Mavenlink is no longer the product’s current name. The former Mavenlink platform is now Kantata OX, part of Kantata Professional Services Automation (PSA). It remains aimed at service-based organizations that need more than task lists: project delivery, staffing, utilization, time, expenses, budgets, billing, forecasting, and project-financial visibility.
That makes Kantata OX potentially valuable for growing consultancies, agencies, IT-services companies, and other billable project businesses—but excessive for a small team that only needs a simple Kanban board. Current pricing is quote-based, and the product’s value depends heavily on implementation quality and accurate operational data.
Mavenlink is now Kantata OX
The name change is important when evaluating older reviews. Mavenlink merged with Kimble Applications and is now part of Kantata Professional Services Automation. The product lineage is:
- Mavenlink → Kantata OX: the open-infrastructure, API-oriented platform.
- Kimble Applications → Kantata SX: the Salesforce-native platform.
OX and SX are not simply two names for one identical product. Kantata presents them as separate options for different technology environments. Companies that want an open infrastructure and broad integrations should examine OX; organizations deeply committed to Salesforce may also need to evaluate SX through Kantata’s product-choice guidance.

The original CIO Mavenlink review is still useful as historical context, particularly for Mavenlink’s service-business focus and integration strategy. Its product names, plan structure, prices, and feature descriptions should not be treated as current Kantata information.
Verdict in brief
Kantata OX is best understood as a professional-services operating system rather than a conventional project-management app. It connects delivery planning with resource capacity, time and expense capture, budgets, billing, forecasting, and reporting.
Shortlist it if your business delivers recurring client projects, needs to staff people across multiple engagements, tracks billable time or project margins, and is prepared for a sales-assisted implementation.

Look elsewhere if you only need tasks, checklists, basic Gantt charts, or lightweight team collaboration. A general work-management platform may be easier to deploy and cheaper to operate.
The central trade-off is breadth versus simplicity. Kantata can consolidate systems and improve visibility, but it also requires consistent data, process discipline, configuration, training, and user adoption.
What Kantata OX is designed to manage
Traditional project-management software answers questions such as:
- What tasks are due?
- Who owns each deliverable?
- Is the project on schedule?
- What dependencies or milestones are at risk?
PSA software must answer wider business questions:
- Which people have capacity next month?
- Are the right skills available for the sales pipeline?
- Is a project consuming its budget too quickly?
- How much billable work has been completed?
- What are utilization, forecast revenue, and expected margin?
- Can finance invoice the client without reconstructing data from spreadsheets?
Kantata describes PSA as combining project management with resource management, forecasting, project accounting, margin tracking, reporting, time tracking, and billing. That distinction explains both the product’s strength and its complexity.

Current Kantata OX materials describe a connected set of operational and financial project functions, including:
- Project planning and scheduling
- Timelines and Gantt-style views
- Tasks, deliverables, milestones, and dependencies
- Project templates and repeatable delivery processes
- Project status, health, and risk visibility
- Budget and burn-rate monitoring

The practical advantage is that operational activity can be connected to project economics. A project manager can see not only whether a deliverable is late, but also whether the work is consuming more hours than estimated or requiring a staffing change.

That is materially different from adding a time-tracking plug-in to a task board. The information is potentially more useful to delivery leaders and finance teams, although it is only as reliable as the estimates, schedules, rates, time entries, and approvals entered into the system.
Resource planning and staffing
Resource management is one of Kantata OX’s most important differentiators. Service businesses sell expertise and employee time, so an empty calendar, an overbooked specialist, or a poorly staffed project can affect both revenue and margin.
The platform’s resource-management positioning covers:
- Capacity and availability planning
- Skills and role matching
- Soft bookings and hard bookings
- Cross-project scheduling
- Utilization monitoring
- Bench and underutilization visibility
- Pipeline-to-capacity forecasting
- Staffing scenarios
- Resource dashboards
- Identification of over-allocation and future gaps
Kantata also describes tools for evaluating staffing permutations, including a Staffing Optimizer in its demo materials. That establishes the feature’s positioning, not the accuracy of recommendations in every organization. Buyers should test recommendations against real skills data, availability, role definitions, rates, and project estimates.
Resource planning fails when employees’ skills are outdated, schedules are not maintained, pipeline demand is unreliable, or project estimates are incomplete. Software can expose those problems; it cannot automatically make the underlying information accurate.
Time, expenses, billing, and project financials
The PSA layer is where Kantata OX goes beyond ordinary work-management software. Relevant functions include:
- Billable and non-billable time tracking
- Expense tracking and approvals
- Project budgets and cost forecasts
- Rates and financial classifications
- Revenue and margin visibility
- Fixed-fee and time-and-materials workflows
- Estimates-to-actuals reporting

Kantata’s billing documentation says Kantata OX can support fixed-fee, time, and expense items, generate invoices within the platform, or export billable items to QuickBooks. That does not mean it replaces every accounting or enterprise-resource-planning system. It is better viewed as a project-financial and PSA platform that commonly works alongside financial software.
Before buying, map the full financial workflow. Ask how the system handles rate changes, write-offs, retainers, change orders, expenses, approval delays, partial billing, multiple entities, revenue rules, and accounting-system synchronization. A feature checklist is less useful than seeing one real project move from estimate to staffing to time approval to invoice export.
Integrations and extensibility
Integration has long been part of the Mavenlink/Kantata proposition. The historical CIO review referenced connections involving NetSuite, Salesforce, QuickBooks, Google Workspace, Jira, Expensify, Sage Intacct, Slack, and Concur.

Current Kantata materials claim more than 1,200 prebuilt connectors, along with integrations across CRM, ERP, HRIS, finance, collaboration, and productivity systems. That number is a vendor claim and should not be interpreted as an independently audited measure of equally deep integrations. Kantata also promotes APIs, workflows, automation, and MCP connectivity for AI tools.

- Is the connection native, certified, partner-built, or dependent on a general connector?
- Can a CRM opportunity automatically create a project, budget, and staffing request?
- How are users, roles, rates, budgets, and time entries synchronized?
- Which system is authoritative when records conflict?
- Are advanced integrations included in the quoted subscription?
- Are API limits, sandbox environments, or integration support charged separately?
- How are failed synchronizations detected and corrected?
“Integrates with” can mean anything from a maintained two-way connection to a manual export. Request a demonstration using your actual CRM-to-project-to-finance process.
AI, automation, and “intelligent” project management
The word “intelligent” in the original Mavenlink title should not be confused with a current, independently verified AI capability. Kantata now promotes a broader set of AI and automation features, including AI-powered forecasting, project-health and risk insights, resource recommendations, automated status reporting, an Expertise Engine, and project and resourcing agents.
Kantata’s March 2026 OX roadmap also described project and resourcing agents, AI settings, status-report functionality, and planned financial features. Roadmap items are not the same as generally available features and should not be included in a purchasing decision until the vendor confirms availability in the buyer’s edition and contract.
Separate the claims into four categories:
- Workflow automation: rules, alerts, approvals, recurring processes, and integrations.
- Predictive analytics: forecasts based on historical and current operational data.
- Generative AI: drafted plans, reports, summaries, or recommendations.
- Agentic features: systems that may orchestrate workflows or take actions.
AI output depends on the quality and completeness of project records, staffing data, historical results, permissions, and configuration. Claims such as “learns from every engagement” should be attributed to Kantata, not presented as independently established fact. Buyers should also verify what data AI features can access, how prompts and outputs are handled, whether human approval is required, and whether AI capabilities cost extra.
Ease of use and implementation
Kantata OX can reduce fragmentation by bringing project, resource, time, and financial information into one environment. Different roles can receive different dashboards and reports, and client collaboration can be handled alongside delivery work.
However, the same breadth creates implementation work. A successful deployment may require decisions about:
- Project and portfolio taxonomy
- Roles, skills, and organizational structure
- Employee availability and booking rules
- Billing rates and cost rates
- Time-entry policies and approval chains
- Financial categories and accounting mappings
- Reporting definitions and ownership
- CRM, ERP, HR, and identity integrations
G2 reviews report benefits such as visibility, reporting, resource allocation, and consolidation of multiple tools, while also mentioning learning curves and areas requiring refinement. These are user-reported experiences, not controlled usability tests. Gartner Peer Insights likewise contains both positive and negative experiences involving project management, resource management, functionality, integrations, and support. The disagreement is a reminder that outcomes vary with edition, configuration, implementation, and organizational fit.
Do not accept a generic sales demo as proof of usability. Ask to see:

Gartner Peer Insights shows a similarly mixed picture. Cloudwards’ independent review also raises software-quality concerns, but those observations should be attributed to that publication rather than treated as a verified universal defect rate.
The most useful conclusion is not that every buyer will have the same experience. It is that Kantata should be evaluated as an implementation project, not merely as an app subscription.
Pricing: what is current and what is historical
Kantata’s current pricing page does not publish a simple public plan table. Pricing is tailored according to company size, goals, and operating model, with the buying path leading to a quote or customized demo.
The original CIO review listed this historical Mavenlink structure:
- Teams: $19 per month for up to five users, with additional users at $4 per user per month
- Professional: $39 per user per month
- Premier: contact sales
- Enterprise: contact sales
- Annual-contract pricing and a free plan were also mentioned
Those figures belong to the older Mavenlink review and should not be used as current Kantata pricing. There is no reliable current public per-user price to substitute for them.
Request a three-year total-cost estimate that includes:
- Minimum user counts and client-user licensing
- Annual commitment and renewal terms
- Implementation and onboarding
- Data migration and cleanup
- Training and change management
- Support tier and response commitments
- API and integration charges
- Billing, financial, or advanced resource modules
- AI-feature availability and usage limits
- Sandbox or test environments
- Price-increase terms at renewal
Because the likely buying motion is sales-assisted, a low historical plan price should not be used to compare Kantata with a self-service task-management app.

Security, compliance, and data governance
Enterprise positioning is not proof of a particular security or compliance standard. Before purchase, verify current contractual or trust-center documentation for certifications, data residency, encryption, single sign-on, identity-provider support, role-based permissions, audit logs, retention and deletion, subprocessors, AI data use, export and portability, uptime commitments, and incident-notification procedures.
These requirements can vary by edition, region, contract, and integration architecture. They should be confirmed directly rather than inferred from the product’s size or customer list.
Final recommendation
Mavenlink remains a useful search term for the former product, but the current buying decision is about Kantata OX. It deserves a shortlist when a professional-services organization needs connected project delivery, resource planning, time and expense capture, billing, forecasting, and financial control.
It does not deserve an automatic recommendation. The product is likely too broad for basic task management, its pricing is not publicly transparent, and its benefits depend on disciplined processes and reliable data. Request a workflow-specific demo and a complete implementation-inclusive quote. If the business cannot explain why it needs utilization, staffing, billing, and margin visibility, a simpler work-management tool may be the better financial decision.
