H202 usually means a workstation cannot communicate with the computer hosting the QuickBooks Desktop company file. H505 commonly means a workstation is incorrectly configured to host multi-user access. Start by identifying the host and checking hosting mode; then work through the database service, network, firewall, and folder permissions. These errors are usually connection or configuration problems, not proof that the company file is damaged.
What H202 and H505 mean
H202 and H505 are QuickBooks Desktop multi-user errors. They arise when QuickBooks cannot establish the expected connection between a workstation and the computer serving the company file. They do not describe ordinary QuickBooks Online browser access.

Intuit’s [H202/H505 troubleshooting guide](https://quickbooks.intuit.com/learn-support/en-us/help-article/multi-user-mode/fix-error-h202-h505/L6yKdQ6s9_US_en_US) treats these as multi-user connectivity and hosting issues. The error code helps prioritize checks, but it does not identify one guaranteed cause.

How a healthy multi-user setup is arranged
The host is the computer that stores the .qbw company file and runs the QuickBooks database service. Workstations access that file over the office network. QuickBooks Database Server Manager manages access to company files for multi-user connections.

Windows permissions must allow the relevant users and database service to access the folder; the database server must be able to open the file; and each person needs an appropriate QuickBooks user login. Intuit describes hosting modes and the related files in its [multi-user hosting guide](https://quickbooks.intuit.com/learn-support/en-us/help-article/multi-user-mode/hosting-company-data-multi-user-mode-quickbooks/L6vU3qBNE_US_en_US).
Before changing settings
- Ask everyone to close the company file. Make a current backup before troubleshooting, especially before any file-level repair.
- Identify which computer is intended to host the file, and confirm that the file is actually stored there.
- Record the QuickBooks Desktop year and whether the file is on a Windows computer, NAS, virtual machine, VPN/WAN, or hosted desktop.
- Note whether one workstation or every workstation is affected, and whether the failure began after a reboot, update, outage, or server move.
- Test one affected workstation after each change rather than changing every computer at once.
Do not start by deleting the company file, repeatedly rebuilding data, or reinstalling Windows. Those steps do not address the common hosting and connectivity causes.
Try Database Server Manager first
Intuit’s current H202/H505 instructions, updated August 10, 2026, show QuickBooks Tool Hub version 1.6.0.8 and recommend Tool Hub on Windows 11, 64-bit, for the best experience. Tool versions and compatibility can change; check Intuit’s current instructions if your system differs.

- Install or open QuickBooks Tool Hub on the host/server.
- Select Network Issues → QuickBooks Database Server Manager.
- If the company-file folder is listed, select Start Scan. Otherwise, select Browse, locate the folder containing the
.qbwfile, and select Start Scan. - Let the scan finish. Intuit says Database Server Manager repairs firewall permissions automatically during this process.
- On an affected workstation, open QuickBooks and select File → Switch to Multi-user Mode.
If the scan does not resolve the issue, continue below rather than repeating it without changing or checking anything. Database Server Manager does not support a NAS as the hosting location; use a supported Windows host or an appropriate hosted solution instead.

Run File Doctor’s network check
File Doctor can diagnose network access; running it does not establish that the company file is corrupt. Keep network diagnosis distinct from company-file diagnosis and host/service configuration.
- Open QuickBooks Tool Hub and select Company File Issues → Run QuickBooks File Doctor.
- Choose the affected company file. If it is not listed, select Browse and locate it.
- Select Check your Network → Continue.
- Enter the QuickBooks administrator password and select Next.
Try multi-user access again. If H202 or H505 remains, proceed to the relevant checks rather than assuming the tool has ruled out every network or service problem.
Correct hosting mode, especially for H505
The computer holding the company file should be the only computer configured to host multi-user access. Hosting is configured per computer and QuickBooks version, so check each installed version that is in use.

On each workstation
- Open QuickBooks without opening the company file.
- Select File → Utilities.
- If Stop Hosting Multi-User Access appears, select it. If Host Multi-User Access appears, leave it alone; do not enable hosting on a workstation.
- Repeat for each affected workstation and each relevant QuickBooks version installed there.
On the host
- Open QuickBooks on the computer intended to host the file.
- Select File → Utilities.
- If Host Multi-User Access appears, select it. If Stop Hosting Multi-User Access appears, hosting is already enabled; do not select it.
- Retry access from one workstation.
Menu wording reflects the action available: on workstations, stop hosting when that option appears; on the host, enable hosting when that option appears. In Not Hosting mode, multi-user access is not supported; Hosting Local Files only uses the database service to host files on that computer.

Check the host’s QuickBooks services
If H202 affects multiple workstations, confirm that the host’s database service is running. Use the service associated with the installed QuickBooks year rather than assuming one service name applies to every edition.
- On the host, open the Windows Start menu, search for Run, and open it.
- Enter
services.mscand press Enter. - Find the relevant
QuickBooksDBXXservice. Open its properties and set Startup type to Automatic. - Confirm the service status is Running or Started. If it is stopped, start it; if it will not start, note the error for your IT administrator.
- Open the Recovery tab. Set First failure, Second failure, and Subsequent failures to Restart the Service, then apply the changes.
- Repeat the startup and recovery checks for
QBCFMonitorService. - Retry multi-user access from a workstation.
Intuit gives these examples for the database service: QuickBooks Desktop 2022 uses QuickBooksDB32, 2023 uses QuickBooksDB33, and 2024 uses QuickBooksDB34. These examples are not a universal rule for other years; see Intuit’s [hosting guidance](https://quickbooks.intuit.com/learn-support/en-us/help-article/multi-user-mode/hosting-company-data-multi-user-mode-quickbooks/L6vU3qBNE_US_en_US) and use the service installed for your version.
Check folder permissions and security software
The company-file folder must be accessible to the QuickBooks database service as well as to users who work with the file. A workstation may be able to see a shared folder even when the service account running on the host cannot access it.
- Confirm the folder is shared using your organization’s normal Windows sharing model and that intended users have the necessary access.
- Check that the QuickBooks database service account can access the folder and the file.
- Review changes made during a server or domain migration, security-policy update, or antivirus installation.
- Intuit directs users to grant administrative permissions to
QuickBooksDBXXandQBCFMonitorServicewhen needed. Have an administrator apply appropriate permissions rather than granting broad access by default.
Avoid using “Everyone: Full Control” as a blanket fix. It can expose company data and mask the actual account or share-permission problem.

Next, check Windows Defender Firewall and any endpoint security or antivirus network protection on the host. Allow the installed QuickBooks database service and its required traffic through narrowly scoped, appropriate rules. Updates can change or reset rules. Do not leave the firewall disabled as a permanent workaround. QuickBooks port requirements depend on the installed year and setup: use the information generated by Database Server Manager and the company file’s .nd configuration rather than copying a generic port list from another version.
Test name resolution and basic network reachability
Enable network discovery and file sharing
On the host and affected workstations, open Network and Sharing Center → Change advanced sharing settings and enable Turn on network discovery and Turn on file and printer sharing, as appropriate for your organization’s network policy.
Get the host name and test it
- On the host, open Run, enter
CMD, and press Enter. - Run
ipconfig /alland record the value for Host Name under Windows IP Configuration. - On an affected workstation, open Command Prompt and run
ping YOUR-SERVER-NAME, replacing the example with the actual host name and omitting brackets.
- Replies with no packet loss: basic reachability is working. This does not prove that the database service, QuickBooks port, folder permissions, hosting mode, or
.ndconfiguration is correct. - “Could not find host”: check the spelling, DNS/name resolution, and network discovery.
- Packet loss or very slow replies: investigate the network before changing more QuickBooks settings; involve IT if the network is managed or shared.
Check the company-file path and network configuration
The .qbw file is the company file. The associated .nd file contains information QuickBooks uses to contact the server, including its address and port. The .nd file should be in the same directory as the .qbw file. A changed host, IP address, or folder path can make old network information relevant.

Do not delete or recreate an .nd file casually: if the file moved or its network information appears stale, back up first and have a qualified technician verify the configuration.
Use the symptoms to narrow the cause

Check whether the network design is suitable
Intuit recommends local-area networks with at least 40 Mbps transfer speed for this use case. Its network guidance lists direct file access over WAN or VPN, FTP, NAS, virtual servers or virtual machines, and other long-distance file-transfer arrangements as not recommended. That means they may be unsupported or unsuitable for reliable direct company-file access; it does not mean every VPN can never work. Review Intuit’s [recommended-network guidance](https://quickbooks.intuit.com/learn-support/en-us/help-article/product-system-requirements/recommended-networks-quickbooks/L3k00H1gQ_US_en_US).
Remote access to a hosted Windows environment, where QuickBooks runs alongside the company file, is different from opening a .qbw directly across a WAN or VPN. Intuit also identifies third-party cloud hosting as a recommended category. If a provider hosts your environment, contact that provider about its server, services, firewall, and network; it controls those components.
- NAS: Database Server Manager does not support a NAS as the hosting location. Move the file to a supported Windows host or evaluate a hosted setup.
- Virtual machine, Citrix, or non-Windows server: These configurations need specialized compatibility and network advice. Intuit maintains separate guidance for H202 on non-Windows servers, Fedora, and Citrix; do not apply the standard Windows steps blindly.
- Multiple QuickBooks years: Database services and hosting settings can differ by year. Confirm that the appropriate server components are installed for the versions being used.
- Host also used as a workstation: This can be used in some configurations. Check that no other workstation has become the host, then test the host and one remote workstation.
- Full Program or Server Only: The server may have the full QuickBooks Desktop program plus Database Server Manager, or a Server Only installation with Database Server Manager but not the full desktop program.

Involve an IT professional when the host cannot be reached reliably, services will not start, or the fix depends on centrally managed permissions, DNS, domain policy, firewall rules, endpoint security, virtualization, or a server migration. Escalate to the cloud-hosting provider if it manages the server. Contact QuickBooks support through the official support route if the Windows and network configuration checks are sound but QuickBooks still cannot open the file.
Stop before making broad permission changes, disabling protection, or altering network files without a verified backup. If the company file itself will not open even on the host after a backup is confirmed, that is a separate file-access or file-diagnosis issue; H202/H505 alone do not establish file corruption.
When a different hosting or accounting setup makes sense
Repair the local setup first when the error followed a one-time update or outage and the business otherwise works well on its office LAN. If recurring failures stem from an unsupported network or the business needs remote access, compare the operational fit and total cost of a properly managed Windows host, third-party QuickBooks Desktop hosting, or a move to QuickBooks Online. Migration is a workflow and compatibility decision, not a guaranteed fix for every business need.
- Keep Desktop and use managed hosting if the business depends on Desktop workflows but wants a provider to manage the Windows environment. Confirm supported QuickBooks year and edition, simultaneous users, backups and restore testing, data location, printing and scanner support, payroll and add-on compatibility, support responsibility, and the exit/export process. - Consider QuickBooks Online if browser-based access and removing local database hosting are more important than retaining Desktop-only workflows. Check that inventory, integrations, and other business processes will work before migrating. Intuit’s [U.S. pricing page](https://quickbooks.intuit.com/pricing/) lists changing plan prices and promotions; verify current terms directly rather than relying on a past offer.
- Consider QuickBooks Desktop Enterprise if the business needs Desktop capabilities such as advanced inventory, role-based permissions, or industry editions. Intuit’s [Enterprise page](https://quickbooks.intuit.com/desktop/enterprise/) and [Desktop comparison page](https://quickbooks.intuit.com/desktop/) describe product options; confirm current features and purchasing terms with Intuit.
A managed IT provider may be the right first expense when the root cause is a domain, firewall, DNS, server, or backup problem rather than a QuickBooks product limitation.
