Start with the IC manufacturer’s own authorized-distributor list, then verify the exact part number, regional authorization, physical stock, traceability and warranty in writing. Authorized or franchised distribution usually offers the strongest combination of authenticity assurance, factory documentation, warranty support and recourse. If you must use an independent distributor or broker, treat the purchase as a higher-risk sourcing decision and require documented provenance, inspection and testing before production release.
The safest rule: begin with the manufacturer’s authorized channel
An integrated circuit can be genuine yet still be the wrong suffix, improperly stored, reclaimed, remarked or outside the seller’s warranty. The seller therefore matters almost as much as the part number.
- Manufacturer-authorized or franchised distributor: has a formal agreement with the original manufacturer.
- Independent distributor or broker: buys and resells parts outside the manufacturer’s normal authorized agreement.
- Gray-market supplier: offers parts outside the authorized channel. Some parts may be genuine, but provenance, handling and warranty are less certain.
- Marketplace seller: a third-party listing where the platform may not be the actual source or fulfillment entity.
Authorization is the strongest first filter, not a guarantee that every shipment is perfect. It can vary by manufacturer, product family, country, sales channel and time. Texas Instruments says buying through its authorized semiconductor distributors is the way to obtain genuine parts, full warranty coverage and after-sales support (Texas Instruments guidance). ECIA guidance likewise emphasizes authorization checks and supply-chain traceability (ECIA audit checklist).

1. Identify the original manufacturer
Use the datasheet, package marking, bill of materials or approved-part record to identify the manufacturer. Go to that manufacturer’s official website and find “Where to buy,” “Authorized distributors,” “Sales network” or a regional channel-partner page. Examples include Micron, Infineon, onsemi Americas, Diodes Incorporated in the United States and KYOCERA AVX.

2. Confirm the exact scope
- Manufacturer and product family, not merely a different line the seller carries.
- Your country or region.
- Online sales authorization, if you are buying through a website.
- Whether the relationship is direct or through a recognized master distributor.
- Whether it covers current production, obsolete devices or excess inventory.
A company can be authorized for connectors or passives and not for the semiconductor manufacturer you need. A logo, badge, certificate supplied by the seller or marketplace ranking is not enough.
3. Ask the manufacturer directly when anything is unclear
Send the manufacturer’s sales or channel team this question:
“Is [legal distributor name and website] an authorized distributor for [manufacturer] and the [product family] in [country]?”

ERAI has documented cases of sellers falsely claiming authorization and displaying fake distribution letters (ERAI warning).

4. Match the supplier’s legal identity
The quotation, invoice, website, payment recipient and returns address should identify the same legal business. Check the physical address, country of incorporation, tax or VAT details where applicable, telephone number and bank-account beneficiary. Newly created domains, pressure to use irreversible payment methods, refusal to issue a formal quote and mismatched company names are reasons to stop and investigate.

Common authorized-channel choices include DigiKey, Mouser, Arrow Electronics, Avnet, Newark, element14 and RS. These are examples, not a permanent universal approval list; verify each manufacturer relationship for your region and part.
DigiKey describes authorized purchases as including factory warranty and manufacturer-authorized product (DigiKey). Mouser states that it is an authorized distributor for more than 1,200 brands, receives products directly from factories and has no minimum order for products normally stocked in its warehouse (Mouser company information; Mouser new-customer information). These are company statements, so confirm the specific item and terms.
For obsolete devices, Rochester Electronics may be relevant. Infineon lists Rochester as fully authorized for certain overstock and discontinued products while noting that Rochester, rather than Infineon, provides the reliability warranty for those products (Infineon distributor information).

What to compare besides the quoted price
Exact technical fit
- Full manufacturer part number, suffix and revision.
- Package, temperature grade, speed, memory density and qualification (automotive, industrial or other).
- Tape-and-reel, tray, tube or cut-tape format.
- Moisture-sensitivity and handling requirements.
- RoHS, REACH, conflict-minerals and export-control documentation.
- Approved alternates and second sources.
Never approve a “near equivalent” without engineering review. A suffix can change electrical limits, package dimensions, reliability grade or moisture rating.
Real availability and delivery confidence
Distinguish “in stock” from factory stock, factory lead time, allocated quantity, backorder, estimated availability and third-party marketplace inventory. Ask whether the quoted quantity is physically in the distributor’s warehouse or merely a supplier estimate. For production, record confirmed lead time, minimum order, order multiples, allocation status, forecast requirements, product-change notifications and end-of-life support.
Landed and risk-adjusted cost
Compare the same quantity, condition, delivery date, shipping method, currency, duties, taxes, freight, payment terms, minimum-order value, cancellation rights, restocking fees and non-cancellable/non-returnable conditions. Dynamic web prices are not meaningful unless those variables match. Include the possible cost of inspection, rework, line stoppage, failed returns and redesign—not just the unit price.

Warranty and support
Identify who provides the warranty: the manufacturer, distributor or neither. For complex designs, assess field-application engineering, samples, BOM assistance, lifecycle data, supply agreements and local account management. Arrow publishes a manufacturer directory for its supported lines (Arrow manufacturer directory).

A documented supplier-approval workflow
Phase 1: Define the requirement
- Manufacturer and exact part number.
- Quantity and required delivery date.
- Prototype, pilot, production or repair use.
- Acceptable date-code range and packing format.
- Environmental, compliance and certificate requirements.
- Whether alternates are permitted and the consequence of failure.
Phase 2: Build the candidate list
- Manufacturer’s current authorized-distributor page.
- Manufacturer’s local sales representative.
- Established authorized catalog or production distributors.
- Authorized obsolete-parts specialists, if applicable.
- Independent distributors only when authorized supply cannot meet the requirement.
Phase 3: Require a written quote
Require the exact part and suffix, condition (new, used, refurbished or reclaimed), physical quantity, date and lot codes, country of origin when needed, packaging, delivery date, warranty, returns, certificate of conformance, traceability and source of inventory. “Equivalent IC available” is not a procurement specification.
Phase 4: Qualify the supplier
For an independent source, request its quality certification, counterfeit-control plan, supplier-approval and incoming-inspection procedures, traceability records, qualified-laboratory information, sample test report, warranty, product-liability insurance, references, nonconformance process and record-retention policy. ECIA’s checklist calls for written distribution agreements, authorization verification, supplier registers, traceability and retained certificates of conformance where applicable (ECIA checklist; ECIA training document).
Phase 5: Screen the supplier and part
Use approved-vendor records, manufacturer confirmation, prior nonconformance data, trade and sanctions screening where required, and ERAI tools for counterfeit and supplier-risk checks. ERAI offers part-risk, company-screening, alert and reporting services (ERAI risk-mitigation tools; ERAI reporting and alerts). An absence of an ERAI alert does not prove authenticity.

Routine checks for authorized-channel receipts
- Part number, quantity and purchase-order match.
- Manufacturer labels, date and lot information.
- Sealed packaging, MSL labels and handling indicators.
- Visible damage, moisture or contamination.
- Certificates, warranty documents and packing list.
Additional controls for independent-channel receipts
- High-resolution marking, package and dimensional comparison.
- Date-code and lot-code analysis.
- X-ray, decapsulation or die inspection where justified.
- Solderability, electrical, curve-trace or other laboratory testing.
- Analysis for sanding, resurfacing, remarking or recycled components.
Visual inspection can find obvious anomalies but cannot prove die authenticity, electrical compliance or storage history. Match the testing burden to the application: a low-cost hobby repair may justify basic checks, while safety-critical, medical, aerospace, automotive and high-temperature production require a documented risk-based plan.

Red flags that should stop or escalate a purchase
- Authorization cannot be confirmed with the manufacturer.
- The seller will not identify the actual source or legal entity.
- Condition is not stated, or “new” is used without supporting records.
- Required lot, date-code or traceability information is unavailable.
- The price is implausibly low without a credible explanation.
- Photos, labels and paperwork are inconsistent.
- Payment must go to an unrelated entity or irreversible account.
- The seller refuses inspection, independent testing or reasonable returns.
- Storage and handling history cannot be explained.
- A different suffix, package or date code is substituted without written engineering approval.
When authorized stock is unavailable
- Ask the manufacturer about allocation, approved alternates and other authorized channels.
- Check authorized distributors in the relevant region and warehouse.
- Evaluate a last-time buy, redesign or form-fit-function alternative.
- Use an independent distributor only with documented provenance, inspection, warranty and liability controls.
- Test representative samples before production release and quarantine material until acceptance.
For obsolete parts, establish whether inventory is manufacturer-authorized legacy stock, newly manufactured under license, refurbished, reclaimed or tested aftermarket material. Confirm the exact revision and package, warranty issuer and sample-approval plan. Buy validated inventory for the expected product life only when the economics and storage controls support it.

For regulated, safety-critical or long-life products, increase the weighting for traceability, quality records, counterfeit controls, warranty and continuity. A low price must never compensate for failed authorization or unknown provenance.
Copyable supplier questionnaire
- Are you authorized for this manufacturer and product family in our country?
- Can the manufacturer confirm that authorization directly?
- What is the exact manufacturer part number and suffix?
- Are the parts new, unused, refurbished, reclaimed or otherwise processed?
- Where is the inventory physically located?
- What are the date code, lot code and country of origin?
- What is the original source of the inventory?
- Can you provide manufacturer or distributor traceability?
- Is a certificate of conformance available?
- What warranty applies, and who provides it?
- What are the return and failure-analysis terms?
- Is the order cancellable and returnable?
- What inspection or testing has been performed, and which laboratory performed it?
- What counterfeit-control standard or internal procedure do you use?
- Can you provide references for similar parts or customers?
- What happens if the parts fail incoming inspection?
- Are there substitutions, date-code restrictions or packaging changes?
- Is the delivery date guaranteed, confirmed or estimated?
- Are duties, freight and taxes included in the quote?
Final decision rule
Use the manufacturer’s authorized channel by default. Compare distributors on exact technical fit, verified physical availability, landed cost, continuity, warranty and support—not on headline price alone. Move outside that channel only when the requirement justifies it, and then approve the supplier and the specific lot through documented provenance, risk-based inspection and clear responsibility for failures.
