Eligible students can usually get Microsoft Office at no cost through their school. Microsoft’s free Office 365 Education A1 plan generally provides browser-based Word, Excel, PowerPoint, Outlook and OneNote.
The important catch is that A1 is not automatically the full Windows or Mac desktop suite. Desktop Office depends on the license your school assigns. Here is how to check your eligibility, sign up safely and avoid losing your files when your enrollment ends.
The two ways to use Office for free

Microsoft distinguishes the free web apps from paid or education plans that include desktop applications. The browser versions are suitable for essays, ordinary spreadsheets, presentations and collaboration, but they may not support every desktop feature, macro, add-in, advanced formatting control or offline workflow.

You generally need both:
- An email address or login associated with your school; and
- A school that Microsoft recognizes as an eligible educational institution.
A personal Gmail, Outlook.com or similar address does not qualify for Office 365 Education by itself. A school email also is not a guarantee: Microsoft may need to verify the institution, and the school may need to create or activate your account.

Eligibility can vary for high schools, community colleges, trade schools, online programs and homeschool arrangements. Microsoft may recheck eligibility, and access normally depends on your enrollment and the institution’s continuing license.

How to sign up for free Office 365 Education
- Go to Microsoft’s official Office 365 Education page.
- Select the student or education sign-up option.
- Enter your school-issued email address when requested.
- Complete Microsoft’s verification process. Automatic approval may be quick, but institutional verification can take longer.
- Sign in with the school or Microsoft account that was created or activated.
- Open Microsoft 365 in your browser and select Word, Excel, PowerPoint or another available app.
If your school uses single sign-on, a separate identity provider or its own Microsoft portal, follow the instructions from the school’s IT department or student portal rather than repeatedly creating new accounts.

How to check whether desktop Office is included
After signing in with your school account, look for a control labeled Install apps, Install Microsoft 365 apps or something similar. Also check the license description for wording such as desktop apps or Office applications for PC/Mac.
- If you can launch Word, Excel and PowerPoint only in a browser and see no installation option, you probably have a web-only entitlement such as A1, or your school has disabled installation.
- If your account includes a desktop-enabled plan, Microsoft should provide installation controls after you sign in.
- Downloading an installer does not create a license. The installed apps still need an account with the appropriate entitlement.
Microsoft’s education comparison identifies A3 as a plan that adds full desktop apps. The education plan shown by Microsoft may permit installation on up to five PCs or Macs, along with mobile-device installations, but the exact rights depend on the license assigned by your institution.

Your school may also configure email, OneDrive, Teams and other services. The exact bundle, storage policy and administrative controls can vary. Microsoft’s education comparison has described a maximum 100 GB OneDrive limit for free A1 users under the cited plan terms, but check your school’s current configuration before relying on a specific storage allowance.
Because A1 is primarily browser-based, it may be a poor fit for coursework requiring Excel macros, Power Query, specialized add-ins, extensive offline work or desktop-only formatting and analysis features.
If Microsoft cannot find your school
“We can’t find your school” can mean the institution is not in Microsoft’s academic database, has not enabled the service, uses a different sign-in route or needs manual verification.

- Confirm the exact school email address and spelling.
- Try the sign-up link or Microsoft 365 instructions in your school’s official IT or student portal.
- Ask the school’s IT help desk whether it provides Microsoft 365 Education and which login portal to use.
- Ask whether the institution must complete verification before student accounts can be activated.
- Use the free consumer web apps with a personal Microsoft account as a temporary alternative.
Do not submit false enrollment information or use another person’s school account. If you have a school email but still cannot sign in, the account may not have been created, may require multifactor authentication or a password reset, or may have been assigned the wrong license. The school’s IT department is usually the right first contact because it controls the tenant, accounts and licenses.
What happens when you graduate?
Do not treat a school Microsoft account as permanent storage. When enrollment ends or the school removes the license, Office for the web, OneDrive, email and other services may stop working. Microsoft may also require reverification while you remain eligible.

Before leaving school
- Download or move important personal files to an approved personal account or storage location.
- Keep copies of important Word, Excel and PowerPoint files in formats your next software can open.
- Check school rules before moving coursework, research data or confidential documents to a personal account.
- Make sure files are not owned only by the school account.
- Remove the school account from personal devices after migration and sign out of shared computers.
What about Microsoft’s student promotions?
Microsoft’s education page currently displays a limited-time offer of 12 months of Microsoft 365 Premium for eligible college students using a college email address. This is a promotion, not the permanent Office 365 Education entitlement. Eligibility, geography, expiration, payment requirements and renewal terms can change.

Read the terms shown during sign-up and check whether the promotion converts to a paid subscription. If you only need browser-based Office, do not accept a time-limited offer merely because it is presented as a student benefit.
Legitimate alternatives if Microsoft access is unavailable
- Free Microsoft 365 web apps: Use Word, Excel and PowerPoint in a browser with a personal Microsoft account. See Microsoft’s explanation of free web apps versus paid subscriptions.
- Google Docs, Sheets and Slides: Useful for collaboration, though Office formatting and feature compatibility should be checked before submitting work.
- LibreOffice: A free desktop suite that works offline, but documents may not render identically in Microsoft Office.
- OnlyOffice: Another desktop and web-based option with an Office-like interface; test important files before relying on it.
- Campus facilities: Your school may provide Office through computer labs, remote desktops or virtual applications.
Never download cracked installers, unauthorized product keys or “free Office” torrents. They can expose your files, passwords and identity to malware and may violate licensing rules.
Quick troubleshooting checklist
- No school recognition: Verify the address, try the school portal and contact IT.
- No install button: Your plan may be A1, desktop rights may not be licensed, or installation may be restricted.
- Wrong account: Sign out of personal Microsoft accounts and confirm that the school identity is active.
- Password or MFA problem: Use the school’s reset and authentication process.
- Expired access: Ask IT whether enrollment, licensing or verification has changed.
- Missing files: Contact the school promptly, but do not assume deleted school-account files can be recovered indefinitely.
When paying for Microsoft 365 may make sense
A personal Microsoft 365 subscription may be worth considering if your school offers only web apps, you need desktop features, or you want an account and files that remain independent of graduation. A family subscription may also be practical when several household members need desktop Office. Check Microsoft’s current official purchase and support page for current terms rather than relying on an old price.
