For most agencies managing unrelated client websites, the best default is a separate WordPress installation for each client on managed hosting, organized through a central dashboard. That approach preserves site-level isolation and makes it easier to maintain, restore, transfer, or offboard each site independently. Use WordPress Multisite when the sites genuinely share a codebase and governance model—not simply because you have several clients.
The right setup depends on more than the hosting bill. Compare the time and risk involved in updates, backups, staging, security, client support, and eventual handoff. A premium managed host may cost more per site but reduce infrastructure work; a VPS may lower the hosting cost while making your agency responsible for more of the failure surface.
What “hosting for agencies” can mean
Agency hosting is not one product category. It can mean a host with portfolio tools, a reseller account, a managed cloud server, or a WordPress management service layered over hosting from several providers. Decide first what you want the platform to do—and which responsibilities you are willing to own.

The provider manages much of the server and WordPress infrastructure. This is a strong fit for isolation and client handoff.
- Agency or portfolio hosting: One agency account manages multiple installations. Look for site organization, collaborator access, staging, bulk operations, portfolio billing, and transfer tools. Plans may be priced per site, by installation bundles or resources, or through custom quotes.
- Reseller hosting: The agency buys capacity and sells accounts under its own brand. It can suit agencies that want branded client billing, but the agency may become the first line of support and inherit more responsibility for service quality.
- Managed cloud or VPS: A provider or control panel manages some cloud-server tasks while the agency chooses or configures infrastructure. This can offer flexibility and different economics, but “managed” varies; confirm who handles operating-system patches, backups, monitoring, incidents, and capacity.
- Management software with mixed hosting: Services such as ManageWP centralize some WordPress maintenance across sites that remain with different hosts. This helps avoid an immediate portfolio-wide migration, but it does not unify server support, DNS, host-native staging, or infrastructure backups.
- Self-hosted management: MainWP provides a control plane installed on the agency’s own WordPress site. That offers more control, while making the agency responsible for securing and maintaining the dashboard and its extensions.
A management dashboard and a host are not interchangeable. A dashboard may streamline plugin updates and reporting, but the agency still needs to know where each site’s backups live, how its server is supported, and how to recover it.

Separate WordPress sites or Multisite?
For a typical agency portfolio, “multiple sites” should usually mean multiple independent WordPress installations managed through one operational layer. WordPress Multisite is a network architecture: sites share important infrastructure rather than acting as fully independent installations. WP Engine’s Multisite overview describes subsites sharing a database and assets and notes the additional setup and maintenance involved.

Choose separate installations when clients have different owners, need independent administrators, use different plugins or PHP requirements, or may leave independently. Separate installs are especially sensible for WooCommerce, membership, subscription, and LMS sites, where changing one site should not place unrelated clients at risk.
Consider Multisite when the sites are genuinely related—for example, franchise locations or departments—with a shared theme and plugin stack, centralized administrators, and a governance model that accepts shared maintenance. Network-level changes can affect multiple sites; a compromised super-administrator account or resource contention can also have wider consequences. Per-site migration, plugin compatibility, and site-specific recovery need deliberate planning. Choose a hosting model for the work you want to own
Managed agency hosting
This is the usual fit when the agency wants to spend more time on client work and less on server administration. Integrated staging, backups, support, security features, and site transfers can simplify operations. The trade-offs are higher per-site costs, plan limits, possible plugin restrictions or overages, and less server-level control. Managed hosting reduces infrastructure labor; it does not take responsibility for every plugin conflict, broken form, compromised account, or business-function failure.

VPS or managed cloud
A cloud server can make sense for a technically capable agency with enough sites to justify standardization and operational investment. It offers more configuration choices and may improve per-site economics at scale. But calculate the cost of staff time, server patching, monitoring, incident response, independent backups, security controls, redundancy, and capacity planning—not just the monthly server charge. Cloudways, for example, presents a managed layer over selected cloud infrastructure with staging, cloning, and backup features; its pricing depends on the underlying provider, server size, and add-ons.
Reseller hosting
Reseller hosting can work when branded accounts and centralized billing are important, particularly for smaller sites. Check isolation, CPU and process limits, backup and restore options, support boundaries, and what “unlimited” excludes. A reseller label does not guarantee WordPress-specific staging or dependable recovery.
Management software across existing hosts
This is useful when clients already own their hosting accounts or when the portfolio has accumulated across providers. ManageWP offers a central service for updates, backups, reports, and related checks; its pricing page describes a free base layer and paid add-ons. MainWP is a self-hosted alternative, so the agency must keep the management installation and its access credentials secure. Neither option makes different hosts’ server resources, DNS, staging, or support policies uniform.

Compare the operational details, not just the number of sites shown on a plan page. Ask for specifics and record the answers so that each site’s limits and recovery path are clear.

- Portfolio controls: Can you group, label, search, and assign sites to clients? Are bulk updates available? Are activity logs, user controls, and API access provided?
- Resources and limits: Check storage, traffic or visit definitions, PHP workers, CPU and memory policies, database limits, cron behavior, and overage charges. These measures are not interchangeable. A published PHP-worker count or CDN feature does not prove how fast your client’s site will be.
- Staging and deployment: Find out whether staging is a real clone, what it costs, whether it can be password-protected, and whether files and database can be pushed separately. Ask what happens to new uploads or production changes during a deployment, whether rollback is available, and whether staging counts toward plan limits.
- Backups and restores: Confirm what is covered, how often backups run, how long they are retained, where they are stored, and whether restoration costs extra. Can you restore to staging as well as production? Can you export a backup after a client leaves? Test recovery instead of relying on a “backups included” claim.
- Security responsibilities: Check for firewall and DDoS protections, malware monitoring or remediation, PHP and server patching, access controls, MFA, SFTP or SSH options, audit logs, and plugin restrictions. Managed hosting is one layer, not a substitute for least-privilege access, secure administrator practices, and prompt vulnerability response.
- Support and incident response: Identify who handles server outages, WordPress issues, malware, and migration problems, and who receives alerts. Check support hours, escalation routes, and any uptime commitment’s exact scope; a network-level SLA is not the same as a guarantee that every application function is available.
- Client access and exit: Confirm whether clients can have their own roles, whether ownership and billing can be transferred, and whether sites, databases, media, and backups are exportable. White-label branding does not itself give a client account ownership or an independent exit path.
- Compatibility and terms: Review prohibited-plugin lists, PHP requirements, staging rules, migration eligibility, regional data requirements, and the current plan’s resource limits before committing. “Supports Multisite” does not mean every plan or plugin combination is supported.
Vendor feature pages can help you shortlist candidates, but treat performance and security descriptions as vendor statements, not independent tests. For current agency workflows, review the providers’ own documentation: WP Engine, Kinsta, Pressable, and Flywheel.
Agency-oriented platforms to compare
No provider is the automatic winner for every portfolio. Treat the following as a shortlist based on the operating model you want, then verify current terms and fit against real client workloads.

Do not compare a vendor’s advertised visit allowance with another vendor’s without checking how each defines a visit. Likewise, “daily backups,” “white label,” “managed updates,” and “free migration” can describe different levels of service. Verify the terms for the plan and region you intend to buy.

A repeatable workflow for client sites
1. Inventory before standardizing
Record each domain and registrar, DNS provider, WordPress and PHP versions, theme and plugin list, storage and database size, traffic patterns, integrations, email dependencies, cron jobs, current backup method, and ownership requirements. Flag ecommerce, memberships, LMS, booking, compliance, or data-residency needs. Group sites by workload—marketing, lead generation, transaction-heavy, membership, high-traffic editorial, or development—rather than putting every client on the same plan.

2. Onboard and migrate deliberately
- Get written authorization and confirm who owns the domain, hosting account, DNS, and site content.
- Create a complete pre-migration backup; record DNS and email records, including the current TTL.
- Build a staging or temporary copy and check PHP and plugin compatibility.
- Test forms, checkout, logins, search, integrations, scheduled tasks, and transactional email before cutover.
- Where practical, lower DNS TTL before the move. Schedule the change for a suitable window and test the migrated site before pointing production traffic at it.
- After cutover, recheck SSL, DNS, forms, email, analytics, redirects, and payment callbacks. Keep the old environment available through the agreed rollback period.
- Document final access, ownership, support boundaries, and the recovery procedure.
3. Govern updates instead of applying them blindly
- Review available WordPress, theme, and plugin updates, including changelogs and known compatibility issues.
- Take a fresh backup and apply the updates to staging first.
- Run automated checks and manual smoke tests for layout, forms, checkout, search, and key integrations.
- Deploy approved changes, run production smoke tests, and monitor errors and important business functions.
- Roll back if agreed health checks fail; record the issue and resolution.
Start with a canary site or a small batch before updating a whole portfolio. Group sites with similar stacks only when their testing and rollback procedures are reliable. A safe-update feature cannot guarantee that every visual or business-function regression will be caught.
4. Monitor what affects the site and the client’s business
At minimum, track uptime, SSL and domain expiry, update status, backup success, PHP errors, security alerts, disk or usage limits, and key forms or transactions. Where relevant, monitor performance regressions and search-indexing problems. Monthly reports should identify completed maintenance, backup status, significant issues, recommendations, and work outside the agreed scope.
5. Make recovery and offboarding routine
Schedule test restores and document who can perform them, which credentials are required, and what DNS changes may be needed. If a client leaves, provide an agreed recent backup and export path, transfer the site and billing where applicable, document DNS settings, remove agency users and API keys, and identify any licenses or services that will end. Site content ownership, hosting-account ownership, billing control, and vendor branding are different things; put each in writing.
Extra care for ecommerce and logged-in sites
WooCommerce, memberships, subscriptions, and other logged-in applications need more than a standard brochure-site check. Review full-page cache exclusions for carts, accounts, checkout, and personalized pages; test object-cache invalidation, cron jobs, queues, and payment webhooks. A staging copy must not send real customer emails, process live payments, or change production inventory. Choose backup frequency according to how much transactional data the client can afford to lose, and test recovery with the relevant integrations in mind.

Price hosting for the work it creates
Do not set an agency price by marking up the raw hosting charge alone. Estimate the full delivery cost:
- Hosting and resource overages.
- Management software, backup storage, monitoring, and security tools.
- Initial migration and ongoing administration time.
- Support allowance, client communication, and reporting.
- Emergency response capacity and the risk of a failed update or outage.
- Offboarding time, payment costs, and the margin needed to sustain the service.
Then set a price that reflects the site’s workload and support expectations. An agency might distinguish hosting-only service from hosting with routine updates, managed maintenance, priority support, or ecommerce/mission-critical care. Define exactly what each tier includes, what counts as extra work, who handles content changes, and how urgent incidents are billed. Price high-change or transaction-heavy sites differently from small brochure sites.
When a VPS or reseller model is worth it
A VPS or cloud setup becomes attractive when the agency has enough repeatable sites, staff capability, and automation to make infrastructure operations a deliberate service rather than an informal side task. Before choosing it, assign responsibility for patching, monitoring, backup storage, restore testing, resource isolation, incident response, and on-call escalation. If those duties have no owner or budget, the apparent savings are likely to be a transfer of risk rather than a real reduction in cost.
A reseller model is a different decision: it can help package branded hosting and billing, but the agency should be explicit about support boundaries, resource limits, backups, and what happens when the client relationship ends. In either model, keep domains and DNS access appropriately independent and maintain a credible route to export or move each client site.
A practical decision rule
- Unrelated client businesses: Prefer independent installations, usually on managed hosting, with a central management layer.
- Clients spread across existing providers: Consider ManageWP or another management tool first; consolidate only where migration benefits justify the work.
- Similar sites under one organization: Evaluate Multisite if shared code, administration, and risk are acceptable.
- Infrastructure expertise and a sizeable portfolio: Compare managed cloud or VPS economics only after pricing the operational work and recovery requirements.
- Client handoff is essential: Favor independent installs, role-based access, transferable billing or ownership, exportable backups, and documented exit steps.
Scale alone does not determine the architecture. Five high-risk stores may need more rigor than dozens of small informational sites. Match the platform to the portfolio’s workload, recovery needs, and contractual responsibilities.
