For a payment from a business bank account to a business credit card, choose Transfer to/from Bank, Credit Card, or Loan in Wave and match the corresponding transaction on the other account. The payment moves money between accounts; it is not a new expense. Categorize the original credit-card purchases separately as expenses or other appropriate accounts.
Why a credit-card payment is usually a transfer
There are two separate events to record:
- The purchase: A card charge for supplies, advertising, travel, or another business cost is categorized according to what you bought.
- The payment: Money leaving business checking to pay the business card reduces the bank balance and the amount owed on the card. It normally does not create another expense.
If you categorize the payment as an expense after the card purchases have already been recorded, you may count the same spending twice and distort your profit and credit-card balance. Wave describes payments between accounts as transfers; its wording can vary slightly by screen or interface update. See Wave’s transfer instructions.
Categorize the payment in Wave’s web app
- Sign in to Wave and open Accounting > Transactions.
- Find the withdrawal in the business checking account, or the corresponding payment in the credit-card account.
- Open the transaction and click its Category field.
- Choose Transfer to/from Bank, Credit Card, or Loan (or the similarly worded transfer option).
- Select the other business account. If Wave offers the matching imported transaction, select it.
- Click Save, then review the transaction after checking that the details are right.
Wave’s categorization guide gives the Transactions page path. The transfer option’s direction depends on which account’s transaction you opened: from checking, money goes to the credit card; from the credit-card side, it came from the bank.

For example, suppose Wave shows a $500 checking withdrawal and a matching $500 payment in the business card account. Link them as a transfer. If the card purchases behind that payment were already categorized as office supplies, advertising, and travel, leave those purchase categories as they are; do not categorize the $500 payment as another expense.

After saving, the two transactions should be linked and represented as a transfer to and from the respective accounts, rather than as new income or an operating expense. The checking balance goes down, and the credit-card liability goes down. Those account balances should ultimately agree with the statements.
If Wave cannot find the matching transaction
Wave may not offer a match if the other side was not imported, the other account is not connected or importing, the amounts differ, the other transaction is already categorized, the currencies differ, or the dates are more than 20 days apart. That 20-day limit is Wave’s documented matching behavior, not a general accounting rule. Check both accounts’ transaction lists, amounts, dates, currencies, and categorization status before creating anything new.

Only one side is in Wave
If the checking withdrawal exists but the card-side payment does not, choose the transfer category and select the actual credit-card account. Wave says that saving without a matching transaction can create the other side, labeled Created Transfer, with the same date as the original transaction. Then compare the resulting card balance with the statement. Do not use this option to invent an account or transfer when the destination is personal or otherwise not a business account in Wave.
If the credit-card account itself has not been set up, first check Accounting > Chart of Accounts. Wave lists credit cards under Liabilities & Credit Cards; make sure the account name, currency, account type, and imported transactions are appropriate. Amount, date, or currency differs
A partial payment is still a transfer for the amount actually paid. A difference between the payment and the card statement does not automatically make the payment an expense: first determine whether the difference reflects a posting-date mismatch, an amount entered incorrectly, a fee or interest charge, or a currency conversion.
For accounts in different currencies, Wave’s foreign-currency workflow can treat the movement as an exchange as well as a deposit. Wave says it may use a mid-market rate from XE.com to create the other side, so check and adjust the resulting amount against the actual transaction and statement. When the transaction is not a transfer
- A card purchase from a supplier: Categorize the purchase as the relevant expense, asset, inventory, or bill payment. It is not a checking-to-card transfer just because the supplier was paid by card.
- A direct payment to a vendor from checking: Categorize it as the appropriate expense or bill payment unless it is actually moving money between accounts you own.
- A payment from business funds to a personal card or account: This is generally a personal withdrawal or owner-equity transaction, not a transfer to a business credit-card account. The right account depends on the business’s legal structure and bookkeeping policy; Wave’s transfer guidance likewise distinguishes payments to personal accounts.
- A card fee or interest charge: Categorize a separately recorded fee or interest charge appropriately, rather than treating the cost itself as a transfer. For a payment that combines a balance payment with separately identifiable interest or fees, the bookkeeping may require splitting the transaction. Confirm the treatment with an accountant, especially if the charge may already be recorded in the card activity. Wave’s loan repayment guidance illustrates separating principal and interest, but a credit-card account is not automatically treated exactly like a loan.
Wave’s categorization does not by itself determine whether a charge is tax-deductible. Mixed personal and business spending, owner withdrawals, and fees can depend on the facts and the business entity.

Correct a wrong category or duplicate
If you categorized the payment as an expense, go to Accounting > Transactions, open it, change the Category field to the appropriate transfer option, select the correct account or match where available, and save. If it was already matched, review and undo or correct the match as needed. Then check the bank and card balances and relevant reports; a mistaken expense can overstate spending or profit impact, while a missing or duplicated transfer can leave a balance unexplained.

If the payment appears twice, compare both entries with the bank and card statements. Keep the genuine transaction, remove or exclude the duplicate using Wave’s available transaction controls, and match the remaining bank and card entries. Categorizing one duplicate as an expense does not fix the duplicate—it can make the books less accurate.
If you enter transactions manually or use the app
When a bank connection does not bring in both sides, confirm that the checking and credit-card accounts exist in Wave. You can add the missing side manually or use the transfer category without a match so Wave creates the other side. Check the account, date, amount, and currency, and avoid entering both sides manually and then also letting Wave create another transaction.
Wave’s documented mobile path is Accounting > Transactions, tap the transaction, tap Add category, choose the category, and tap Save. Labels and matching controls can differ from the web interface; use Wave’s categorization instructions for the current steps. Mobile accounting features and automatic imports may depend on plan and bank-feed availability.
Quick decision check
- Did business money move between two business accounts? Use a transfer.
- Is this the original card purchase or a direct vendor payment? Use the relevant expense, asset, inventory, or bill-payment treatment.
- Did business funds pay a personal card? Use the appropriate personal withdrawal or equity treatment, not a fictitious business-card transfer.
- Does the payment include a separately identifiable fee, interest, or currency difference? Verify whether it is already recorded and handle the components appropriately.
For routine questions, consult Wave’s support guidance. If the payment is mixed with personal spending, contains fees or interest that are not clearly recorded, or affects owner equity, ask a qualified bookkeeper or accountant to confirm the treatment.
