GNUKhata: Is This Free Business Accounting Software Right for Your Business?

GNUKhata is a legitimate, free and open-source business accounting and inventory application built with Indian organisations in mind. It supports double-entry bookkeeping, invoicing, stock and godown management, GST-oriented records, banking and financial reports. However, the current v8.0 beta is available through a Docker-only installation path, while the easier Windows and Linux v7.0 installers are officially no longer maintained.

That makes GNUKhata most suitable for India-focused small businesses, traders, retailers, startups, NGOs and technically capable organisations that value software ownership and self-hosting. It is less suitable for a business that wants a polished, fully managed cloud service, mature permissions, immediate GSTR-3B workflows, extensive integrations or guaranteed enterprise support.

What is GNUKhata?

GNUKhata is free and open-source accounting and inventory-management software initiated in India in 2009 for small and medium-sized businesses, traders, startups and NGOs. The project is currently being actively developed at Accion Labs Pvt. Ltd., according to its official history page.

It is designed around double-entry accounting rather than personal budgeting. Its documented business functions include sales and purchase invoices, vouchers, customers and suppliers, inventory locations, GST-related reporting, bank reconciliation, financial statements, user roles and organisation management.

GNUKhata should not be confused with GnuCash. GnuCash is a separate open-source desktop accounting application, while GNUKhata is India-focused and includes business, inventory and GST-oriented workflows.

Current version and installation options

The official installation page currently labels GNUKhata v8.0 beta and says that v8.0 supports Docker installations only. This is an important practical distinction: v8.0 is not presented as a conventional one-click Windows or macOS desktop application.

A Docker deployment generally means that someone must be responsible for the server or computer running the containers, user access, backups, upgrades and security. If the system is exposed over the internet, HTTPS, monitoring and access controls also become the organisation’s responsibility. The software may be free, but operating it may still involve hosting, administration and support costs.

The same installation page lists Linux and Windows installers for v7.0, but explicitly says that v7.0 is no longer maintained. Choosing v7.0 simply because it is easier to install can therefore mean giving up current fixes and features. The safest approach is to evaluate the maintained v8.0 path or use the official Try GNUKhata environment where available, rather than treating an unmaintained installer as the default production choice.

What GNUKhata can do

Double-entry accounting

GNUKhata’s accounting model maintains debit-and-credit balance. The v8.0 release note lists:

  • Customisable chart of accounts and account groups
  • Journal, payment, receipt and contra vouchers
  • Opening balances
  • Bill adjustment and partial bill settlement
  • Year-end book closing and financial-year rollover
  • Customer and supplier accounting

These are the core functions a small organisation needs to record income, expenses, assets, liabilities, receivables and payments. Reports will only be reliable if the chart of accounts, opening balances, tax settings and transaction entries are configured correctly.

Sales and purchasing

The v8.0 materials list sales invoices, purchase invoices, sales and purchase orders, delivery notes, debit notes, credit notes, discounts, round-off calculations, credit invoices, multi-payment support and point-of-sale functionality.

It also supports customer and supplier records and payment or receipt tracking. The official release note describes the available feature set, but does not establish independent performance testing or coverage of every specialised accounting scenario. A business should test its own invoice, returns, discounts and settlement workflows before migrating fully.

Inventory and godowns

GNUKhata supports products and services, HSN codes, GST rates, units of measurement, UQC mapping, stock-on-hand reports, product registers, stock transfers and multiple inventory locations.

In Indian business usage, a godown means a warehouse, store or other inventory location. Multi-godown support can therefore be useful for retailers, distributors and traders that move stock between shops and warehouses.

Do not assume that every advanced inventory feature is mature. The v8.0 release note identifies product-category and batch-related capabilities as incomplete, under development or planned. Businesses needing serial numbers, expiry tracking, batch profitability, reorder automation or complex stock valuation should test those requirements separately.

GST-related functions

GNUKhata includes India-focused GST fields and workflows, including:

  • GST-enabled invoicing
  • HSN and GST-rate fields
  • Intra-state and inter-state transaction handling
  • GSTR-1 reporting
  • GSTR-1 JSON export intended for upload to the GST portal
  • VAT support and combined GST/VAT use for businesses that need both
  • UQC mapping

GSTR-1 JSON export is not automatic GST filing. The user remains responsible for reviewing the data, checking tax totals and completing the filing process through the GST portal. Accounting software can support compliance, but it cannot by itself guarantee accurate or legally compliant filings.

Banking and reconciliation

The v8.0 release note lists multiple bank accounts, IFSC-code lookup and bank reconciliation. The available official material confirms reconciliation, but does not establish automatic bank feeds, open-banking connections or live synchronisation with banks. Plan on verifying the exact import and matching workflow required by your business.

Reports

Documented reports include:

  • Profit and loss
  • Balance sheet
  • Cash-flow statement
  • Trial balance
  • Ledger
  • Sales and purchase registers
  • Product register
  • Stock-on-hand and inventory summaries

These reports can help an owner, accountant or manager monitor profitability, balances, cash movement and stock. Their usefulness depends on disciplined bookkeeping and correct configuration rather than on the report menu alone.

Users, organisations and permissions

GNUKhata v8.0 lists multiple organisations per user, invitations, organisation profiles, GSTIN and logo settings, audit logs and roles such as Admin, Manager, Operator, Internal Auditor and Godown Incharge.

There is a significant qualification: the v8.0 release note says that only the admin role is fully supported, with other role-management enhancements incomplete. Organisations that require strict separation between data entry, approval, accounting and audit functions should test permissions carefully before relying on them in production.

Import and export

The v8.0 release note describes JSON import and export as fully supported for masters and transactions, while XLSX support is partial. The FAQ separately claims CSV, TSV and Excel import and PDF, CSV and Excel report export. Because these descriptions are not fully aligned, import and export should be treated as version-dependent.

Before migrating, use a small test dataset and compare the imported trial balance, customer and supplier balances, stock quantities, valuation and GST fields with the original system.

How GNUKhata could fit a typical small business

The following is a practical workflow based on the documented modules, not a claim of independent product testing:

  1. Create the organisation and enter its profile, financial year and GSTIN details where applicable.
  2. Set up the chart of accounts for income, expenses, assets, liabilities, customers, suppliers and tax accounts.
  3. Add customers and suppliers, including the tax information required for invoices and reporting.
  4. Create products and services with units, HSN codes, GST rates and UQC mappings.
  5. Configure godowns or storage locations if the business holds stock in more than one place.
  6. Enter opening balances and verify them against the previous books.
  7. Record purchases, sales, orders, delivery notes and returns as relevant to the business.
  8. Record receipts, payments and contra transactions so customer, supplier, cash and bank balances remain current.
  9. Reconcile bank accounts and investigate unmatched entries.
  10. Review the ledger, trial balance, stock reports, profit and loss and balance sheet.
  11. Prepare or export GSTR-1 data where applicable, then review it before any GST-portal upload.
  12. Back up the database and test restoration before putting the system into routine use.

Who should use GNUKhata?

GNUKhata is worth serious evaluation if you are:

  • An India-based small business needing accounting, invoicing, inventory and GST-oriented records.
  • A retailer, trader or distributor using multiple shops, warehouses or godowns.
  • A startup or service business trying to avoid recurring proprietary licence fees.
  • An NGO, school or training programme interested in free and open-source bookkeeping software.
  • A technically capable organisation that can run Docker and manage its own deployment.
  • An organisation that wants source access or the possibility of custom development.

It is less attractive if you need turnkey cloud hosting, mature payroll, immediate GSTR-3B support, extensive integrations, high-volume performance, strong segregation of duties or a formal vendor support agreement. The official release note warns that organisations handling more than approximately 1,000 invoices may encounter performance problems. That is a warning threshold, not a guaranteed maximum, so businesses near it should run a realistic pilot.

GNUKhata versus alternatives

The right comparison depends on deployment and support needs, not just on feature checklists.

GNUKhata’s strongest differentiator is the combination of open-source deployment and India-oriented accounting concepts. A managed cloud alternative may be more practical for a nontechnical owner, even if its subscription costs more.

Migration and implementation checklist

Do not move the complete business ledger directly into a beta, self-hosted system. Use a controlled pilot:

  1. Export and preserve a full backup from the existing accounting system.
  2. Map the chart of accounts, customers, suppliers, products and opening balances.
  3. Import a small sample using the format supported by the exact GNUKhata version.
  4. Compare the trial balance and outstanding customer and supplier balances.
  5. Reconcile stock quantities and valuation by location.
  6. Check HSN codes, GST rates, place-of-supply treatment and tax totals.
  7. Test invoices, credit notes, debit notes, partial payments and returns.
  8. Test user invitations, audit logs and every required permission level.
  9. Measure performance using a representative volume of transactions.
  10. Arrange database backups, restoration tests, upgrade procedures and user offboarding.
  11. Have the organisation’s accountant review the setup before production use.

The project’s documentation, help resources and GitLab repositories are the appropriate starting points for deployment and technical investigation. The available sources do not establish a standard paid support SLA, so confirm what assistance is available before making GNUKhata business-critical.

Final verdict

GNUKhata is a real and potentially useful open-source accounting option for small Indian organisations, particularly those that need basic double-entry accounting, GST-oriented invoicing, inventory and multi-godown support without a proprietary licence fee.

It should be approached as a product to pilot, not as a risk-free replacement for established accounting software. The current v8.0 beta is Docker-only; v7.0 is unmaintained; GSTR-3B support is currently a material limitation; role permissions and API documentation are incomplete; and the project warns about performance at higher invoice volumes. If those constraints fit your organisation—and you have the technical capacity to operate the system—GNUKhata may be a strong FOSS candidate. Otherwise, a managed cloud or more mature commercial platform may offer a lower operational burden.
