For most people, LibreOffice Calc is the best free and open-source alternative to Microsoft Excel. It works offline on Windows, macOS, and Linux, handles ordinary budgets and financial spreadsheets, and does not require a subscription or cloud account. Choose ONLYOFFICE Spreadsheet Editor if familiar Microsoft-style menus and .xlsx workflows matter most. Choose Collabora Online for self-hosted browser collaboration, or Gnumeric for a lightweight Linux spreadsheet.
No open-source application is a perfect replacement for every Excel workbook. Files that depend on VBA macros, Power Query, Power Pivot, specialized add-ins, or exact Excel rendering should be tested carefully—and may require keeping access to Excel.
What counts as a free and open-source Excel alternative?
These terms describe different things:

An Excel replacement is therefore workflow-dependent. A household budget, invoice tracker, or debt-payoff worksheet is a very different migration problem from a financial model containing macros, external data connections, and Power Pivot measures.

Best overall: LibreOffice Calc
LibreOffice Calc is the strongest default choice for people replacing Excel on a personal computer. It is a full-featured desktop spreadsheet in the LibreOffice suite, supports Windows, macOS, and Linux, and can work without an account, subscription, or internet connection. You can download LibreOffice from the project’s official site.
Calc covers the features most personal-finance readers need: formulas, charts, sorting, filtering, conditional formatting, data validation, templates, and pivot-style analysis. It can open and save common Excel formats, including .xls and .xlsx, while its native format is OpenDocument Spreadsheet, .ods.
Why Calc is a good personal-finance choice
- Build budgets, cash-flow sheets, debt schedules, investment trackers, and expense summaries locally.
- Keep files on your own computer rather than automatically storing them with a cloud provider.
- Use the same core application across major desktop operating systems.
- Keep an
.odsmaster copy and export to.xlsxwhen sharing with Excel users.
The main trade-off is compatibility with Excel-specific workflows. The interface and menus differ from current Excel, real-time co-authoring is not its primary desktop experience, and macros, add-ins, external links, data models, and newer Excel functions may need testing. Best for an Excel-like interface: ONLYOFFICE Spreadsheet Editor
ONLYOFFICE Desktop Editors are a strong option when you regularly exchange .xlsx files and want an interface that feels closer to Microsoft Office. Free desktop editors are offered for Windows, Linux, and macOS, and ONLYOFFICE describes its suite as open source under the AGPL 3.0 license. It also has online and self-hosted deployment options, with community downloads available through its official download page.
That advantage is not a guarantee that every workbook will round-trip perfectly. Complex formulas, macros, charts, external connections, embedded objects, and print layouts still need validation. Also check which features belong to the free desktop or community edition and which are part of paid, hosted, or enterprise offerings.
Best for self-hosted collaboration: Collabora Online
Collabora Online is primarily a browser-based office editor rather than a simple desktop download. It is most relevant to organizations that want multiple people to edit spreadsheets online while retaining control over deployment and storage. It is commonly considered alongside platforms such as Nextcloud Office.

Collabora is based around LibreOffice technology and can be a good fit for a school, nonprofit, business, or privacy-conscious team already operating a file-management platform. But self-hosting means handling authentication, storage, backups, updates, security, uptime, and integration. It is not automatically simpler, cheaper, or more private than a hosted service.

For someone who only needs an offline household budget, installing Calc is usually the more appropriate choice. For a team that needs browser-based co-authoring under its own administrative control, Collabora deserves consideration.
Best lightweight option: Gnumeric
Gnumeric is a focused, free, open-source spreadsheet application rather than a large office suite. It can suit technically oriented Linux users who want a smaller tool for calculations and ordinary spreadsheet work.
Its narrower ecosystem is also its limitation. Documentation, collaboration, enterprise integration, and broad office-suite features are not its main strengths. Check current platform availability before relying on it, particularly if you need Windows or macOS support. It is better viewed as a niche lightweight option than as a universal replacement for Excel-heavy teams.
What about Apache OpenOffice Calc?
Apache OpenOffice Calc remains free and open source and can import and save Microsoft spreadsheet formats. It includes formulas, charts, templates, and data-analysis tools as part of the Apache OpenOffice suite; see its official product overview.
For a new installation, however, LibreOffice is generally the more compelling starting point. The projects have diverged, so OpenOffice should not be described as simply “the same as LibreOffice.” Before adopting it for important files, compare its current update activity, security maintenance, supported platforms, and compatibility with the exact workbooks you use.

Free but not open source
Several popular options are free for some users but do not belong in an open-source ranking:
- Google Sheets: strong browser collaboration, but proprietary and dependent on Google’s service model.
- Excel for the web: useful for lightweight Excel work, but not open source.
- Zoho Sheet: a proprietary online spreadsheet.
- WPS Spreadsheet: a proprietary office application.
- FreeOffice: a proprietary office suite with a free edition.
These may be sensible choices when collaboration or Microsoft interoperability matters more than software freedom, local storage, or self-hosting.
How compatible are these apps with Excel?
“Supports .xlsx” means an application can read or write that file format. It does not mean every Excel behavior will remain unchanged after editing and saving. Opening a workbook successfully is only the first check; round-trip testing is more important.
Features that deserve specific testing
- Formulas: Check named ranges, newer functions, dynamic arrays, error handling, date systems, array evaluation, recalculation, and locale-specific argument separators.
- Layout: Check column widths, fonts, page breaks, print areas, headers, footers, hidden rows, hidden sheets, and page scaling.
- Formatting: Check conditional formatting, number formats, data validation, locked cells, protection, charts, images, shapes, and embedded objects.
- Data tools: Check pivot tables or equivalent summaries, filters, external links, data connections, and refresh behavior.
- Automation: VBA macros may need rewriting or may not run. Excel add-ins, Power Query, Power Pivot, and Microsoft 365 integrations generally should not be assumed to transfer.
For a simple expense tracker, minor formatting differences may be acceptable. For a tax workbook, business forecast, or investment model, verify totals and outputs independently before relying on the converted file.
How to migrate from Excel safely
- Inventory the workbook. Note macros, external links, add-ins, pivot tables, charts, named ranges, formulas, data connections, protected cells, and hidden sheets.
- Preserve the original. Keep an untouched
.xlsxcopy and test only duplicates. - Choose a local candidate first. Start with Calc or ONLYOFFICE Desktop Editors. Use Collabora or self-hosted ONLYOFFICE when browser collaboration is genuinely required.
- Test representative files. Open a simple sheet, a heavily formatted sheet, and your most complex operational workbook—not just a blank spreadsheet.
- Inspect the results. Recheck formulas, totals, dates, charts, filters, print layouts, conditional formatting, hidden content, and locked cells.
- Round-trip the file. Save a test copy in the application’s native format where appropriate, export it to
.xlsx, and reopen that copy in Microsoft Excel or Excel for the web. - Test automation separately. Run every important macro, refresh process, and external connection. Treat failures as migration work, not cosmetic defects.
- Set a format policy. Use
.odsas the master format when your workflow is fully open source. Use a controlled.xlsxexport process when sharing with Microsoft users. - Keep a fallback. Retain access to Excel for files requiring VBA, Power Query, Power Pivot, specialized add-ins, or exact Excel rendering.
Which alternative should you choose?
- Choose LibreOffice Calc for the best overall offline, general-purpose replacement.
- Choose ONLYOFFICE when a Microsoft-style interface and frequent
.xlsxexchange are your priorities. - Choose Collabora Online when your team needs browser co-authoring integrated with self-hosted storage.
- Choose Gnumeric when you want a lightweight spreadsheet, particularly in a Linux-oriented workflow.
- Consider Apache OpenOffice Calc mainly for basic or legacy use, after checking current maintenance and compatibility.
- Keep Excel available when your workbooks depend on VBA, Power Query, Power Pivot, Excel-only functions, specialized add-ins, or Microsoft-centric integrations.
Privacy and control considerations
Local desktop software can keep files on your computer and avoid a mandatory account or vendor cloud. Self-hosted online editors can give an organization more control over storage, retention, backups, and access policies. Open-source licensing can also improve auditability.
None of this automatically means zero telemetry, perfect security, anonymous use, or free professional support. Organizations should separately evaluate patching, encryption, user management, audit logs, data residency, backups, restoration, support, and license obligations.
