The cheapest way to use Microsoft 365 depends on what you actually need: free web apps work for basic browser-based tasks, annual billing lowers the recurring cost if you will keep a subscription for a year, and Family can cut the per-person price when multiple people use separate accounts. For a single user who wants desktop Office without ongoing subscription services, compare the one-time Office Home 2024 purchase. Businesses and eligible nonprofits have different plans and eligibility rules.

Microsoft’s U.S. consumer comparison page lists the following prices. They can vary by region, tax, promotion or product packaging, so confirm the amount and terms shown for your account at checkout.

At those displayed U.S. rates, 12 monthly payments cost $119.88 for Personal, $155.88 for Family and $239.88 for Premium. Paying annually instead saves $19.89, $25.89 and $39.89 respectively over those 12 payments. The annual option is worthwhile if you expect to use the subscription for the year; monthly billing can make sense if you need it only briefly or want to avoid a longer commitment. Use Family only when more than one person benefits
Family is listed at $30 more per year than Personal in the U.S. annual prices above. The subscription owner can share it with up to five other people, for six people total. Each person uses their own Microsoft account, receives 1 TB of OneDrive storage and can install the apps on their devices; Microsoft says each shared user can be signed in on up to five devices simultaneously. Do not treat it as permission for six people to share one login.
- With two active users, the $129.99 annual price works out to about $65 per person per year.
- With all six places used, it works out to about $21.67 per person per year before tax.
- If only one person will use the plan, Personal is generally cheaper unless the additional features or storage are worth the difference to that person.
There is an important AI caveat: Microsoft says consumer AI features in Family and Premium are available only to the subscription owner. Do not assume every shared user receives the owner’s Copilot access or limits. Confirm the current feature details on Microsoft’s plan comparison page.
When free web apps are enough—and when they are not
Free Microsoft 365 web apps can be a sensible choice if you mainly edit basic documents, simple spreadsheets and presentations in a browser, collaborate lightly and can stay within 5 GB of OneDrive storage. A Microsoft account is required. The free option is browser-based; it is not a free license for the full desktop Office applications.
Look at a paid plan or another suitable option if you need installed desktop Word, Excel, PowerPoint or Outlook, advanced desktop functionality, substantial offline use, more than 5 GB of cloud storage, or business email administration and a custom domain. Consider storage separately from Office
If your main gap is cloud storage rather than desktop Office, compare a storage-only option such as OneDrive Standalone with a Microsoft 365 subscription. The right choice depends on the current storage allowance and price for your region; do not pay for desktop apps you will not use just to solve a storage problem. Personal, Family, Premium or Office Home 2024?
Personal for one desktop-app user
At Microsoft’s listed U.S. price of $99.99 per year or $9.99 per month, Personal suits one person who wants desktop apps, 1 TB of OneDrive storage and subscription benefits. A person who only needs basic browser editing should compare the free option first.
Family for a household with multiple users
Family’s $129.99 annual U.S. price can be good value when two or more people actually use their own accounts and storage. Its household value comes from sharing the subscription across people, not from sharing credentials.

Premium is listed at $199.99 per year or $19.99 per month in the U.S. It may suit an owner who will use higher limits for selected Copilot features or other Premium-only capabilities. Paying more simply because it is the highest tier is not a saving; compare the specific features you expect to use against the additional $70 annual cost versus Family.
Office Home 2024 for a different kind of purchase
Office Home 2024 is listed at $179.99 one time for one PC or Mac. Its upfront cost is higher than one year of Personal, but it can become cheaper over multiple years for a buyer who does not need subscription storage, ongoing subscription benefits, broad multi-device use or the subscription’s continuing feature updates. It is not a like-for-like replacement for Microsoft 365’s service bundle, so compare the included software and terms before deciding. Microsoft lists the consumer products on its comparison page.
Choose a business plan by the work it must support
Business plan prices below are the U.S. prices displayed for selected plans with an annual commitment, expressed per user per month. Microsoft lists additional variants and promotional prices; compare the exact SKU, Teams inclusion, commitment and renewal price before purchase.

Match the license to the user’s actual requirements
- Business Basic: Consider it when staff need company email, cloud services and browser or mobile Office, but not desktop Office apps.
- Apps for business: Compare it when staff need desktop Word, Excel, PowerPoint and Outlook while business email and collaboration are handled elsewhere.
- Business Standard: Consider it when people need desktop apps as well as the business collaboration services in the plan.
- Business Premium: Consider the extra security and management controls if they meet real requirements or consolidate tools you would otherwise buy. They are not necessary for every small business.
- No-Teams variants: They may cost less, but only suit an organization that does not need Teams functionality.
Do not buy Copilot solely because it appears in a plan bundle. Establish who will use it, what workflow it will improve, and how company data will be governed. Likewise, a low-cost Basic seat is not a saving if the employee needs desktop apps and must later be upgraded. Microsoft’s business plan page provides the current plan and SKU details. Microsoft’s business base plans are designed for organizations with up to 300 users; larger organizations should compare enterprise offerings.

Run a license audit before a business renewal
A short review can expose recurring costs that a coupon or temporary deal will not fix. Administrators should check:

- Seats: Remove licenses for people who have left or no longer need the service; review dormant accounts, contractors and seasonal workers. Do not assume a shared mailbox or distribution list can replace a licensed user without checking Microsoft’s licensing rules and the mailbox’s intended use.
- Plan assignments: Identify users on Premium who need only Basic, or Standard users who only need browser apps. Separate staff who need desktop apps or advanced controls from those who do not. Use a mixed-license approach where permitted instead of upgrading everyone for one team’s requirements.
- Add-ons and overlapping services: Inventory Copilot, storage, security, calling and other add-ons. Check whether an included plan feature makes a separate product redundant, and note when any promotional price expires.
- Renewal terms: Record renewal dates and compare monthly commitment, annual commitment paid monthly and annual payment. Set an internal reminder ahead of renewal.
- Data continuity: Before cancellation, plan to export or migrate OneDrive files, SharePoint documents, mailboxes, calendars, Teams-related information, Forms, Planner content and other business data that matters to the organization.
Microsoft describes a limited-function period of 90 days for administrator access to business account data after cancellation. Treat that as a recovery window, not a substitute for a migration plan. The availability and consequences depend on the subscription and its terms; consult Microsoft’s business information before acting.

Nonprofits
Microsoft’s nonprofit page lists Business Basic free for eligible nonprofits for up to 300 users, Business Standard at $3.36 per user per month paid yearly, and Business Premium at $5.50 per user per month paid yearly. These are eligibility-based offers, not general commercial prices: the organization must pass Microsoft’s eligibility process, and grant terms, user limits and availability apply. Start with Microsoft’s nonprofit plans and pricing and consult its nonprofit product guidance for offer conditions.
Nonprofit status does not automatically make Copilot free. Microsoft describes Copilot as available at discounted nonprofit pricing and requiring a Microsoft 365 license; verify the applicable offer and license separately.

Higher-education students
Microsoft’s consumer comparison page advertises 12 months of Microsoft 365 Personal with Copilot for qualified higher-education students. This is an eligibility-based offer, not a universal student entitlement, and offers can change. Check the current terms using a qualifying school email or education account, confirm whether the subscription renews at a paid rate, and note the offer end date before enrolling. Check promotions, commitments and renewal dates
Business Copilot offers have limits
Microsoft’s July 2026 Partner Center announcement lists selected promotions, including approximately 15% off Copilot Business for one year for one to 300 seats through December 31, 2026, and 25% off Business Basic and Copilot Business for one year for one to 300 seats, also through December 31, 2026. It lists separate large-enterprise promotions with minimum seat counts of 300 or 1,000. These are not universal coupon codes: eligibility, exact price, promotion ID, seat requirements and billing terms should be confirmed with Microsoft or a partner. A temporary discount on a higher-cost plan may still cost more than choosing a lower tier that meets your needs. See the July 2026 Partner Center announcement.
Understand the commitment behind the payment schedule
For business subscriptions, monthly commitment with monthly payment, annual commitment with monthly payment and annual commitment with annual payment are different arrangements. Paying monthly does not necessarily mean you can leave an annual commitment without consequences; cancellation terms and any penalties depend on the subscription. Review the terms before choosing a billing option. Microsoft’s business and nonprofit plan information describes the available commitment structures.
Prevent unwanted trial and promotional renewals
Microsoft says a payment method is required for the free trial described on its business page, and the trial must be canceled during the trial period to prevent future charges. Promotional subscriptions can also renew at regular pricing when the offer ends. Check the renewal date and recurring amount in the account, and set a reminder before enrolling rather than relying on a last-minute cancellation. See Microsoft’s trial and plan details.

Choose by scenario, not by the biggest advertised discount
- Basic personal documents: Start with free web apps if browser editing and 5 GB of storage are enough.
- One person who needs desktop Office: Compare Personal annual billing with Office Home 2024 based on how long you expect to use it and whether you need the subscription services.
- Two to six household users: Compare Family’s total cost with the number of people who will actually use separate accounts and storage.
- Extra Copilot capability: Pay for Premium or a business Copilot option only when its specific limits or features solve a real need.
- Web-first business: Compare Basic, including its no-Teams variant if relevant, with the email and collaboration services your team needs.
- Desktop-app business: Compare Apps for business and Standard according to whether the organization also needs Microsoft’s broader business collaboration services.
- Security-managed organization: Consider Premium where its controls justify the added price or replace other tools.
- Verified nonprofit or qualifying student: Check the relevant eligibility route and renewal terms before using an offer.
Avoid unofficial “lifetime” keys, shared accounts, opaque resellers and marketplace codes. They may be invalid, region-restricted, revoked or inconsistent with licensing terms. Use Microsoft’s official purchase and eligibility pages and verify the exact product and renewal price before committing.
