Hiver Review: Features, Pros, Cons, Pricing, and Alternatives (Updated 2026)

Hiver is a strong fit for Google Workspace teams that need shared-inbox accountability without moving agents out of Gmail. It adds assignment, statuses, internal notes, shared drafts, automation, analytics, and AI tools to team addresses such as support@, billing@, and info@.

Its main drawbacks are per-user pricing, Gmail dependency, uneven depth across non-email channels, and the need to verify reporting, integrations, AI availability, and Gmail permissions before buying. This review updates the “Hiver Review 2025” topic with the current product and pricing information available in 2026; the current prices should not be treated as historical 2025 prices.

Quick verdict

  • Best for: Small and midsize Google Workspace teams managing mostly email-based customer support or operational inboxes.
  • Main strength: It brings shared-inbox ownership and help-desk workflow into Gmail.
  • Main weakness: Costs rise quickly as more users need seats, while advanced omnichannel, reporting, and governance needs may require a higher tier or another platform.
  • Current paid starting point: Growth is listed at $25 per user per month with annual billing or $35 monthly, subject to change. Check current Hiver pricing.
  • Recommendation: Trial Hiver if your team already lives in Google Workspace. Compare a dedicated help desk before committing if you need voice, social messaging, complex ticket relationships, or highly customized reporting.

Hiver’s current product positioning goes beyond a Gmail add-on. The company promotes email, live chat, voice, WhatsApp, help-center, customer-portal, routing, quality-assurance, and AI capabilities. What is Hiver?

Hiver is a shared-inbox and customer-service layer built around Gmail. It does not replace Gmail for teams using the Hiver Marketplace app; instead, it adds operational controls that ordinary Gmail, forwarding, CCs, labels, or Google Groups do not provide as naturally.

In practice, a team can connect a shared address, assign each conversation to a person or team, add private notes, track its status, collaborate on a reply, and report on the work. Hiver describes this Gmail-centered product as Hiver in Gmail. Its broader Hiver Omni positioning covers additional channels and customer-service capabilities, so buyers should confirm which product they are evaluating rather than assuming every feature belongs to the Gmail workflow.

How Hiver improves a shared inbox

Shared inboxes

Hiver gives teams a common workspace for addresses such as [email protected], [email protected], or [email protected]. Everyone with access can see the conversation history and its current owner instead of relying on forwarding or a long CC chain.

Assignment and ownership

Assignment answers the most basic shared-inbox question: who is responsible for this request? A message can be assigned to an individual or team, reducing duplicate replies and unattended messages.

Status tracking

Teams can track whether work is open, pending, closed, or in another workflow state. Exact labels may change in the live interface, so standardize the statuses your team will use before launch. A status system is useful only when agents consistently update it.

Internal notes, mentions, and shared drafts

Private notes and @mentions let agents ask colleagues for help without exposing internal discussion to the customer. Shared drafts allow more than one person to review a response before it is sent. Conversation permalinks also make it easier to direct a colleague to the relevant request without copying the entire thread.

Tags and collision alerts

Tags can categorize requests for routing, searching, and reporting. Hiver also markets collision alerts to help prevent two agents from replying to the same customer at once. These tools solve different problems: tags organize the work, while ownership and collision warnings protect against duplicated effort.

Automation and routing

Hiver supports several levels of workflow sophistication:

  1. Manual assignment: An agent or manager chooses the owner.
  2. Rule-based automation: Conditions such as sender, subject, or message content trigger an action.
  3. Round-robin assignment: New requests are distributed across agents.
  4. Skill-based routing: Requests are directed to people with the relevant capability, where available.
  5. AI classification or routing: AI helps identify topics or recommend actions, subject to plan and availability.

Examples include routing messages containing “refund” to billing, distributing new requests evenly, escalating conversations approaching an SLA deadline, or moving messages from personal inboxes into a shared queue. The current pricing page indicates that Growth includes rule-based automation and round robin, while Elite adds skill-based routing and personal-to-shared-inbox rules. Do not assume every automation is included in every plan. Review the plan feature matrix.

AI features: useful assistance, not a guaranteed autopilot

Hiver currently promotes AI Copilot, AI Agents, AI QA, AI Insights, AI tagging, and knowledge-related functionality. Their roles are different:

  • AI Copilot: Helps draft replies, surface information, or suggest next steps.
  • AI Agents: May handle selected requests or resolutions, depending on the configured feature and plan.
  • AI QA: Evaluates response quality.
  • AI Insights: Organizes conversations into topics and subtopics.
  • AI tagging and knowledge tools: Help classify requests or use support information in workflows.

Marketing language should not be confused with independently proven performance. The available evidence does not establish an accuracy rate, automation percentage, or time saving. Some features may be labeled “Coming Soon,” and availability can depend on the account, region, or plan.

Before enabling AI, ask whether it drafts, suggests, classifies, or autonomously sends or resolves; whether human approval is required; what data it uses; whether administrators can restrict it; whether usage limits or additional charges apply; and how sensitive customer information is handled. Review AI output for incorrect policies, unsupported refunds, privacy leakage, fabricated product details, and missed escalations.

Analytics, SLAs, and CSAT

Hiver’s advertised reporting covers response time, workload, customer satisfaction, and reports by users, tags, SLAs, and other metrics. Current plan signals indicate that Growth includes pre-built analytics, Pro adds advanced analytics and SLA/CSAT functionality, and Elite adds AI QA and AI Insights. Confirm the current inclusions before subscribing.

For a support team, the important question is not how many dashboards exist but whether the data answers operational questions. During a trial, test:

  • First-response time and resolution time.
  • Backlog aging and agent workload.
  • SLA breaches and escalations.
  • CSAT by team, tag, or channel.
  • Historical reporting and export options.
  • API access and custom fields.
  • Whether tags and statuses remain consistent enough for management reporting.

Some Capterra reviewers praise Hiver’s organization and ease of use but report that analytics could be more robust. One user also mentioned occasional lag or synchronization delays in a high-volume inbox. These are anecdotal experiences, not controlled performance tests, but they justify testing Hiver with realistic message volumes. Read current user reviews.

Channels and integrations

Hiver’s broader materials mention email, live chat, voice, WhatsApp, Slack channels, help center, and customer portal capabilities. That expansion makes Hiver more than a simple shared Gmail queue, but it does not make it equivalent to every contact-center platform. Validate each required channel separately.

Reported integrations and integration categories include Slack, Asana, Jira, Aircall, Okta, QuickBooks Online, WhatsApp, Zapier, Salesforce, HubSpot, Monday, and other business tools. The existence of an integration does not prove that it supports two-way synchronization, custom fields, attachments, complete history, or the same workflow depth as email.

For every important connection, verify whether it is native or Zapier-based, which plans include it, whether it is one-way or two-way, whether custom fields are supported, whether API access is required, and whether it works with Hiver in Gmail or only Hiver Omni. Mobile experience

A Capterra reviewer praised Hiver’s iPhone app but reported problems involving composing from a shared mailbox, iPad optimization, templates, and signatures. Those comments describe a particular, dated user experience and should not be treated as confirmed current limitations without testing the present apps.

Ask agents to test whether they can compose from a shared address, assign conversations, add tags and notes, receive reliable notifications, use templates and signatures, work effectively on an iPad, and continue safely when connectivity is poor.

Security, permissions, and compliance

Hiver’s Gmail access deserves careful procurement review. The Google Workspace Marketplace listing says requested access can include reading, composing, sending, and permanently deleting Gmail messages; changing Gmail settings and filters; viewing groups; and accessing domain or user information. These are substantial permissions, particularly for finance, HR, legal, healthcare, and other sensitive inboxes. Review the Marketplace permissions directly.

The same listing advertises GDPR, ISO 27001, SOC 2 Type II, HIPAA, and CCPA compliance. These should be treated as vendor-reported claims, not a guarantee that a customer’s complete workflow is compliant. The applicable service, contract, configuration, access controls, data processing, retention, and internal procedures all matter.

Before deployment, ask:

  • Which Gmail scopes are required, and can administrators restrict or monitor them?
  • How are access and assignments revoked when an employee leaves?
  • How are deleted, archived, and exported messages handled?
  • Are AI features opt-in, automatic, or administrator-controlled?
  • Where is customer data processed and stored?
  • What retention and deletion controls are available?
  • Which capabilities, such as SSO, custom roles, or HIPAA-related handling, require Elite?

Current Hiver in Gmail pricing

The following prices were observed on Hiver’s pricing page for 2026. They are not evidence of what Hiver charged during 2025, and pricing or feature allocation may change.

Prices are per user per month. The pricing page indicates that seat increases may move from two to five seats and then in increments of five; confirm the requirement at checkout. “Free” does not mean every feature is free, and some plans or capabilities may require a demo or sales process. Pros

  • Strong Gmail integration: Agents can keep a familiar Gmail-centered workflow. Hiver’s product page explains the model.
  • Better accountability: Assignment, ownership, and statuses are more structured than forwarding and CCs.
  • Useful collaboration: Notes, mentions, shared drafts, and conversation links reduce internal email clutter.
  • Gradual expansion: Teams can start with shared inboxes and add automation, analytics, AI, portals, SLAs, or integrations as needs grow.
  • Positive user signals: Capterra displays a 4.7/5 rating from 148 reviews at the time of the supplied research. Ratings change and are not controlled product tests. See the review data.
  • Broader channel direction: Hiver now promotes chat, voice, WhatsApp, help-center, portal, and AI capabilities.

Cons

  • Cost: Paid plans range from $25 to $85 per user per month with annual billing, before Google Workspace and other services.
  • Gmail dependency: Gmail is the adoption advantage but can be a constraint for platform-independent or highly customized operations.
  • Reporting concerns: Some users find analytics insufficient for advanced requirements despite the newer tiered reporting features.
  • Variable integration depth: A listed connector may not provide full two-way synchronization or deep CRM functionality.

  • A growing support team: Pro becomes more relevant when SLAs, CSAT, advanced analytics, portals, or API access matter.
  • A Google Workspace-first organization: Adoption is most compelling when agents already spend their day in Gmail and do not want a separate console.
  • A governed enterprise team: Elite may be worth evaluating for SSO, custom roles, skill routing, and custom objects, but the organization should verify the exact security and compliance scope.

Who should avoid Hiver?

  • Organizations that do not use Gmail or Google Workspace.
  • Very low-volume teams that need only basic delegation or Google Groups.
  • Large contact centers where voice, social, messaging, workforce management, or deep multichannel routing is central.
  • Buyers requiring complex ticket hierarchies, issue linking, custom objects, or highly specialized workflows without paying for a high tier.
  • Security-sensitive organizations that cannot accept broad third-party Gmail permissions.
  • Teams with many occasional collaborators for whom per-user seat pricing is uneconomical.

Buyer’s trial checklist

Do not evaluate Hiver only with a clean demo inbox. Use representative messages, real roles, and the workflows your team expects to operate every day.

  1. Assign, reassign, close, reopen, and escalate conversations.
  2. Test collision prevention and shared-draft review.
  3. Verify templates, signatures, aliases, and replies from the correct shared address.
  4. Build a rule for a real request type, such as refunds or billing questions.
  5. Test round robin, SLA alerts, and any required skill routing.
  6. Check whether reports expose first response, resolution time, backlog aging, workload, SLA breaches, and CSAT.
  7. Export reporting data and test API access if management needs custom dashboards.
  8. Connect your CRM, project tool, telephony provider, or accounting system and verify synchronization depth.
  9. Ask AI to draft and classify realistic requests; inspect every answer for policy, privacy, and escalation errors.
  10. Test search and historical conversation visibility across your real inbox volume.
  11. Use the current mobile apps to test shared-mailbox composition, assignments, notes, templates, signatures, notifications, and iPad layout.
  12. Have an administrator test onboarding, role restrictions, offboarding, permission revocation, retention, and deletion behavior.

Final recommendation

Hiver is one of the most natural upgrades for a Gmail-based shared inbox. It is worth a trial when a team already uses Google Workspace and needs clear ownership, internal collaboration, automation, and measurable service workflows without forcing agents into a wholly separate help-desk interface.

Buy it when the productivity gains justify per-user pricing and your required channels, integrations, reports, and security controls work at the plan you can afford. Skip or compare alternatives first when you need a platform-independent help desk, extensive omnichannel depth, complex ticket customization, or premium reporting for a large number of seats.
