pay a past-due subscription. If Apple, Google Play, or another partner bills you, resolve the payment with that provider rather than assuming Microsoft can change its billing details. What happens to OneDrive and Outlook storage on a home plan
Access restrictions and file deletion are different issues. Microsoft says that after canceling Microsoft 365 Basic, Personal, Family, or Premium, the cloud-storage allowance falls to 5 GB, including OneDrive and Outlook.com attachments; Outlook.com email storage is 15 GB. If your stored data is over the applicable allowance, being over quota can affect syncing, uploading, and receiving mail. This quota consequence is not a statement that all files are immediately erased. Check Microsoft’s cancellation and storage guidance for the plan and account in question.

Those home-plan quota figures should not be used as a business-tenant retention timeline. OneDrive for work or school, SharePoint, Exchange Online, Teams, and Outlook.com can be governed by different account and service arrangements.
How business subscriptions move from active to deleted
Microsoft documents this general business-subscription lifecycle: Active → Expired → Disabled → Deleted. It describes the stages, not a universal number of days: durations depend on the offer and purchasing program, and some billing arrangements do not follow the full sequence.

Why there is no single business data-loss countdown
Microsoft’s general assurance documentation says customer data for a paid Microsoft 365 subscription that ends or is terminated is retained in a limited-function account for 90 days, and deleted no later than 180 days after expiration or termination. That is a general retention framework, not a promise that every plan provides 90 days of normal user access or a universal recovery window. Microsoft separately says lifecycle periods vary by offer and purchase arrangement. Treat the status in your tenant and the applicable terms as decisive; back up critical data before access is restricted.

As of February 9, 2026, the Expired state no longer applies to certain license-based subscriptions purchased directly through an MCA billing account. Some monthly subscriptions canceled within their applicable cancellation window can move directly to Disabled. Explicitly deleting a business subscription can bypass the usual Expired and Disabled stages; Microsoft warns that SharePoint Online data and OneDrive content may be deleted immediately. Read the applicable business cancellation guidance before deleting anything.
A trial is different from a paid subscription: Microsoft says trial account information and data are permanently deleted after the trial ends if the customer does not purchase Microsoft 365. Do not use paid-subscription retention assumptions for a trial.

What to do now if you administer a business tenant
- Sign in to the Microsoft 365 admin center using an administrator account.
- Open Billing > Your products, or the equivalent Subscriptions view available in your admin center.
- Open the affected subscription and check its status, billing account, and payment method.
- Correct the payment method or settle the balance. If access is already restricted, have a Global Administrator or Billing Administrator check whether Microsoft still permits reactivation.
- Back up critical SharePoint, OneDrive, Exchange, and other tenant data before the subscription reaches Deleted. Do not assume a new subscription will restore it afterward.
- If billing is through a CSP or another partner, contact that partner or account manager. For a billing account problem, Microsoft’s guidance on keeping billing accounts active describes additional suspension and termination issues.
If you only want to stop future charges
For a home subscription, turning off recurring billing is different from immediately ending access: Microsoft says you can continue using the subscription until the expiration date shown in your account, while future charges stop. Use the recurring-billing control in Services & subscriptions and check the displayed end date. See Microsoft’s recurring-billing instructions.
For business subscriptions, cancellation terms and effects depend on the subscription and billing arrangement. Some cancellations within an applicable window move directly to Disabled, and explicitly deleting a subscription can bypass normal protection stages. If the goal is simply to stop renewal, do not choose a deletion action without confirming its effect on access and stored data.
Verify payment notices safely
Do not pay through an unexpected email link. Open a browser and enter Microsoft’s account or admin-center address yourself, then check the subscription status and any balance. If you do not recognize a charge, verify it in the Microsoft account payment dashboard or contact your bank. Microsoft warns that phishing messages about payment problems exist and recommends going directly to the bank’s website when in doubt; see its payment-option troubleshooting guidance.
