The fix depends on which QuickBooks you use. In QuickBooks Online, the Modernized template cannot be edited as a custom template; use a standard or custom form style instead. In QuickBooks Desktop for Windows and Mac, templates are edited through different menus. First identify your edition, then distinguish whether you need to edit a design, select it for an invoice, or make it the default.
First, identify your QuickBooks edition
QuickBooks Online uses Settings → Custom form styles. Desktop for Windows uses Lists → Templates and Formatting → Manage Templates. Desktop for Mac uses the invoice’s Current Template list. These are separate workflows, so instructions for one edition will not necessarily match another. Labels can also vary by regional edition or interface rollout.
There are three different things people mean by “change the template”:

- Select: apply a saved design to a particular invoice.
- Set a default: choose what new invoices use automatically, where that option is supported.
Saving a design does not always select it for the invoice you are viewing or make it the default for future invoices.

QuickBooks Online: select, edit, or set an invoice style
Select a style for an invoice
- Select Create or + New, then choose Invoice.
- In the invoice form, select Manage (or the gear icon) and open Design.
- Choose the desired option under Other templates.
- Save or finish the invoice, then choose Print or download to check the actual output.
If you saved a custom style but still see the old design, the style may simply not be selected on this invoice. Also check that you are editing an invoice style—not an estimate, sales receipt, or another form. Intuit’s Online customization guide describes template selection and form styles.
Create or edit a custom invoice style
- Open Settings → Custom form styles.
- Select New style and choose Invoice, or select Edit beside an existing invoice style.
- Use the available sections—such as Design, Content, header, footer, logo, and fields—to make the changes QuickBooks supports.
- Preview the design and select Done or save.
- Return to the invoice and select the saved style under Manage → Design.
A logo or layout change applies to that style; it does not automatically redesign every other sales form. QuickBooks Online provides less free-form layout control than Desktop, and not every element can be changed.

Why there is no Edit option: the Modernized template
QuickBooks Online currently uses a Modernized template by default. It supports some appearance settings, but it cannot be edited as a custom template. If you need deeper customization, create or edit a standard/custom form style and select that style on your invoice. This is a product limitation, not necessarily a permissions or browser error.

Select Add/Edit to adjust the standard template, then save. Confirm the result on a new invoice. This rule is specific to QuickBooks Online; it does not describe Desktop templates.

Change supported column labels or widths
- Go to Settings → Custom form styles and create or edit an invoice style.
- Open Content and select the product/service table in the preview.
- Choose Edit labels and widths.
- Adjust widths, choose which supported columns to show, and rename labels that QuickBooks allows you to change.
- Select Done, save, and inspect a print or PDF preview.
A label shown in settings may render differently on the finished form. For example, the printed invoice may show Date where the setting refers to Service Date.
QuickBooks Desktop for Windows: edit a template
- Go to Lists → Templates to view the templates in the company file.
- Open an invoice, then choose Formatting → Manage Templates.
- Select the invoice template. Choose Copy if you want to preserve the original and make a separate version; choose OK to work with the selected template.
- Use Basic Customization for items such as the logo, fonts, colors, and company information.
- Use Additional Customization for available header, column, and footer fields.
- Open Layout Designer when you need to move or resize fields.
- Select OK, use Print Preview to inspect the form, and save the changes.
Desktop offers more granular layout control than Online, but its templates belong to the company file and can be affected by file or version compatibility. See Intuit’s Windows template guide for customization and template-management details.

A customized Desktop template can also be duplicated and adapted for another form type, such as a packing slip. Do not assume an invoice design automatically changes estimates or sales receipts.

QuickBooks Desktop for Mac: edit a template
- Open an invoice and find the Current Template list.
- Choose the template you want, then select Edit Current Template or New Template.
- Use Layout Designer to add, remove, move, or resize available fields.
- Save using File → Save As.
- Reopen or preview an invoice to confirm the saved design is available and looks right.
The Mac controls differ from the Windows menus. Use Intuit’s Mac-specific template instructions rather than following the Windows path.

If the new template still does not appear
- Check the invoice’s selected design. In Online, reopen Manage → Design. A saved style may not be selected on the current invoice.
- Test a new invoice. Existing transactions may retain their previously selected form design. Do not assume changing a style retroactively changes every saved invoice.
- Check the form type. An invoice style will not necessarily control an estimate, sales receipt, or other form.
- Inspect the rendered result. Use Print or download in Online or Print Preview in Desktop. The editor view alone may not reveal hidden fields or print-layout differences.
- For Online, test a private browser window. Sign in and see whether the missing control appears. If it does, clear the normal browser’s cache and try again. You can also test a current supported browser. This is a diagnostic workaround, not a guaranteed fix; browser cache guidance is also discussed in the QuickBooks Community thread.
- Check access. If template controls are missing for your account, confirm that you have permission to edit company settings or form styles.
- For Desktop, test an Intuit template. If changes to a custom template will not save or keep reverting, the template may be damaged. In Windows, go to Customers → Create Invoices, create a test invoice, choose an Intuit template from the Template dropdown, enter test customer and item details, and save and close. Reopen invoice creation and see whether the Intuit template remains the default. If it does, the custom template may be the problem.
- Recover or recreate a damaged Desktop template. If you have a usable backup from before the issue, restoring it may help. Otherwise, recreating the template may be necessary. Follow Intuit’s template troubleshooting steps; a damaged template is a possibility, not a diagnosis to assume.
If the issue persists across supported browsers, affects multiple users or company files, or a Desktop template repeatedly reverts with no usable backup, contact QuickBooks support. Avoid repeatedly editing a template that appears to be failing to save; first preserve a backup if possible.
What can—and cannot—be changed
QuickBooks offers controls for supported logos, fields, labels, columns, and layout, but it does not make every part of every form freely editable. Available controls depend on the edition, form type, region, and template. In Online, the Modernized template’s editing limitation is especially important. If a particular field or layout control is unavailable, changing plans will not necessarily unlock it; confirm the feature is supported before changing your workflow.
Desktop templates can be exported from one company file and imported into another, but Intuit notes compatibility limits: templates from newer QuickBooks versions cannot be imported into older versions, and templates cannot be transferred between regional editions such as U.S. and Canadian editions. Check version and region before relying on an imported form.
For complex form workflows, a QuickBooks accountant or support specialist may help determine whether the issue is a template, company-file, or configuration problem. That is usually unnecessary for the Modernized-template limitation or a straightforward browser-cache issue. An external invoice tool may provide different design options, but verify its field, tax, payment, synchronization, and recordkeeping behavior before using it; it is not the first fix for a native template-selection problem.
